Introduction<br />

Building a bridge of excellence<br />

to the future<br />

The <strong>UCSI</strong> University <strong>Co</strong>-<strong>Operative</strong> Education Programme has been established<br />

since 2004. It is a tradition that has given an advantage to our graduates in<br />

enhancing their employment prospects through real-world work experience<br />

during their academic years in major companies on both local and international<br />

soil. Our students therefore graduate with six to eight months of working<br />

experience in addition to their degree.<br />

Each academic year, USCI University students are required to complete a twoto<br />

four-month period of internship and practical training related to their field of<br />

study in established corporations and organisations in Malaysia or abroad.<br />

Endorsed by the Malaysian Qualifications Agency (MQA), the programme puts<br />

the theory and knowledge that students acquire in the classroom to practice in<br />

an actual working environment, bridging the gap between present learning and<br />

future employment.<br />

Introduction<br />

In <strong>2009</strong>, 819 corporations and organisations participated in<br />

<strong>UCSI</strong> University’s <strong>Co</strong>-Op programme – a number that has<br />

grown from the original 21 employers in 2004.<br />

Through our ‘My<strong>Co</strong>-Op’ portal available online from<br />

the <strong>UCSI</strong> University website, students can submit their<br />

résumés, browse job vacancies and view the profiles of<br />

registered employers under the <strong>Co</strong>-Op programme. In<br />

turn, registered employers can post their work openings,<br />

screen CVs, arrange interviews and issue e-offer letters<br />

to students.<br />

The <strong>Co</strong>-Op programme is a mutually beneficial<br />

partnership between our institution and respected<br />

employers in various industries.<br />

A total of 1,372 students carried out their <strong>Co</strong>-Op work terms<br />

in <strong>2009</strong>. All eligible <strong>Co</strong>-Op students were successfully placed<br />

in <strong>Co</strong>-Op jobs relevant to their studies with a total of 819<br />

companies from various industries including:<br />

• Food and beverage<br />

• Food manufacturing<br />

• Biotechnology<br />

• Human resource firms<br />

Student placement<br />

Under the <strong>Co</strong>-Op programme in <strong>2009</strong>, 1,372 students from<br />

