are not required to preserve "orig<strong>in</strong>al chaos," and time and resources permitt<strong>in</strong>g, <strong>the</strong>y may<br />

arrange records <strong>in</strong> a way that better facilitates <strong>the</strong>ir use by patrons.<br />

6.4 Description<br />

Description is "<strong>the</strong> process of creat<strong>in</strong>g a f<strong>in</strong>d<strong>in</strong>g aid or o<strong>the</strong>r access tools that allow <strong>in</strong>dividuals<br />

to browse a surrogate of <strong>the</strong> collection to facilitate access." A f<strong>in</strong>d<strong>in</strong>g aid is a general term<br />

used to describe any mechanism that facilitates an archives patron f<strong>in</strong>d<strong>in</strong>g particular<br />

record(s); however, it is often used as a synonym for an <strong>in</strong>ventory, which is a specific type of<br />

f<strong>in</strong>d<strong>in</strong>g aid. The Texas State <strong>Archives</strong> website conta<strong>in</strong>s an <strong>in</strong>dex of processed records and<br />

publishes a portion of <strong>the</strong>ir f<strong>in</strong>d<strong>in</strong>g aids onl<strong>in</strong>e via TARO (Texas Archival Resources Onl<strong>in</strong>e), a<br />

collaborative archival description database to which many of Texas' museums and archives<br />

contribute.<br />

Name of <strong>the</strong> body of material and <strong>the</strong> date span of <strong>the</strong> documents <strong>in</strong>cluded <strong>in</strong> it.<br />

Adm<strong>in</strong>istrative <strong>in</strong>formation about <strong>the</strong> archival repository.<br />

Overview <strong>in</strong>formation perta<strong>in</strong><strong>in</strong>g to <strong>the</strong> specific material, such as its size, format of<br />

documents conta<strong>in</strong>ed <strong>with</strong><strong>in</strong>, accession numbers, etc.<br />

Historical or biographical note that provides a brief biography about <strong>the</strong> <strong>in</strong>dividual<br />

or entity, details regard<strong>in</strong>g why this person or entity is important to history and/or<br />

why <strong>the</strong>ir papers are of historic <strong>in</strong>terest.<br />

Scope and content note which describes <strong>the</strong> arrangement and record series of <strong>the</strong><br />

collection and <strong>the</strong> various media formats conta<strong>in</strong>ed <strong>with</strong><strong>in</strong>. It may highlight particular<br />

documents of notable importance and identify gaps <strong>in</strong> <strong>the</strong> records.<br />

Restrictions on use, access and technical requirements for view<strong>in</strong>g <strong>the</strong> records.<br />

Detailed description, which lists <strong>the</strong> physical arrangement and <strong>in</strong>cludes <strong>the</strong> series,<br />

folders and <strong>in</strong> some cases <strong>in</strong>dividual items, as well as <strong>the</strong> box numbers.<br />
