Shared Services<br />

When I narrated stories of phenomenal<br />

growth of <strong>Siemens</strong> <strong>Pakistan</strong> during the<br />

Advance Management Course, it sounded<br />

fiction to most of the course participants<br />

because it was too good to be true.<br />

The fact of the matter is that this success<br />

story has been scripted by a team of<br />

dedicated professionals. We at Shared<br />

Services feel that we have also chipped<br />

in a little but significant way to that end.<br />

This gave me an impetus to jot<br />

down some contributions that<br />

we have made in the last two<br />

years or so.<br />

Shared Services at a<br />

glance:<br />

Organized as a corporate<br />

department we are entrusted<br />

with multiple tasks. From Real<br />

Estate to Security, from Facility<br />

Management to Logistics, from<br />

Insurance to House Keeping from<br />

EPN to Industrial Relations,<br />

Shared Services provides valuable<br />

support to our Business<br />

Units/Depts. We may not be the<br />

front line Business Units<br />

generating revenue for <strong>Siemens</strong> <strong>Pakistan</strong><br />

but we consider ourselves strategic<br />

partners to these Business Units.<br />

Civil Works:<br />

One of the major responsibilities of Shared<br />

Services Department is to build and<br />

renovate the entire <strong>Siemens</strong> building<br />

portfolio and to maintain it in a<br />

professional way.<br />

Projects successfully completed:<br />

Some of the major projects undertaken<br />

by us are as follows:<br />

F BU TR Project:<br />

Apart from us, only our friends in BU TR<br />

know the importance and scope of this<br />

project. This is the most dominating<br />

structure in the entire SITE area, however,<br />

the complexity of the project was much<br />

more than what is apparently visible to<br />

the observer.<br />

The structure was designed to carry a 200<br />

tons crane; it<br />

i n c l u d e d<br />

construction of the<br />

biggest test field in<br />

<strong>Siemens</strong> <strong>Pakistan</strong>,<br />

shifting of ovens,<br />

changes in the<br />

existing PT hall,<br />

installation of a<br />

Vertical Winding<br />

Machine ( 40 feet<br />

belowground level)<br />

but then this all<br />

was done to give<br />

<strong>Siemens</strong> <strong>Pakistan</strong><br />

the cutting edge of<br />

producing 220 kVA<br />

transformers.<br />

Increase in scope<br />

resulted in some delays towards the<br />

completion of project.<br />

& <strong>Siemens</strong> Learning Centre:<br />

The newly commissioned <strong>Siemens</strong><br />

Learning Centre (SAP Academy) at Park<br />

Towers Clifton is a trade mark project for<br />

Shared Services. This aesthetically planned<br />

and artistically built facility has everything<br />

that makes it world class. Such is the<br />

quality of the project that the company<br />

holds different meetings, seminars and<br />

other important events at this Learning<br />

Centre rather than any 5-star hotel. SRE<br />

Representative from Munich was also very<br />

appreciative and termed it as a world<br />

class facility.<br />

I Beach Hut:<br />

When we were tasked for the renovation<br />

of the Beach Hut by the CFO, we<br />

immediately understood his desire for a<br />

befitting recreational facility for the<br />

employees. We knew that it was a big<br />

challenge . Not with standing the distance<br />

for the city, we set ourselves a goal to<br />

convert this into <strong>Siemens</strong> signature<br />

facility. The new look beach hut was<br />

inaugurated by CFO’s wife in a simple but<br />

impressive ceremony. Ever since that day,<br />

this hut is on advance booking of more<br />

than 2 months.<br />

C Building ‘D’ 2nd Floor:<br />

With growing business we felt a need for<br />

additional office space in B – 72.<br />

Construction of an additional floor over<br />

Building D was selected as an answer to<br />

the need. With the help of internal<br />

professional Project Management, a<br />

13,000 sq.ft of office space which<br />

included structure, HVAC, furnishing and<br />

allied paraphernalia, was commissioned<br />

in a record time of just 6 months with<br />

considerable cost savings.<br />

q <strong>Siemens</strong> Chowrangi:<br />

With the desire to constantly<br />

improve/innovate (which has been the<br />

hallmark of our great company) we<br />

thought of giving a more modern look to<br />

the <strong>Siemens</strong> Chowrangi – something<br />

which should go with our strong brand<br />

image. We are very proud to report that<br />

M/S Envicrete has included this as a model<br />

in their marketing campaign.<br />

B Up lift and renovation of<br />

production areas:<br />

In a joint effort with our partners in BU’s<br />

/ Divisions, we are also engaged in<br />

uplifting of the production areas. We<br />

