As a security precaution, the Organiser asks exhibitors to remove small products &<br />

equipment etc from their stand before leaving on Friday evening. <strong>Exhibitor</strong>s are<br />

recommended to work in pairs so that their stand is manned at all times. <strong>Exhibitor</strong>s will<br />

be permitted to remove items from stands in the King's Hall and Nugent Hall from the<br />

close of the <strong>Show</strong> for two hours only. The Halls will be sealed at 10.00pm and for<br />

security reasons exhibitors will not be permitted further entry.<br />

Build-Up/Break Down General Information<br />

All STANDS MUST BE READY BY 7PM ON TUESDAY 12 MAY 2009<br />

1. For Health and Safety reasons, children under 16 will not be allowed onto the<br />

premises during build-up and breakdown periods.<br />

2. PLEASE NOTE THAT BOXES AND CARDBOARD PACKING CASES MAY NOT BE<br />

STORED ON TOP OF STANDS<br />

3. <strong>Trade</strong> Stands are re-numbered every year; do not assume that your stand Number will<br />

be the same as at the previous <strong>Show</strong>. Please ensure that you have the current trade<br />

stand number before preparing advertising or informing your contractors. If in doubt<br />

call Jenny 028 9068 6183.<br />

4. <strong>Exhibitor</strong>s should note that the Society will not be able to provide a tractor for<br />

unloading heavy machinery.<br />

5. Machinery Exhibits - <strong>Exhibitor</strong>s of Loaders, Telehandlers, Excavators, Cranes or<br />

machinery attachments displaying their machine in an elevated position must ensure<br />

that mechanical ram props are in place, even if the machine incorporates safety<br />

check valves on main lift rams or other standard safety features. This point of safety<br />

will be strictly enforced. <strong>Exhibitor</strong>s should supply the Society with a letter from the<br />

manufacturer which covers the recommended method of elevated display in crowded<br />

show scenarios for each specific machine.<br />

All Machinery exhibits must be in place by Sunday 10 May.<br />

All machinery exhibitors must ensure that suitable barriers or management<br />

arrangements are in place during the <strong>Show</strong> to prevent children from climbing<br />

up/over large pieces of machinery.<br />

6. Electrical Requirements<br />

If you have not already ordered electrical requirements for your stand, please contact<br />

Event Technical Services Ltd on 0870 163 0071 or download an order form from<br />

www.balmoralshow.co.uk. Orders placed after 7 May 2009 may be subject to a 25%<br />

surcharge. Work will only be carried out when accompanied by an official order and<br />

only electrical installations constructed by the Contractor will be connected to the<br />

mains distribution system. PLEASE NOTE THAT ALL ACCOUNTS MUST BE<br />

SETTLED BEFORE THE SHOW COMMENCES TO ENSURE POWER SUPPLY TO<br />

STANDS.<br />

<strong>Exhibitor</strong>s should be advised that any portable appliance brought onto the premises<br />

must be PAT tested and within the inspection period. Proof of testing will be required<br />

on request.<br />

7. Liquefied Petroleum Gas<br />

Butane gas may be used within the King’s Hall Complex but must be removed<br />

overnight. Propane gas must be piped into the building from an exterior location,<br />

agreed in advance, and under no circumstances will propane gas be permitted in any<br />

building.<br />

All tradestands with an LPG installation will be required to provide a CORGI certificate<br />

confirming the safety of the LPG installation. The CORGI certificate must be available<br />

when requested.<br />

8. Forklift<br />

A forklift service is available on a first come, first served basis. Prior booking is not<br />

available. Requests for forklift should be made directly to the Organiser’s Office at<br />

the front of The King's Hall. <strong>Exhibitor</strong>s should note that waiting time may exceed one<br />

hour at peak times. The Forklift can lift up to 2 tonnes and can be used on hard<br />

ground only.<br />

9. Goods Lift<br />

The King's Hall has Goods Lift access onto the Balcony and this will be available to<br />

