Special Report
Shared Services
When I narrated stories of phenomenal
growth of Siemens Pakistan during the
Advance Management Course, it sounded
fiction to most of the course participants
because it was too good to be true.
The fact of the matter is that this success
story has been scripted by a team of
dedicated professionals. We at Shared
Services feel that we have also chipped
in a little but significant way to that end.
This gave me an impetus to jot
down some contributions that
we have made in the last two
years or so.
Shared Services at a
glance:
Organized as a corporate
department we are entrusted
with multiple tasks. From Real
Estate to Security, from Facility
Management to Logistics, from
Insurance to House Keeping from
EPN to Industrial Relations,
Shared Services provides valuable
support to our Business
Units/Depts. We may not be the
front line Business Units
generating revenue for Siemens Pakistan
but we consider ourselves strategic
partners to these Business Units.
Civil Works:
One of the major responsibilities of Shared
Services Department is to build and
renovate the entire Siemens building
portfolio and to maintain it in a
professional way.
Projects successfully completed:
Some of the major projects undertaken
by us are as follows:
F BU TR Project:
By: Ameen Imtiaz, GM, Shared Services
Apart from us, only our friends in BU TR
know the importance and scope of this
project. This is the most dominating
structure in the entire SITE area, however,
the complexity of the project was much
more than what is apparently visible to
the observer.
The structure was designed to carry a 200
tons crane; it
i n c l u d e d
construction of the
biggest test field in
Siemens Pakistan,
shifting of ovens,
changes in the
existing PT hall,
installation of a
Vertical Winding
Machine ( 40 feet
belowground level)
but then this all
was done to give
Siemens Pakistan
the cutting edge of
producing 220 kVA
transformers.
Increase in scope
resulted in some delays towards the
completion of project.
& Siemens Learning Centre:
The newly commissioned Siemens
Learning Centre (SAP Academy) at Park
Towers Clifton is a trade mark project for
Shared Services. This aesthetically planned
and artistically built facility has everything
that makes it world class. Such is the
quality of the project that the company
holds different meetings, seminars and
other important events at this Learning
Centre rather than any 5-star hotel. SRE
Representative from Munich was also very
appreciative and termed it as a world
class facility.
I Beach Hut:
When we were tasked for the renovation
of the Beach Hut by the CFO, we
immediately understood his desire for a
befitting recreational facility for the
employees. We knew that it was a big
challenge . Not with standing the distance
for the city, we set ourselves a goal to
convert this into Siemens signature
facility. The new look beach hut was
inaugurated by CFO’s wife in a simple but
impressive ceremony. Ever since that day,
this hut is on advance booking of more
than 2 months.
C Building ‘D’ 2nd Floor:
With growing business we felt a need for
additional office space in B – 72.
Construction of an additional floor over
Building D was selected as an answer to
the need. With the help of internal
professional Project Management, a
13,000 sq.ft of office space which
included structure, HVAC, furnishing and
allied paraphernalia, was commissioned
in a record time of just 6 months with
considerable cost savings.
q Siemens Chowrangi:
With the desire to constantly
improve/innovate (which has been the
hallmark of our great company) we
thought of giving a more modern look to
the Siemens Chowrangi – something
which should go with our strong brand
image. We are very proud to report that
M/S Envicrete has included this as a model
in their marketing campaign.
B Up lift and renovation of
production areas:
In a joint effort with our partners in BU’s
/ Divisions, we are also engaged in
uplifting of the production areas. We
recently completed epoxy floorings of the
entire production area of BU SB. Both we
and BU SB are proud to report that the SB
factory is comparable to any factory in
the Siemens world. The same standard
will be achieved in all areas in a phased
program.
Development of Outside
parking:
With the expanding business, a need was
felt to utilize the parking area for
production and other allied activities.
Therefore, an aesthetically designed
parking area is being created along the
Estate Avenue.
This will accommodate around 150 cars.
C Uplift and renovation of
offices:
We remember a meeting nearly two years
ago that the MD held with us in which he
gave his vision of renovating and
refurbishing all our offices to international
standards. We embarked on a phased
program of uplifting all offices and
successfully completed the assigned task.
I also recall the pride with which he
narrated the nice comments that the then
KESC buyers made to the MD about the
high quality of our offices. We are
confident that the modern working
environment that our employees have
today helps them deliver better results for
the benefit of Siemens Pakistan.
Prayer Area:
Siemens prayer area at B – 72 was
tastefully refurbished.
Infrastructure Development
t Logistics Management:
This may sound a trivial function but
managing a fleet of 350 cars (after COM
carve out) and administration of a large
number of rental vehicles is a huge task
in itself. Such is the importance of this
area that both MD and CFO monitor its
performance personally. The young team
in our transport department works
tirelessly to achieve the desired results of
cost controlling in this area. Over the last
six months or so, a large sum of money
has been saved through a joint effort by
us and our friends in BUs / Departments.
MIS software for Logistics is under
development, through which we will be
able to provide better support & services
along with
· Cost Saving
· Effective management of Car Pool
· Records & reports.
4 Corporate Insurance:
Corporate Insurance Department deals
with diverse functions like:
· Procurement of Vehicles
· Lease Agreements for Real Estate
· Pre-qualification & Registration
· Corporate Insurance
Through intense negotiations substantial
rebate was obtained on account of
premium rates for different categories of
insurances. Benefits of which were passed
on to all BU’s/Deptt.
+ EPN and Power House:
The power house committee headed
by Mr. Ilyas envisaged the increasing
power required in the face of growth
of the company. We at Shared services
in co-ordination with and supported by
BU OLM, BU TR, BU SB and A&D chalked
out a comprehensive plan to enhance
the installed capacity of the Power
House from 3040KW to 4240 KW
through installation of 2 x 750 kVA
generating sets by our in source
partners at A&D Division.
Simultaneously an exercise was also
conducted to improve the entire
electrical network. During this up
gradation project additional
requirement of 1000kw for PTHE
(Power Trafo Hall Extension) was also
catered for. Now in the second phase
we are looking at ways and means to
reduce cost of Power House operations
through segregation of essential and
non essential load. Only the essential
load will be fed by Power House and
the rest will be fed through cheaper
(KESC) electricity. The estimated cost
saving through this exercise is around
Rs. 9 million annually.
This process includes installation of:
· 1.2 & 2.5 MVA Transformers in B-72
Sub Station & PTHE respectively
· 2 x 750 kVA DG Sets
· LT/HT Panels in B-72 Sub Station
Conclusion:
The narration in the preceding
paragraphs has not and should not
make us complacent. We are not only
aware of that but are also ready for
even bigger challenges. We also
know our weaknesses and limitations
because of which we some times
delay on delivery of services to our
customers. We not only try to address
these weaknesses but are also open
to suggestions for improvement –
after all we pursue the same goal (in
different ways) and are partners to
our BU’s. For this we need
understanding of the BU’s and Depts
and patronage of the Management.
