Introduction<br />

This document contains basic guidelines to meet <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> graphic standards.<br />

These standards provide guidelines in using the <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> name, logo and<br />

seal for official <strong>College</strong> business print and electronic publications. Student clubs and groups<br />

should obtain approval to use the logo from the marketing and media relations office. All<br />

other uses of <strong>College</strong> names, symbols, logos, must be in accordance with the <strong>College</strong>’s grahpic<br />

standards. The purpose of this guide is to establish a consistency in all <strong>Missouri</strong> <strong>Valley</strong><br />

<strong>College</strong> communications. The consistent standard will help the public become familiar with<br />

publications produced by the <strong>College</strong>.<br />

All publications produced by <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> faculty and staff for external use should<br />

be approved by the marketing and media relations director. Questions regarding publications<br />

should also be directed to the marketing and media relations office.<br />

Office of Marketing & Media Relations<br />

The mission of the marketing and media relations office is to manage all public relations efforts<br />

for the college, contributing to the advancement of the college’s image/brand. The Office<br />

provides a consistent, professional image of the <strong>College</strong> by creating and maintaining the<br />

institutions advertising campaigns, publications, social media, and all other printed material,<br />

communicating internally and externally to support the mission of <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong>.<br />

Goals<br />

Oversee all internal and external communication/marketing collateral to maintain a consistent<br />

image.<br />

Assist campus organizations and programs in developing successful public relations plans in<br />

order to strengthen enrollment, recruiting, and fund-raising efforts.<br />

Serve as liaison between <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> and local, regional, national, and international<br />

media outlets.<br />

To ensure recognition of <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> beyond the surrounding region, first reference<br />

of the <strong>College</strong>’s name should be “<strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong>.”<br />

The preferred usage of the <strong>College</strong>’s name should be used in instances such as but not limited<br />

to, answering phones, making speeches, or presentations, e-mail signatures, in print or<br />

electronic publications, and stationery.<br />

The approved formal name derivations of the college are:<br />

• <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong><br />

• <strong>Missouri</strong> <strong>Valley</strong><br />

Other less formal name derivations that may be used are:<br />

• MVC<br />

logos should not be altered or changed in any way without permission from the marketing<br />

and media relations office. Use of these logos should be limited to the variations shown. Use<br />

The authorized logos identifying <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> are comprised of five primary elements.<br />

This includes the wordmark <strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong>, the V, a Viking head, the academic<br />

logo and the <strong>College</strong>’s official seal. Each logo has its own variations in design and color<br />

scheme.<br />

The Seal is the official legal seal of the <strong>College</strong>. The use of the seal should be restricted to<br />

official and legal documents such as diplomas, certificates, and transcripts—primarily items<br />

generated by the president’s office, registrar’s office, and/or the board of trustees. The seal<br />

should have a limited role as the official logo, and should be used sparingly for merchandise.<br />

The <strong>College</strong>’s logos should not be altered or changed in any way without permission from<br />

<strong>Missouri</strong> <strong>Valley</strong> <strong>College</strong> business cards and envelopes may be ordered through the MVC Copy<br />

Center using the approved designs provided. Any stationery items that do not adhere to these<br />

guidelines must be approved by the marketing and media relations office.<br />

Letterhead templates can be found in Microsoft Outlook Public Folders (under campus forms).<br />

• Matters pertaining to academics should use stationery with the academic logo.<br />

• Matters pertaining to athletics should use the Viking logo.<br />

• Either the academic or Viking logo can be used for items of general interest.<br />

<strong>Graphic</strong> Design Job Request<br />

To follow the MVC graphic identity standards, the marketing and media relations office is<br />

available to assis the campus community in graphic design projects. A job start is available<br />

at www.moval.edu/aboutmvc/press/forms/jobform/php. All jobs require at least two weeks<br />

for design (some projects require more or less time) and one to two weeks for printing. When<br />

requesting a graphic design job it is important to be thorough. Questions regarding graphic<br />

design projects should be directed to the marketing and media relations office.<br />

Story Suggestion Form<br />

A form is available at www.moval.edu/aboutmvc/press/forms/storyform.php to suggest a<br />

story. This form shoud be used for “feature” stories -- not timely news -- regarding MVC students,<br />

alumni, departments, faculty, and staff members, etc.<br />

Each submission will be handled based upon department priorities and submission’s purpose/need.<br />

