CREW ADMINISTRATION<br />

0201. Entry Proforma<br />

a. All crews are required to complete an entry proforma forwarded with a covering<br />

letter of intent to participate sent to the Battery Commander by 31 October each year.<br />

A copy of the entry proforma can be found at Annex 2A. The entry proforma is<br />

followed by an entry fee which can be seen in Table 2-1 below. This is to be received<br />

by 31 January each year.<br />

b. <strong>Crew</strong>s failing to pay by the nominated date will not be permitted to enter the<br />

competition and those on the Reserve List will be allocated guns as decided by the<br />

Executive Committee.<br />

0202. Risk Assessment<br />

a. All crews are required to conduct a Risk Assessment for their place of training. A<br />

copy of the Risk Assessment form can be found at Annex 2B. The risk assessment<br />

form must be submitted before the date of gun issue. A copy of the risk assessment<br />

must be displayed at the side of the Field Gun Track during training.<br />

Note. It is a legal requirement to provide a completed Risk Assessment and this is the<br />

responsibility of the No1 Trainer and Field Gun Officer. Medical cover MUST be<br />

arranged for each and every track period of training with the gun.<br />

b. For crews who request the loan of a gun outside of the RN Field Gun Competition,<br />

a risk assessment must be made for the venue at which they intend to run. This should<br />

be forwarded to the Battery Commander. No guns will be released until the risk<br />

assessment has been received.<br />

0203. Nominal Lists<br />

a. Due to the introduction of the Junior Leaders Field Gun Competition there is a<br />

need to de-conflict the personnel who run in a <strong>Royal</strong> <strong>Navy</strong> Field Gun <strong>Crew</strong> with those<br />

who run in a Junior Leaders Field Gun <strong>Crew</strong>. This is to ensure that no person who has<br />

taken part in a competition run during the RN competition is a member of a Junior<br />

Leaders crew. For this reason FGOs are to submit a nominal list of all crew members<br />

and spare numbers to the Battery Commander’s Assistant no later than 1700<br />

Wednesday evening of Field Gun Week. A form for nominal lists can be found at<br />

Annex 2C.<br />

b. Any spare numbers who subsequently participate in the competition, following<br />

injury to a crew member, are to be reported to the Battery Commander during his brief<br />

at 1200 on the Friday morning of Field Gun Week and at any time thereafter during the<br />

competition as required. Failure to do so may jeopardize a crew’s entry into the Junior<br />

Leaders’ competition. The Executive will decide on a case by case basis on which<br />

firing numbers and extractors may participate in JLFG to ensure strict H&S rules are<br />

observed.<br />

0204. Fitness Tests<br />

All military personnel associated with a crew which includes running members, spare<br />

numbers, No1 Trainers, Judges and Timekeepers (military), are to be in date for the <strong>Royal</strong><br />

<strong>Navy</strong> Fitness Test by the time they arrive in COLLINGWOOD.<br />

0205. Transport of Field Guns<br />

No1 Trainers and Field Gun Officers are reminded that all RN Field Guns, transported<br />

by road within the UK, must comply with JSP 440 Part 7 Section 7 <strong>Chapter</strong> 2 as a baseline<br />

measure. It is a legal requirement to act responsibly under UK statutes due to the <strong>Royal</strong> <strong>Navy</strong><br />

12lb Field Gun being classed as a firearm.<br />

0206. RNRMC Field Gun Business Continuity Manager<br />

The <strong>Royal</strong> <strong>Navy</strong> Field Gun competition has grown exponentially in both popularity and<br />

participation throughout the early years of the 21 st century. This has culminated with the formal<br />

backing of the <strong>Royal</strong> <strong>Navy</strong> and <strong>Royal</strong> Marines Charity (RNRMC) and the subsequent<br />

advantages that such a generous benefactor affords the community has been recognised by<br />

the renaming of the competition to the ‘RNRMC Field Gun Competition’ (RNRMC FG). The<br />

growth and formalised sponsorship has in turn required an expansion of the committee that<br />

oversees the FG community, including a role for a Business Continuity and events Manager<br />

(BCM). The terms of reference for the BCM can be found at Annex 2D.<br />

0207. Sports Lottery & RNRMC Payroll Giving<br />

The RNRMC Grant money is to help all crews that require support towards<br />

participating in Field Gun and the expenses that go with it. The criteria is listed below but prior<br />

to any team submitting a bid, all teams are to submit in writing their expenses for the last<br />

3 years, regardless of whether an application for grant money is being made, to Anne Carr<br />

(address on grant bid letter). This is to allow the Executive Committee to understand how and<br />

where other support has been gained and also to ensure the grant is distributed to as many<br />

crews as possible. A bid for money is to be applied for in writing using the letter template<br />

attached at Annex 2E and submitted to Anne Carr in hard copy, this will then be presented to<br />

the remainder of the Executive Committee. Deadlines will be published at the Field Gun<br />

meetings also by e-mail as the season progresses. The criteria is as follows:<br />

a. All team members are encouraged to be part of the payroll scheme and this will<br />

assist in future bids and funds towards Field Gun. This is to be sent direct to Anne<br />

Carr at the RNRMC so as not to break Data Protection of Personal Information. The<br />

form attached at Annex 2F is to be printed filled in and the hard copy sent direct to:<br />

b. All teams are to state whether they have applied for any other funding from other<br />

sources and how much they have been granted.<br />

c. The funds can only be paid by BACS or cheque to a Welfare or Central Fund not<br />

to an individual.<br />

d. On successful receipt of a grant a personal letter is to be written to the Naval<br />

Service Amenity Fund Chairman this is to include photographs with the team<br />

displaying the RNRMC Logo/buckets and flags.<br />

e. Use of the RNRMC buckets, collection tins and flags etc are to be used at any<br />

public event.<br />

f. Applications for grants towards kit purchases, sports refreshments and medical<br />

supplies for the week at HMS COLLINGWOOD or training weeks are allowed.<br />

g. No bid will be granted towards travel expenses or subsistence for travel ie the hire<br />

of a mini-bus or towards crew meals.<br />

h. In a Joint/Tri Service team, the bid letter is to clearly state how many personnel<br />

are serving with each of the Services and what application has been made if any, to<br />

the other Service’s Funds.<br />

i. All crews utilising the grant towards kit are to allow the RNRMC logo to be<br />

displayed somewhere on the kit. This can be a small logo so as not to detract from<br />

the design of the kit. For crews that have received sponsorship but would like to utilise<br />

the RNRMC logo on their kit as well should contact Hilary Jukes<br />

(hilary.jukes@rnrmc.org.uk) who will be happy to discuss any issues other sponsors<br />