20 degree courses were placed with 819 employers. The<br />

highest number of placements were of students in Bachelor’s<br />

degrees in the food science & nutrition courses, followed<br />

by (in descending order) biotechnology, mass<br />

communications, accounting & finance, business<br />

administration and psychology.<br />

Placements were held over four terms in January, May,<br />

September and November. Slightly more than half the total<br />

placements took place in November.<br />

Student evaluation<br />

When surveyed, 98% of <strong>Co</strong>-Op students said they enjoyed<br />

the <strong>Co</strong>-Op programme, with more than half (52%) giving a<br />

‘good’ rating to their employers and almost one-third (29%)<br />

rating it ‘excellent’. 80% expressed interest in returning to<br />

the same employer in future while 95% would recommend<br />

them to other students for future <strong>Co</strong>-Op placements.<br />

The students’ high satisfaction rate with their employers<br />

attests to the strength of the <strong>Co</strong>-Op programme as they<br />

see it as a valuable source of experience and knowledge to<br />

accompany their academic studies.<br />

Project, Indonesia<br />

I did my first <strong>Co</strong>-Op<br />

with the Indonesian<br />

Ministry of Health<br />

in Jakarta, Indonesia,<br />

where I was a trainee<br />

in the finance department. I learned<br />

about teamwork and building a<br />

social life in the office, as well as<br />

enhancing my knowledge especially<br />

on finance. Being able to work with<br />

the ADB-DHS2 project truly was an<br />

unforgettable experience. In the two<br />

months of my working period, I was<br />

able to follow the team to conduct<br />

workshops in big cities in Indonesia<br />

like Bandung, Surabaya, Jogjakarta<br />

and Makassar.<br />

I am really thankful to CECS which<br />

has given me guidance through the<br />

<strong>Co</strong>-Op workshop, personal guidance<br />

etc. <strong>Co</strong>-Op makes it possible for me<br />

to learn something that I could not<br />

learn in the classroom. Now I feel<br />

that I have become more mature<br />

and more prepared to face working<br />

I have learned many<br />

new things here, for example, in the<br />

fields of administration and human<br />

resource, like screening candidates,<br />

arranging interviews, managing<br />

online portals, telemarketing and<br />

maintaining relationships with<br />

clients. I was given the authority to<br />

manage all these during my internship<br />

with the company. Both of the<br />

company managers were so kind<br />

and friendly, and they really guided<br />

me and eased my work pressure. The<br />

knowledge that I gained here has<br />

given me professional credibility and<br />

specialised experience to develop a<br />

wide range of skills, specifically my<br />

interpersonal and communication<br />

skills. I believe that this four-month<br />

internship has broadened my career<br />

opportunities and helped me with<br />

Working at Eppendorf<br />

was a great experience<br />

for us. In the two<br />

months, we were exposed<br />

to the background of<br />

biotechnology, advanced<br />

skills in laboratory<br />

work, and the markets<br />

for biotechnology and<br />

life science products, as<br />

well as various communication skills.<br />

In fact, the two-month internship<br />

was too short for us. Before our<br />

internship with Eppendorf ended,<br />

we had already started missing the<br />

great times and fun we had especially<br />

during the birthday celebrations and<br />

Bio Malaysia day, as well as the <strong>2009</strong><br />

annual dinner.<br />

We would like to take this<br />

opportunity to express our<br />

appreciation to Eppendorf Asia<br />

Pacific for giving us the chance to<br />

work with them. We will treasure the<br />

experience and memories.<br />

students on a high<br />

A group of students from the B.A. (Hons.) Accounting and<br />

B.A. (Hons.) Accounting & Finance programme had the rare<br />

opportunity to experience the behind-the-scenes work of<br />

Malaysia Airlines, and understand what makes an airline<br />

company tick. Read what they have to say.<br />

Cheah Yatt Chun<br />

I had the privilege of visiting the<br />

engineering and maintenance sites,<br />

where I was allowed to explore the<br />

various types of aircraft. It was certainly<br />

a joyous and memorable working<br />

experience!<br />

Chau Kin Hooh<br />

I gained a lot of technical and practical<br />

knowledge as well as time management,<br />

teamwork, and communication skills.<br />

All my superiors guided me patiently.<br />

It was a great experience and I truly<br />

Section. It was a good experience for<br />

me to learn about the procedures of<br />

got to learn and use MAS’s accounting<br />

Malaysia Airlines, I have learnt a lot apart<br />

from the basic accounting knowledge.<br />

The experience of working with this<br />

company is beyond rewarding and<br />

gratifying. The primary knowledge that<br />

different transactions and linking them<br />

with the accounting principles given in<br />

fairs to ensure students understand<br />

the options available to them when<br />

34 companies participated in the<br />

<strong>2009</strong> event which was held on March<br />

11 and 12 in the University’s Multi-<br />

Purpose Hall. 700 students joined the<br />

Fair, to attend on-the-spot interviews<br />

conducted by the companies, and<br />

participate in a series of career talks<br />

by industry players. The online job<br />

portal Jobstreet was also at the Fair to<br />

conduct a résumé clinic and students<br />

pointers on how to write résumés.<br />

The <strong>2009</strong> Career Fair came at a time<br />

where there was a lot of uncertainty<br />

about graduate employment during<br />

the turbulent economic climate<br />

in <strong>2009</strong>. Thus, this initiative gave<br />

students some assurance about their<br />

future employment choices by giving<br />

them the chance to speak directly to<br />

prospective employers.<br />

Your three-year plan<br />

As resources for self-enhancement and career planning become more accessible,<br />

employers’ expectations also increase, and so will the competition. Here’s a guide on how<br />

to gain an edge and make the most of your time at university – from your first to final year.<br />

Year 1<br />

So you’re a first-year student – there should still be plenty of<br />

time to sit back and have fun, right Well, doing something<br />

worthwhile and having fun are not mutually exclusive.<br />

Know yourself – Find out about your personal qualities,<br />

what you like, what you care about, what you’re good at,<br />

what excites you, what you think is important etc. The<br />

<strong>Co</strong>-<strong>Operative</strong> Education and Career Services Unit<br />

