As organizations across the country celebrate National<br />

Volunteer Week beginning April 15, it’s yet another<br />

opportunity to thank you for your service.<br />

Together, we serve more than 900,000 people in 35<br />

communities spread across 500 square miles of<br />

southeastern Michigan. Each hour you spend tending to<br />

patients, bringing comfort to families and helping our<br />

physicians and staff means so much to so many. We<br />

would not be able to deliver patient-centered,<br />

personalized care without you.<br />

RENOVATIONS: The Emergency Departments at<br />

Oakwood Hospital Medical Center and Oakwood<br />

Annapolis Hospital will soon have a different look!<br />

Blueprints are complete and construction is expected to<br />

start as soon as March <strong>2012</strong>. This will enhance customer<br />

privacy and satisfaction. Stay tuned for pictures and<br />

more updates!<br />

MOMENT FOR MEDITATION<br />

Offers inspirational message<br />

Oakwood Spiritual Support – with the help of a lot of<br />

friends – is offering a new service to the Oakwood<br />

community. Each weekday, staff, patients and family<br />

members can dial the Oakwood “Moment for<br />

Meditation” line to hear a recorded message of<br />

inspiration, encouragement and support. The number<br />

can be accessed from within Oakwood and from outside<br />

as well.<br />

Messages are recorded by a variety of Oakwood<br />

personnel and reflect a special thought, message or<br />

quote they would like to share. Look for Moment for<br />

Meditation business cards at your site and be sure to<br />

call 313-928-5877 every day.<br />

Volunteer Vibe – 1 st Quarter


Oakwood Southshore Medical Center’s 20 th Annual “Tree of Lights, sponsored by<br />

Southshore’s Auxiliary Volunteers, was a huge success. Total donations received<br />

amounted to $19,585 and 100% of this amount will go towards the “Needy Patient<br />

Assistance” program at Southshore. Chairperson Norma Horvath, an Auxiliary<br />

Volunteer since 1999, commented that without all the help of the Auxiliary<br />

Volunteers, the success of T.O.L. event would not have been possible. In October,<br />

she and her “stuffing group” (Auxiliary Volunteers Shirley LaVigne, Noreen Petersen,<br />

Betty Lemerand, Betty Root, and Sandra Whitaker) met to prepare 958 mailings that<br />

were sent to OSMC doctors, area businesses, service organizations, dentists,<br />

community leaders, and past donors. On November 29, the T.O.L. tree-decorating<br />

group (Auxiliary Volunteers Cathy Cherpak, Caroline Leedy, Betty Root, and Norma<br />

Horvath) completed all of the decorating, including the placement of the<br />

“Southshore Angels” and the T.O.L. Memory Book which were placed near the tree.<br />

We had a total of 102 donors, all of whom are greatly appreciated for their<br />

generosity. There were 14 major donors (donations of $500 and over) and 17<br />

special, personalized plaques were prepared and placed on the angels surrounding<br />

the tree. A total of 155 brass, personalized tree ornaments were prepared and<br />

placed on the tree. It was a BEAUTIFUL sight to behold! On January 4, our Auxiliary<br />

Volunteers (Cathy Cherpak, Caroline Leedy, Betty Root and Norma Horvath) came in<br />

to “un-decorated” the tree. ” All decorations and angels were packed away waiting<br />

for the <strong>2012</strong> OSMC “Tree of Lights.” Thanks to all who helped with Southshore’s<br />

2011 “Tree of Lights” and a special thanks to the Oakwood Foundation for all of their<br />

help, especially John O’Rourke and Casey Laughlin.<br />

Gerlica has been appointed to the position<br />

of Manager of Volunteer Services for<br />

Oakwood Health Care System, effective<br />

Monday, March 19, <strong>2012</strong>. In this role,<br />

Debra will be leading the <strong>volunteer</strong> program<br />

development and administration, the<br />

<strong>volunteer</strong> services representatives at each<br />

acute care site and she will facilitate the<br />

<strong>volunteer</strong> council.<br />

Debra brings to her new role over 20<br />

years of professional <strong>volunteer</strong> experience.<br />

Before joining Oakwood she held<br />

professional positions at Alive Hospice of<br />

Nashville, Murfreesboro & St. Thomas<br />

Hospital, Mercy San Juan Medical Center<br />

and Henry Ford Wyandotte Hospital. In<br />

addition to her professional experience,<br />

Debra holds a Master of Business<br />

Administration and a certification in<br />

<strong>volunteer</strong> management (CVM).<br />

Oakwood’s Pursuit of Excellence and the Baldrige program help us improve how we deliver care<br />

to our patients. The feedback Oakwood received from its recent site visit guides us in our<br />

journey of continuous improvement.<br />

Here’s what we learned from the Baldrige team:<br />

• Our strengths: We live our Credo, “Patients Come First,” by focusing on our patients, providing quality and safe<br />

care, behaving ethically and serving our community. In addition, we use data to create well-thought-out ways of<br />

doing things, and we include the entire organization in learning and using those methods. A good example is our<br />

Service Excellence program.<br />

• Innovation: Some tools and programs we have developed are leading-edge, such as the Oakwood Physician<br />

Leadership Academy and the Magnificent 7 videos we have for our Service Excellence program.<br />