recently completed epoxy floorings of the<br />

entire production area of BU SB. Both we<br />

and BU SB are proud to report that the SB<br />

factory is comparable to any factory in<br />

the <strong>Siemens</strong> world. The same standard<br />

will be achieved in all areas in a phased<br />

program.<br />

Development of Outside<br />

parking:<br />

With the expanding business, a need was<br />

felt to utilize the parking area for<br />

production and other allied activities.<br />

Therefore, an aesthetically designed<br />

parking area is being created along the<br />

Estate Avenue.<br />

This will accommodate around 150 cars.<br />

C Uplift and renovation of<br />

offices:<br />

We remember a meeting nearly two years<br />

ago that the MD held with us in which he<br />

gave his vision of renovating and<br />

refurbishing all our offices to international<br />

standards. We embarked on a phased<br />

program of uplifting all offices and<br />

successfully completed the assigned task.<br />

I also recall the pride with which he<br />

narrated the nice comments that the then<br />

KESC buyers made to the MD about the<br />

high quality of our offices. We are<br />

confident that the modern working<br />

environment that our employees have<br />

today helps them deliver better results for<br />

the benefit of <strong>Siemens</strong> <strong>Pakistan</strong>.<br />

Prayer Area:<br />

<strong>Siemens</strong> prayer area at B – 72 was<br />

tastefully refurbished.<br />

Infrastructure Development<br />

t Logistics Management:<br />

This may sound a trivial function but<br />

managing a fleet of 350 cars (after COM<br />

carve out) and administration of a large<br />

number of rental vehicles is a huge task<br />

in itself. Such is the importance of this<br />

area that both MD and CFO monitor its<br />

performance personally. The young team<br />

in our transport department works<br />

tirelessly to achieve the desired results of<br />

cost controlling in this area. Over the last<br />

six months or so, a large sum of money<br />

has been saved through a joint effort by<br />

us and our friends in BUs / Departments.<br />

MIS software for Logistics is under<br />

development, through which we will be<br />

able to provide better support & services<br />

along with<br />

· Cost Saving<br />

· Effective management of Car Pool<br />

· Records & reports.<br />

4 Corporate Insurance:<br />

Corporate Insurance Department deals<br />

with diverse functions like:<br />

· Procurement of Vehicles<br />

· Lease Agreements for Real Estate<br />

· Pre-qualification & Registration<br />

· Corporate Insurance<br />

Through intense negotiations substantial<br />

rebate was obtained on account of<br />

premium rates for different categories of<br />

insurances. Benefits of which were passed<br />

on to all BU’s/Deptt.<br />

+ EPN and Power House:<br />

The power house committee headed<br />

by Mr. Ilyas envisaged the increasing<br />

power required in the face of growth<br />

of the company. We at Shared services<br />

in co-ordination with and supported by<br />

BU OLM, BU TR, BU SB and A&D chalked<br />

out a comprehensive plan to enhance<br />

the installed capacity of the Power<br />

House from 3040KW to 4240 KW<br />

through installation of 2 x 750 kVA<br />

generating sets by our in source<br />

partners at A&D Division.<br />

Simultaneously an exercise was also<br />

conducted to improve the entire<br />

electrical network. During this up<br />

gradation project additional<br />

requirement of 1000kw for PTHE<br />

(Power Trafo Hall Extension) was also<br />

catered for. Now in the second phase<br />

we are looking at ways and means to<br />

reduce cost of Power House operations<br />

through segregation of essential and<br />

non essential load. Only the essential<br />

load will be fed by Power House and<br />

the rest will be fed through cheaper<br />

(KESC) electricity. The estimated cost<br />

saving through this exercise is around<br />

Rs. 9 million annually.<br />

This process includes installation of:<br />

· 1.2 & 2.5 MVA Transformers in B-72<br />

Sub Station & PTHE respectively<br />

· 2 x 750 kVA DG Sets<br />

· LT/HT Panels in B-72 Sub Station<br />

Conclusion:<br />

The narration in the preceding<br />

paragraphs has not and should not<br />

make us complacent. We are not only<br />

aware of that but are also ready for<br />

even bigger challenges. We also<br />

know our weaknesses and limitations<br />

because of which we some times<br />

delay on delivery of services to our<br />

customers. We not only try to address<br />

these weaknesses but are also open<br />

to suggestions for improvement –<br />

after all we pursue the same goal (in<br />

different ways) and are partners to<br />

our BU’s. For this we need<br />

understanding of the BU’s and Depts<br />

and patronage of the Management.<br />