Publicity Request Form<br />

requests. More information on page 15 of this document.<br />

Publicity Advisors<br />

As certain groups and departments on campus hold events and activities, as time permits,<br />

the marketing and media relations office will serve as a a publicity advisory team.<br />

This team will meet with individuals planning the activitiy or event and make recommendations<br />

to achieve desired goals.<br />

Following are general guidelines for submission of information related to news, events, and<br />

activities. The action of the MVC marketing and media relations office is described, however,<br />

exceptions may be made based on the timeliness, news piece, event or activity.<br />

In addition to the action below, events and activities may be included in the monthly newsletters;<br />

Viking Views, the alumni and friends publication; a campus wide email; or other.<br />

A press release is free, but not guaranteed. Publicity requests must be submitted 4-6 weeks in<br />

advance of the event (the communications office needs at least two weeks to process information<br />

and most media outlets request the information at least two weeks lead time). All<br />

events publicity requests must be submitted with a publicity request form found at<br />

www.moval.edu/aboutmvc/press.asp. Only events associated with MVC, its departments,<br />

students, faculty, staff, board of trustees, approved programs, or approved student organizations<br />

are eligible for inclusion. Photos can be delivered or submitted electronically for consideration.<br />

Late requests will be accommodated based on department priorities. Contact ext.<br />

4172 for ad pricing. Please be complete and accurate in providing information as the information<br />

sent to the communications office may end up going out that way. If you are requesting<br />

post-event coverage, please make requests as soon as possible following event/activity.<br />

Email signatures should follow one of two formats<br />

1. A .jpg image can be created by the marketing and media relations office.<br />

2. For off-campus Outlook Access, the signatures should be in black type, with the exception<br />

of the individuals name, which can appear in purple if preferred. The MVC academic or Viking<br />

logo may be included. Those logos can be sent from the marketing and media relations office.<br />

*When using purple please use the correct RGB combination (from page 12).<br />

Off-Campus Outlook Access<br />

Signatures serve a simple but essential function. Unless you are emailing a friend or coworker,<br />

do not assume that the recipient will know exactly who you are–you may need to identify<br />

yourself toward the beginning of the body of the email and/or include your title and company<br />

name as part of your signature.<br />

An email signature should have a few key elements:<br />

• Full name<br />

• Company name<br />

• Job title or division<br />

• Mailing address<br />

• Telephone number<br />

• Company website<br />

• Email address<br />

You should be the judge of what information is pertinent to your readers and include it.<br />

What you shouldn’t do, however, is go overboard with information. A few signature items<br />

can make you seem unprofessional. Elements you should be wary of including are:<br />

• Pictures (of yourself or anybody or anything)<br />

• A variety of fonts<br />

• Moving or flashing text<br />

• Potentially offensive quotes<br />

• Embedded video or sounds that play automatically<br />

• A list of formal titles and certifications that read like alphabet soup (unless essential to your job)<br />

• Legal disclaimers that are irrelevant to the message.<br />

Directions for inserting a .jpg email signature.<br />

Microsoft Office 2007<br />

1. Please review the info to make sure it is correct, if there are corrections that need to be<br />

made please email it back with corrections.<br />

2. Save the attachment included in the email, make sure you know where to find it.<br />

3. With Outlook open, go to Tools and click Options<br />

4. Click the Mail Format tab. On the mail format tab, click Signatures<br />

5. On the E-mail Signature tab, in the Select signature to edit box, click the new button<br />

and name your new signature.<br />

6. Under choose default signature make sure the email address is correct and use the<br />

drop down box to change the new messages and replies/forwards to your new email<br />

signature.<br />

7. Under Edit Signature click on the picture button (second from right). Insert the at<br />

tachment.<br />

8. If you want to link your email signature to MVC’s website, once you’ve inserted the at<br />

tachment, click on it. After you have selected the picture click the Insert Hyperlink<br />

button (far right, globe + chain image). In the address space at the bottom of the new<br />

window type in www.moval.edu and click OK.<br />

9. Click Ok.<br />

10. Your signature won’t appear on the open message, you’ll have to open a new message<br />

and your signature should appear on the new message.<br />