(CECS) offers workshops that help you learn about the<br />

various industries and prepare for future employment. Make<br />

good use of these workshops and find your passion! Only then<br />

will you know what you want to look for.<br />

Get involved – Once you set foot on the university campus,<br />

you will be presented with a variety of extra-curricular activities<br />

– interest clubs, student societies, sports teams, enrichment<br />

programmes etc. The choices can be overwhelming. Try to<br />

strike a balance in what you participate in. If you join three<br />

sports teams, it may give the impression that you’re not wellrounded.<br />

Don’t hesitate to step up and run for a position in an<br />

executive committee or in voluntary work. It will provide you<br />

with great opportunities to develop leadership and team skills<br />

that will serve you well in your personal development and also<br />

will be what employers look for. You can also consider joining<br />

a competition to challenge yourself, and find out how your<br />

talents and skills compare to those of your peers.<br />

Think ahead – Think about how you can use your extra<br />

time and academic break to give your portfolio a boost. Find<br />

a part-time job; and even if it’s not directly related to your<br />

career aspirations, it will help you develop transferable skills.<br />

Take up a leadership role in these activities if possible. The<br />

experience of leading and organising activities is something<br />

that employers look for that will serve you well in your<br />

personal development.<br />

Year 2 Year 3<br />

The penultimate year of your university life is a strategic time<br />

for career planning. Aim to have a career plan, or at least a<br />

draft ready by the end of the year. Don’t wait till the final year<br />

because by then, all your peers will have already done their<br />

homework, and you will find yourself lagging behind.<br />

Explore your options – Look for ways to identify your<br />

career interests and gain some real work experience. Attend<br />

job fairs, recruitment events and company visits to know<br />

more about different industries. Once you start exploring the<br />

world of work, you won’t be apprehensive or scared of what’s<br />

to come.<br />

Get equipped – No one is born with a set of job search<br />

skills. Attend workshops that train you in handling interviews<br />

and presentations. Business etiquette, personal grooming and<br />

work ethics are also important things to pick up. Familiarising<br />

yourself with these skills will help you gain confidence and<br />

reduce anxiety.<br />

Plan ahead – Give yourself an honest assessment of what<br />

you have done and what still needs to be done. If it all seems<br />

too much to handle, you can always make an appointment<br />

with one of the CECS staff. We will help you prioritise and<br />

focus on what’s urgent and important.<br />

This is it – the final year! Of course, you will be taking the <strong>Co</strong>-<br />

Op Programme at this point. As well as the <strong>Co</strong>-Op experience,<br />