<strong>Exhibitor</strong>s as follows:-<br />

10. Restocking Service<br />

<strong>Exhibitor</strong>s are permitted to re-stock their stands during the days of the <strong>Show</strong> between<br />

7.00am and 8.00am only and vehicle access is by GATE D in <strong>Balmoral</strong> Avenue. Any<br />

vehicle found in the showground’s after 8.00am will be towed from the premises.<br />

11. Car parking Monday 11 & Tuesday 12 May<br />

Cars will not be allowed to park in the <strong>Show</strong>ground’s from Monday 11 May 2009 and<br />

<strong>Exhibitor</strong>s and their Contractors are requested to park in Harberton Car Park (enter by<br />

GATE H in Harberton Park) from that date.<br />

12. Close of <strong>Show</strong> Access<br />

Essential Vehicles only. Access only by admission pass which can be obtained from<br />

Jenny McNeill, Organisers Office, front of King’s Hall after 6pm on Friday 15 May.<br />

Only essential trade exhibitor vehicles may enter the <strong>Show</strong>grounds on Friday<br />

15 May after the <strong>Show</strong> closes at 8pm to enable removal of their exhibits.<br />

Please note that vehicle access is limited and only permitted after the general<br />

public has been cleared from the showgrounds. This may not be until<br />

8.30pm. Due to congestion within the <strong>Show</strong>grounds, it is advisable to provide your<br />

own method of transporting stand items to your vehicle.<br />

UNDER NO CIRCUMSTANCES ARE EXHIBITORS PERMITTED TO<br />

REMOVE ANY GOODS FROM THEIR STAND BEFORE THE EXHIBITION<br />

CLOSES AT 8.00PM FRIDAY 15 MAY.<br />

13. Food <strong>Exhibitor</strong>s<br />

Food/Drink may only be sampled, sold in multi pack form or sold for consumption off<br />

site. All exhibitors sampling non packaged food must comply with the Food Hygiene<br />

regulations.<br />

14. Insurance<br />

<strong>Exhibitor</strong>s are advised to take out adequate insurance cover against the kinds of risks<br />

that could incur in connection with the <strong>Show</strong>, especially: -<br />

Employers Liability,<br />

Personal Accident to staff<br />

All risks to – (a) <strong>Exhibitor</strong>s property at <strong>Show</strong><br />

(b) Property on loan or hire to them<br />

In addition, exhibitors may wish to take out insurance for losses and wasted<br />

expenditure in the event of the <strong>Show</strong> being abandoned or curtailed.<br />

15. Value Added Tax<br />

A claim for refund of Value Added Tax by a taxable person not established in the<br />

United Kingdom may be made by completing the appropriate form and sending it with<br />

a copy of our invoice and a certificate of claimant’s status as a taxable person in<br />

16. Distribution of Publicity Matter / Balloons<br />

<strong>Exhibitor</strong>s are not allowed to distribute leaflets, brochures, magazines, newspapers<br />

etc anywhere within the Halls or <strong>Show</strong>grounds, except at their own stands, and they<br />

must not, for this or any other purposes, encroach upon the alleys or open spaces or<br />

do anything which may cause an obstruction.<br />

Balloons are not permitted on the premises at any time during the <strong>Show</strong>.<br />

17. Public Address<br />

The Public address system is provided for the use of the Organisers and is not<br />

available to exhibitors or visitors.<br />

18. Objectionable Exhibits – The Society reserves the right to refuse or to order the<br />

removal of any article or articles brought for exhibition which they may deem<br />

unsuitable or objectionable, without assigning any reason for such refusal or order.<br />

