CERTIFYING COPIES OF DOCUMENTS<br />
As explained in Chapter 2, <strong>the</strong>re are two ways to certify a copy <strong>of</strong> a document. The simplest and easiest is simply to<br />
make a copy <strong>of</strong> <strong>the</strong> original document and add <strong>the</strong> properly-completed notarial block on <strong>the</strong> front or back <strong>of</strong> <strong>the</strong><br />
copy. The easiest way to do that is by using <strong>the</strong> appropriate printable notarial block forms available on our<br />
website: www.sos.mt.gov/<strong>Notary</strong>/assets/blocks/Copy_Certification.pdf. You can download <strong>the</strong>se forms on mailing<br />
labels or regular paper and stick one right on <strong>the</strong> copy.<br />
Here are completed examples <strong>of</strong> <strong>the</strong> properly-completed notarial block for each <strong>of</strong> <strong>the</strong>se situations:<br />
1. Direct certification:<br />
<strong>State</strong> <strong>of</strong> <strong>Montana</strong><br />

I certify this to be a true and correct copy <strong>of</strong> <strong>the</strong> diploma from <strong>Montana</strong>n <strong>State</strong> University issued to John Doe made by me on __May 5 , 2012_.<br />

The second way is to have <strong>the</strong> person who brings in <strong>the</strong> document certify <strong>the</strong> document’s accuracy and <strong>the</strong>n <strong>the</strong><br />
notary performs a jurat notarization attesting to <strong>the</strong> fact that <strong>the</strong> document custodian certified <strong>the</strong> document was<br />
true and correct. You can use <strong>the</strong> downloadable form for this process too.<br />
2. Certification by document custodian:<br />
First, have <strong>the</strong> customer write <strong>the</strong> certification statement on <strong>the</strong> document:<br />
I certify that this is a true and correct copy <strong>of</strong> _my diploma from <strong>Montana</strong> <strong>State</strong> University in my<br />
possession and made by me on ___May 5, 2012 .<br />