• Opportunities to improve: Every organization can do better, even those recognized with an award or site visit.<br />

Oakwood has learned that we may be able to do a better job with communication, achieving our action plans,<br />

sharing best practices and helping our workforce to learn and grow. We can also regularly evaluate the methods<br />

we use to conduct our business to reduce waste and be even more successful in meeting the needs of our<br />

patients.<br />

VOLUNTEER IN THE SPOTLIGHT<br />

EXCELLENCE IN ACTION!<br />

Important information for all Oakwood employees, <strong>volunteer</strong>s,<br />

physicians, patients and visitors:<br />

As you know, our own policies indicate that the Oakwood is a<br />

tobacco-free organization. Tobacco use is prohibited both<br />

indoors and outdoors on any Oakwood property to create a<br />

healthier environment for our visitors, guests, employees,<br />

physicians, and <strong>volunteer</strong>s.<br />

The City of Dearborn has recently amended an existing ordinance<br />

prohibiting tobacco. This ordinance includes school and hospital<br />

properties and extends for 100 feet beyond the property line of<br />

a school or hospital.<br />

What does this mean for Oakwood?<br />

• No patients, staff, physicians, visitors, <strong>volunteer</strong>s or any<br />

person at Oakwood Hospital & Medical Center is permitted to<br />

use any tobacco product within 100 feet of the hospital (or<br />

school) property. This includes lighted tobacco products as<br />

well smokeless or chewing tobacco. Note that this also<br />

includes the sidewalks in front of the hospital.<br />

• The Dearborn Chief of Police will work with Oakwood security<br />

staff to appoint them as special police officers with the<br />

authority to issue citations for any violations of this<br />

ordinance.<br />

• Anyone violating this ordinance is guilty of a civil<br />

infraction, punishable by a fine of $50.<br />

Patrick Doute is an Outpatient Imaging<br />

greeter for Oakwood Southshore<br />

Medical Center and has been<br />

<strong>volunteer</strong>ing since October 2009. He<br />

enjoys his <strong>volunteer</strong> experience as a<br />

greeter because he loves interacting<br />

with everyone. Patrick takes the time<br />

to answer questions patients may have<br />

regarding their registration process. He<br />

even puts children at ease before<br />

testing by offering them candy. In<br />

addition to Patrick’s role, he also helps<br />

with training new <strong>volunteer</strong>s as<br />

greeters. In 2011, Patrick received a<br />

Service Excellence award for being<br />

mentioned by Oakwood Southshore’s<br />

leadership team, patients, other<br />

<strong>volunteer</strong>s, and even in the Press<br />

Ganey survey.<br />

We thank Patrick for <strong>volunteer</strong>ing his<br />

time and dedication and always<br />

demonstrating “Patients come <strong>first</strong>”<br />

attitude!<br />

Social media tools allow people to share, collaborate and publish on the Internet. It is<br />

An online “conversation” that happens on sites such as Facebook and Twitter as well<br />

as in blogs, forums and other types of interactive sites.<br />

While at home, some Oakwood personnel/<strong>volunteer</strong>s may be interested in engaging in<br />

Internet conversations to support Oakwood’s organizational objectives. We recognize the<br />

networking opportunities social media offers and truly appreciate the support staff and<br />

<strong>volunteer</strong>s provide in promoting Oakwood’s mission, vision and values in the community.<br />

We encourage sharing your passion for Oakwood with others and remind you, even while<br />

not at Oakwood, to keep following policies and guidelines in mind.<br />

Follow all applicable Oakwood Policies. For example, you must not share confidential<br />

or proprietary information about Oakwood, and you must maintain patient privacy. Among<br />

the policies most pertinent to this discussion are those concerning patient confidentiality,<br />

government affairs, mutual respect, political activity, computer, e-mail and internet use,<br />

photography and video and release of patient information to media. Social media is a<br />

dynamic medium with Web sites, technology, access constantly evolving.<br />

Whenever in doubt about the appropriateness of posting any content, contact Strategic<br />

Communications at 313.586.5400.<br />

Remember: knowingly releasing patient information is in violation of HIPAA and can<br />

result in a one-year jail sentence and a $50,000 fine.<br />

The most important aspect to remember about social networking is that Oakwood’s<br />

Electronic communication policy and other policies apply in this medium. In any<br />

Respect, Excellence, Diversity and Ownership. Before participating in any of these activities,<br />

WIKIS are collection of web pages<br />

designed to allow anyone who<br />

content. They are typically used to<br />

store the collective knowledge of<br />

communities.<br />

EVALUATION COMMUNITIES provide<br />

collective evaluations (ratings) and<br />

comments on already existing web<br />

content or consumer products.<br />

TAGGING COMMUNITIES add<br />

categorizing keyword (tags) to<br />

existing online content, making it<br />

easier for other people to find and<br />

digest it.<br />

MICROBLOGS are a cross between<br />

blogs and instant messaging. Users<br />

can post short messages about<br />

updates, contribute to ongoing<br />

conversations or share links to blogs,<br />

articles, and pictures.<br />

SOCIAL MEDIA AGGREGATORS are<br />

tools to display content from various<br />

sources traditional news sources and<br />

news from the tools described<br />

above. This eliminates the need to<br />

visit many different websites to stay<br />

up-to-date.<br />
