Electronic <strong>Records</strong><br />

Born-digital records—such as those created us<strong>in</strong>g e-mail, word-process<strong>in</strong>g or<br />

database programs—pose a great challenge to records managers and archivists.<br />

There are many issues surround<strong>in</strong>g <strong>the</strong>se records and archivists are grappl<strong>in</strong>g<br />

<strong>with</strong> long-term solutions.<br />

Consider:<br />

Today's version of a letter is e-mail or an <strong>in</strong>stant message.<br />

Today's version of a journal is an onl<strong>in</strong>e blog.<br />

Today's version of a scrapbook is a website.<br />

Today's version of a manual or form is a PDF document.<br />

Today's version of a pr<strong>in</strong>ted photo is a JPEG or TIFF file.<br />

Today's version of an appo<strong>in</strong>tment calendar is content stored on a smart phone.<br />

It is necessary to take measures today <strong>in</strong> order to ensure that records are<br />

au<strong>the</strong>ntic and reliable. Electronic records also have <strong>the</strong> added requirement of<br />

renderability, which means that digital <strong>in</strong>formation is capable of be<strong>in</strong>g viewed by<br />

humans and processed by computers today and <strong>in</strong> <strong>the</strong> future. This requires a<br />

strong commitment and <strong>in</strong>vestment. We are <strong>in</strong> jeopardy of permanently los<strong>in</strong>g<br />

<strong>the</strong>se records—many of which exist only <strong>in</strong> an electronic format. This is <strong>the</strong> case<br />

<strong>with</strong> communications scanned <strong>in</strong>to <strong>the</strong> Correspondence <strong>Management</strong> System<br />

if no hard copy version of <strong>the</strong> record is kept.<br />

As you prepare to leave office, contact Texas Legislative Council for<br />

<strong>in</strong>formation about preserv<strong>in</strong>g your communications that exist only <strong>in</strong> CMS,<br />

so that <strong>the</strong>y may eventually be transferred to <strong>the</strong> Texas State <strong>Archives</strong>.<br />
