Children’s Birthday Party Rental Agreement
Denver Botanic Gardens birthday packages include birthday banner, free all day admission to the gardens (special events
may have an additional fee), 15 minutes for set up and 15 minutes for tear down. The following birthday packages and
activities are available:
Picnic Package $100
Outdoor Picnic Gazebo with seating for 20 for 2
hours
School House Package $175
2 hours in the Deer Creek School House with
three 8’ banquet tables, 30 chairs and counter
for food/presents
Barnyard Package $300
2 hours in the Green Farm Barn with six 5’ round
tables, 50 chairs and two 8’ banquet tables
Activities Available:

Regulations
Denver Botanic Gardens at Chatfield welcomes the private use of its facilities for a wide variety of events. In order to preserve our
facilities while sponsoring private and public events the following policies must be followed. Events of any kind will not be held without
pre-scheduling and approval from Denver Botanic Gardens at Chatfield. Arrangements must be made through the Facility Rental
Office. Scheduling will operate on a first-come, first-served basis and is based on availability.
Payment
Full payment is required for party confirmation.
Special Events
Rental fee includes general admission for you and the guest
number listed on the contract. Denver Botanic Gardens at
Chatfield reserves the right to access a per person fee charge
to your Facility Rental for any special event or traveling exhibit
during the time of your Facility Rental, including but not limited
to the Corn Maze, Pumpkin Festival, Trail of Lights and the
Music Festival.
Rescheduling & Cancellations
Renter may request one rescheduling of the rental date. Any
request made less than 14 days of the original date shall be
charged an additional $25 rescheduling fee. Cancellations will
be charged a $50 service fee. Written notification of
cancellation must be received at least 14 days before the event
to receive the full remainder of the rental fee. A notification
received less than 14 days before the event shall result in the
forfeiture of the total rental fees.
Denver Botanic Gardens at Chatfield reserves the right to
cancel an event if the facilities are, in the sole judgment of an
authorized museum official, rendered unsuitable for the event
due to fire or other calamity, act of God, labor dispute, notice of
violations by any city, county or other government agency, or
any other occurrences beyond the control of Denver Botanic
Gardens at Chatfield. In the event of such cancellation, the
Renter will not be liable for payment of any fees for cancelled
programs, nor will Denver Botanic Gardens at Chatfield have
any further liability or obligations with regard to the cancelled
events. Should such action prove necessary, Denver Botanic
Gardens at Chatfield guarantees that it will provide suitable
time for re-scheduling.
Food & Drink:
Food preparation is not permitted. Please bring items that are
already prepared. No alcohol permitted with birthday party
room rentals.
Furnishings & Decorations
Denver Botanic Gardens at Chatfield will provide tables and
chairs for the birthday party. The renter is required to provide
table clothes for each table provided. Party decorations are
permitted on the table only, unless approved by the party
coordinator. Balloons are permitted, if they pop please be sure
to pick up the pieces so they are not eaten by the animals
living on site.
Set Up and Clean Up
Birthday Party rentals will have 15 minutes of set up prior to
the party start time and 15 minutes of clean up time after the
party end time. It is the renter’s responsibility to leave the party
room as it was founded. If additional time is needed the party
time must be extended to included ample set up and clean up
time. When making your reservation, please allow enough time
before and after your event or program for setting up and
taking down necessary equipment and decorations and for
cleaning up the facility. Denver Botanic Gardens at Chatfield
reserves the right to charge an additional clean-up fee.
Expenses incurred for extra cleaning, such as carpet
shampooing or painting of walls will be passed along to those
renting the facility. If your event generates large quantities of
refuse and/or recyclables you will be billed for their removal, so
please take them with you. Denver Botanic Gardens at
Chatfield is not responsible for any items left behind.
Indemnification
The Renter contracting for an event must agree to hold
harmless Denver Botanic Gardens at Chatfield, its agents and
employees, against any and all liability, loss or damage it may
hereafter sustain, incur or be required to pay by reason of any
personal suffering, personal injury, death or property damage,
either while participating in or receiving the services being
furnished by the contractor under this agreement, or while on
the premises in conjunction with such event, except for those
liabilities caused by or resulting from negligence or the
intentional acts of Denver Botanic Gardens at Chatfield, its
officers, agents or employees.
The Renter must agree to assume complete responsibility for
replacement or repair of articles damaged beyond ordinary use
or stolen either by that in attendance or by persons hired by
them for the event. The extent of the damage and cost of
repair will be judged solely by Denver Botanic Gardens at
Chatfield based upon estimates received.
The following are not allowed in Denver Botanic Gardens at
Chatfield at any time: smoking, fireworks, sparklers,
pyrotechnic devices
The conduct of guests is the Renter’s responsibility. Children
must be supervised at all times. Denver Botanic Gardens at
Chatfield staff is fully empowered to ask anyone to leave on
the grounds of disorderly conduct, intoxication, or overstaying
their contracted time.
We the undersigned have read each page of the contract and agree to fully abide with all provisions contained therein.