The sale of handout balloons, laser pens, explosive caps, pellet/laser guns, replica<br />

guns, knives and water pistols are strictly prohibited, together with items likely to<br />

cause offence to other patrons and/or livestock.<br />

19. Performing Right Society and Use of Audio Equipment: Charges to cover the<br />

public performances of copy right music at the <strong>Show</strong> by <strong>Exhibitor</strong>s is payable in<br />

advance at a rate determined by the PRS. An application form may be obtained from<br />

the Copyright House, 20-33 Berners Street, London W1T 3AB (Tel 020 75805544)<br />

www.mcps.prs-alliance.co.uk. The use of radios and other sound reproduction devices<br />

is strictly controlled and if the noise level is deemed to be objectionable the <strong>Exhibitor</strong><br />

will be prohibited from using such devices.<br />

Sound Recording: Charges to cover background music on individual stands are<br />

payable in advance by exhibitors at a rate determined by the Phonographic<br />

Performance Ltd. An Application form may be obtained from PPL, 1 Upper James<br />

20. Responsibility for protection of goods – The Society will take such precautions as<br />

it may consider necessary for the protection of all articles exhibited, but will not, at any<br />

time, be responsible for the loss of, damage to, or safety of, any exhibit, empty cases,<br />

tools or other property of an exhibitor or any person, in any circumstances<br />

whatsoever.<br />

21.Temporary Structures – Any temporary structure erected in the <strong>Show</strong>grounds must<br />

have a Structural Certificate and Fire Certificate. These certificates must be available<br />

on request. Any change in levels should be appropriately protected by hand rails.<br />

<strong>Exhibitor</strong> Passes<br />

Pre/Post <strong>Show</strong> Passes<br />

You will find enclosed a number of pre/post show passes which will allow you<br />

access onto the showgrounds during build-up and breakdown. Please ensure you<br />

present your pass at the gate to gain admission.<br />

Wrist Bands / One Day Passes<br />

Please find enclosed a number of exhibitor one day tickets and 3-day wristbands for<br />

the use of you and your staff during the <strong>Show</strong>. One ticket will admit one person on<br />

any one day of the <strong>Show</strong>. A 3-day wristband once worn should not be removed until<br />

the end of the <strong>Show</strong> or it will become void. Please be aware that all tickets are now<br />

scanned upon entrance.<br />

Please note that if you intend to invite clients etc to your stand at the <strong>Show</strong> please<br />

ensure you have provided them with a ticket as they will be charged at the gate.<br />

NB If you need to leave the <strong>Show</strong> and return in the same day please ensure you<br />

obtain a stamp to gain readmittance.<br />

STRANGFORD AVENUE PLAYING FIELDS (Grass Site)<br />

Walking distance to <strong>Show</strong>grounds.<br />

BELFAST HARLEQUINS PLAYING FIELDS (Hard Standing)<br />

Free Flexibus dropping off close to Gate G in Harberton Park will run on <strong>Show</strong> Days from<br />

8.00am to 9.00pm.<br />

QUEEN’S PLAYING FIELDS (Hard Standing)<br />

Convenient to Outer Ring. Enter via House of Sport. Free Flexibus dropping off close to<br />

Gate G in Harberton Park will run on <strong>Show</strong> Days from 8.00am to 9.00pm.<br />

Extra passes for the above car parks are not available to buy in advance. Payment<br />

is charged upon entrance £5 per car.<br />

There are no banking facilities at the <strong>Show</strong>, however, there are ATM’s beside the<br />

Organisers Office at the front of King’s Hall, between the King’s Hall & Nugent Hall<br />

and at the press centre in the showgrounds.<br />

• CLEANING OF STANDS<br />

It is the responsibility of each <strong>Exhibitor</strong> to clean their own stand. NB: cleaning<br />

equipment is not provided by the RUAS. Stand cleaning can be arranged by<br />

contacting Industrial Cleaning Services or another company of your choice.<br />

• CARAVAN / MOBILE HOMES<br />

There are no facilities for parking caravans and mobile homes within the<br />

showgrounds.<br />

• CATERING<br />

<strong>Exhibitor</strong>s are reminded that no company or individual may bring any food or drink<br />

into the <strong>Show</strong> for distribution (other than small scale sampling which must be<br />

authorised in writing by the Society). The franchised caterers, Hamilton & Kirk,<br />

will be pleased to take orders for food required during the <strong>Show</strong>.<br />