you should take advantage of this crucial time to lay some<br />

important groundwork for your future career.<br />

Build your network – Be creative in your job search. Expand<br />

your network through family members, relatives, friends,<br />

classmates, ex-colleagues, acquaintances, alumni and other<br />

sources. Effective channels include joining a professional<br />

organisation as a student member and attending events,<br />

conferences, competitions and social gatherings. Social<br />

networking websites like LinkedIn and even Facebook are also<br />

effective platforms through which you can build connections.<br />

Don’t be shy. People you meet through different channels<br />

in university may become your future business partners,<br />

customers, supervisors or colleagues.<br />

Get ready – Early birds always catch the worm. Make yourself<br />

available to meet up with employers at recruitment talks and<br />

job fairs. Make sure you have a few presentable templates of<br />

your résumé and cover letter on hand, and customise them<br />

according to individual jobs. Polish your interview skills by<br />

getting real interview experience. Keep abreast of current<br />

affairs, the economic situation and industry trends by reading<br />

newspapers and magazines.<br />

Top Tips for interviews<br />

Dress for success<br />

The way you dress should be appropriate to the job you are<br />

applying for. It is better to look a little too formal than too<br />

casual. Even if you know that the office dress code is casual,<br />

wait till you get hired before you dress like the employees.<br />

Here are some basic rules for interview clothes:<br />

• Neat business wear, clean and freshly ironed<br />

• Solid, muted colours – no loud or clashing patterns<br />

• Leather or patent leather shoes, clean and well polished. No<br />

sports shoes!<br />

• Hair should be neatly combed and styled. Long hair should<br />

be tied back. It’s best not to dye your hair shocking colours<br />

when job hunting<br />

• Jewellery and accessories should be low-key and modest<br />

• Wear an unscented or lightly fragranced deodorant or<br />

antiperspirant.<br />

Dressing points<br />

For men<br />

Tailored suit, or ironed shirt,<br />

tie and suit trousers – no jeans<br />

or khaki pants<br />

Your tie should be a neutral<br />

entire interview process.<br />

• Greet the interviewer(s) with a smile,<br />

a firm handshake, and introduce<br />

yourself<br />

• Don’t sit down until you are offered<br />

a seat<br />

• Maintain natural eye contact as much<br />

as you can (don’t stare!) and smile.<br />

Listen well to<br />

respond well<br />

Listen carefully to what the interviewer<br />

is saying to find out as much as possible<br />

about the internship. Don’t be afraid to<br />

ask him or her to rephrase a question<br />

you do not understand.<br />

If you’re totally stumped by a question,<br />

it’s all right to ask for a minute to gather<br />

your thoughts. It is even acceptable to<br />

answer ‘I don’t know’ if you genuinely<br />

do not know what the answer is; but<br />

avoid doing this too often or you will<br />

appear to be clueless.<br />

Technical interviews<br />

If you are applying for an internship<br />

in an engineering, IT or science<br />

company, chances are you’ll get<br />

an interview containing technical<br />

questions.<br />

Know the basics of your subject<br />

inside out<br />

As you are not expected to have<br />

much work experience, interviewers<br />

are sure to quiz you in-depth about<br />

your course. Revise the basics that<br />

everyone in your year should be secure<br />

in knowing, and place particular focus<br />

on topics that relate to the employer’s<br />

area of work.<br />

If you have any project work or<br />

vacation experience that is particularly<br />

relevant to the company you are<br />

applying for, practise summarising it.<br />

You could produce a short digest of<br />

the information and take it with you<br />

to the interview. Use it to illustrate<br />

your answers or leave it with the<br />

interviewer when you finish.<br />

You may not know the answer to<br />

everything you are asked, but try to<br />

show the interviewer how you might<br />

go about solving problems or finding<br />

the information you would need to<br />

answer the question.<br />

Be prepared to talk<br />

While interviewers are interested in<br />

your technical knowledge, they also<br />

want to test your ability to think on<br />

your feet and to communicate with<br />

non-technical people. They might<br />

show you a device and ask you to<br />

imagine you have to explain how it<br />

works to your grandmother, or show<br />

you a circuit diagram and expect your<br />

instant analysis.<br />

The best way to prepare is to make<br />

sure you know your subject matter<br />

and fully understand the requirements<br />

of the internship.<br />

Technical interviewers often focus<br />

on project work. Be ready to give a<br />

brief summary of what your project<br />

focused on, situations you faced,<br />

how you overcame problems and the<br />

final results. If you were involved in<br />

a group project, make sure you are<br />

able to talk about what your team did<br />

and the parts that you yourself took<br />

responsibility for.<br />

You need to show that you can work<br />

well with others and communicate<br />

clearly, avoiding technical jargon that<br />

may confuse the uninitiated.<br />

Remember, interviewers are not out to harass you or catch you out. They want to<br />

see your enthusiasm for employing your skills to find solutions. Prepare well, be<br />

confident and upbeat, and enjoy the opportunity to talk with experts.<br />

Q: Is <strong>Co</strong>-Op compulsory<br />

A: Yes, the <strong>Co</strong>-Op <strong>Co</strong>mponent<br />

is compulsory for all of <strong>UCSI</strong><br />

University’s degree and diploma<br />

programmes (with the exception<br />

of the Medicine, Pharmacy and<br />

Nursing degrees which have their<br />

own clerkship/industrial training<br />

component).<br />

Q: When do I start the <strong>Co</strong>-Op<br />

A: <strong>Co</strong>-Op Placement usually takes<br />

place in November-December<br />

of every year. Only graduating<br />

students (i.e. students who<br />

have completed all the academic<br />

modules of their degree<br />

programme but have not<br />

completed the <strong>Co</strong>-Op components)<br />

may carry out their <strong>Co</strong>-Op<br />

placement commencing in<br />

January, May and September<br />

A: The <strong>Co</strong>-Op programme does<br />

not in any way extend the time<br />

of study for any undergraduate<br />

degree or diploma programme.<br />

The <strong>Co</strong>-Op takes place two<br />

months right after the traditional<br />

two-month short semester,<br />

ie the final semester of the year<br />

actually becomes 4 months<br />

(2 months <strong>Co</strong>-Op + 2 months<br />

classes) the same as other regular<br />

semesters.<br />

Q: Do I have to pay additional<br />

fees to participate<br />

A: No, you do not need to pay<br />

additional fees to participate in<br />

the <strong>Co</strong>-Op programme. In fact, as<br />

a student intern, you may be paid<br />

a minimal salary/allowance during<br />

training.<br />

Q: Will I be guaranteed a<br />

placement<br />

A: CECS will make every effort to<br />

assist students in finding a suitable<br />

work experience. Nevertheless, it is<br />

also important that students have<br />

the correct attitude and knowledge<br />

that is on par with market demands<br />

in order to successfully secure<br />

placements.<br />

Q: Will I need to be interviewed<br />

first<br />

A: Yes, most if not all job<br />

placements will require at least<br />

one round of interviews with<br />

the potential employer. Potential<br />

employers reserve the right to<br />

interview and select their student<br />

interns accordingly.<br />

As a result, good academic<br />

scores as well as good interview<br />

preparation is essential.<br />

Q: Can I choose a company<br />

that is not on <strong>UCSI</strong> University’s<br />

list<br />

A: Every student must accept the<br />

choice of placement provided<br />

by <strong>UCSI</strong> University unless the<br />

student has found a company that<br />

is willing to take him or her in and<br />

be subject to <strong>UCSI</strong> University’s<br />

terms and conditions.<br />

suitable companies that a<br />

edge. However, you need to<br />

consider carefully if this is the right<br />

Understand what is needed for a<br />

career overseas.<br />

Working and studying abroad is<br />

becoming more common nowadays. In<br />

today’s global economy, an ever-growing<br />

number of employers across the private,<br />

public and non-profit sectors need<br />

people who can communicate effectively<br />

and achieve results.<br />

These are some key attributes required<br />

of a globally competent employee:<br />

• strong intercultural and<br />

communications skills<br />

• resilience – working abroad can mean<br />

losing the usual support structures<br />

like friends and family<br />

• flexibility to adapt to new situations<br />

and practices<br />

• the ability to understand, respect<br />

and adapt to cultural differences and<br />