• CLOAKROOMS<br />

Cloakroom facilities are open beside Café Corner at the front of the King’s Hall.<br />

• COMPLAINTS PROCEDURE<br />

Should for any reason you have a complaint during the <strong>Show</strong> please ensure that<br />

you contact Jenny McNeill in the Organisers Office at the front of the King’s Hall.<br />

• DELIVERIES<br />

Any deliveries which are to be accepted by the Organisers prior to the show, must<br />

be clearly labeled with your Company name, Stand location and Stand No.<br />

No deliveries will be accepted before Friday 9 May.<br />

• Deliveries during <strong>Show</strong> opening hours – If it is essential that stock is delivered<br />

during the opening hours (8.30am – 8.00pm) of the <strong>Show</strong>, your delivery driver must<br />

have a letter of access. This can be obtained from Jenny McNeill. All deliveries will<br />

be admitted through GATE A Lisburn Road where they can be unloaded in a covered<br />

area adjacent to security. It is up to you to get the delivery to your stand.<br />

• EMERGENCY NOTES<br />

In the event of an emergency situation the Public & <strong>Exhibitor</strong>s may be asked to<br />

evacuate the premises. You will be advised discreetly by a steward or member of<br />

staff or by the PA System. We would ask you to secure your stand and leave as<br />

directed.<br />

• EXHIBITORS LOUNGE<br />

An exclusive space for exhibitors during the pressures of the show, to relax with free<br />

tea, coffee and newspapers. Just call into the ChristChurch Centre on the ground<br />

floor of the Conference Centre and we will give you a warm welcome.<br />

• FIRST AID<br />

First Aid posts are found beside the <strong>Show</strong> Office at the Alexander Hall, beside the<br />

Judges’ Box at the Arena, at the Nugent Boxes above Horse Ring 1 and inside the<br />

King’s Hall, at the front, beside Café Corner. The Paramedic team can be contacted<br />

through any of the First Aid posts or from the Organiser’s Office at the front of the<br />

King’s Hall.<br />

Two days before and during the <strong>Show</strong>, the Organiser’s Office will be in operation,<br />

opening at 8.30am each morning. This is situated at the front of the King’s Hall and all<br />

enquiries relating to tradestands will be handled from this office.<br />

• POSTAL SERVICE<br />

There is a post-box outside the front of the King's Hall and a Post Office situated<br />

approximately 1/4 mile away at Creightons Garage.<br />

• PUBLIC TRANSPORT – Northern Ireland Railways have a station (<strong>Balmoral</strong> Halt)<br />

immediately opposite the King’s Hall. Metro bus 9A, B or C passes the front of the<br />

King’s Hall. For timetables and further information please contact www.translink.co.uk<br />

• SECURITY<br />

24-hour Security will be maintained throughout the <strong>Show</strong>; however, if you have<br />

special high risk items or very valuable products on your stand, you may prefer to<br />

hire a Security guard to stay on your stand overnight. Please ensure that you<br />

inform the Organiser in writing of your intention.<br />

<strong>Exhibitor</strong>s will be informed on the opening morning of security procedures to be<br />

enforced during the <strong>Show</strong> and during breakdown. The Organiser appreciates<br />

exhibitors' co-operation in carrying out these procedures.<br />

• OVERNIGHT SCREENS<br />

Overnight Screens are not provided. It is up to the exhibitor to provide their own<br />

overnight screen for their stand.<br />

• TOILET FACILITIES/SHOWERS<br />

In the build up period from 6 May until 11 May, toilets may be found at the Alexander<br />

Hall and at the back of the Grandstands. On Monday 12 May and Tuesday 13 May,<br />

all toilets are open. During the <strong>Show</strong>, showers are available adjacent to Fodder &<br />

Food, at the Alexander Hall and at the <strong>Balmoral</strong> Hall (Ladies’ only).<br />

ADVICE TO FOOD BUSINESS OPERATING<br />

WITHIN MARKETS, FAIRS AND EXHIBITIONS<br />

This document is intended to provide advice on how to comply with the Personal Hygiene,<br />

Equipment Washing and Temperature requirements of The Food Safety (General Food<br />

Hygiene) Regulations (N.I.) 1995 and The Food Safety (Temperature Control)<br />

Regulations (NI) 1995. Regard must also be given to the other relevant parts of these<br />

Regulations.<br />

This guidance has been produced taking into consideration the Industry Guide to Food<br />

Hygiene Practice: Markets & Fairs Guide.<br />

TYPE OF OPERATION<br />

1. Low Risk<br />

e.g. – selling pre-wrapped tinned or bottled goods, or<br />

open dried goods such as seeds, nuts, cereals, plain bread products or<br />

whole fruit and vegetables, or<br />

wet unwrapped fish/meat/poultry<br />

(Please note this list is not exhaustive)<br />

REQIUIREMENTS<br />

Personal Hygiene<br />

a) Wash hand basis (WHB) or bowl with soap, towels and a minimum of 9 litres<br />

of hot and cold water on the stall, or<br />

b) access to communal facilities e.g. WHB in toilets which have hot and cold<br />

water, or soap and towels, or<br />

c) commercial quality sanitised hand wipes on the stall.<br />

Equipment Washing<br />

d) access to communal facilities e.g. a sink with hot and cold running water, or<br />

e) a WHB on the stall with a minimum of 9 litres of hot and cold water.<br />

2. High Risk<br />

e.g. – handling open ready to eat high risk foods, or<br />

o cooking meat/fish, or<br />

o handling open cooked meat, or<br />

o handling open mayonnaise products, or<br />

o selling unwrapped ice cream, or<br />

o selling unwrapped, cut cheese, or<br />

o handling open sandwiches, or handling dairy desserts and cream products.<br />

REQUIREMENTS<br />

f) WHB provided with running hot and cold water, soap and towels on the stall, or as<br />

(a) above.<br />

Equipment Requirements<br />

g) running hot and cold water provided at a sink on the stall, or<br />

h) a sink with a minimum of 9 litres of hot and cold water on the stall.<br />

3. GENERAL REQUIREMENTS APPLICABLE TO ALL OPERATIONS<br />

Water Supply<br />

Only drinkable water is to be used on the stall. On no account has water for any<br />

‘food’ use to be taken from within toilets or external taps.<br />

Temperature Requirement<br />

A thermometer, or equipment with a temperature display must be available if holding<br />

food hot, or selling cold cooked meats or fish, cold meat and fish products, cold<br />

cooked vegetable dishes, any cold cooked dish containing egg or cheese, prepared<br />

salads and dressings, soft cheeses, smoked or cured fish, sandwiches which<br />

contain any of the above, low acid desserts and cream products, fresh pasta,<br />

smoked or cured meats which are not ambient stable.<br />

The aforementioned high risk foods must be held at or below 8°C or at or above<br />

63°C.<br />

If a gauge on a chilled unit is used this must reflect product temperature.<br />

Please note temperature control requirements may be subject to certain exemptions<br />

e.g. on display for sale for less than 4 hours for chilled products and for less then 2<br />

hours for hot products.<br />

4. PERSONAL HYGIENE<br />

If you have suffered from diarrhea and / or vomiting within the last 48 hours you<br />

should not handle food.<br />

Provide waterproof dressings (plasters)<br />

Keep yourself and your clothes clean.<br />

Thoroughly clean your hands often and always after:<br />

• Breaks including smoke breaks<br />

• Using the toilet<br />

• Handling rubbish<br />

• Handling raw food<br />

• Handling dirty packaging<br />

CROSS CONTAMINATION<br />

• Keep raw products away from cooked products.<br />

• Store food off the ground and protected from rain, dust, birds and dogs.<br />

• Handle cooked food as little as possible.<br />
