Duties of Post<br />
Subject to conditions of service contained in local and national local authority manual<br />
workers conditions of service.<br />
General<br />
To be responsible to the Headteacher and Governors for the security, health<br />
and safety, maintenance, heating, cleaning, appearance and other general site<br />
services within the premises and the school grounds: to work on own initiative<br />
but within defined guidelines and standards.<br />
To lead, effectively deploy and be responsible for a team of staff which includes<br />
the Assistant Superintendents, Security / Lettings Officer, Admin. Assistant<br />
and Cleaners; overseeing their daily work and routines.<br />
To possess the technical skills relating to the efficient running of a large<br />
building.<br />
To be expected to contribute to school management decisions relating to the<br />
premises and the site: to be supportive of the school’s ethos and the aims of<br />
the school to assist in the school’s efforts towards continued improvement.<br />
To be expected to work with the minimum of supervision, to show initiative, to<br />
contribute in a positive way to the effective running of the school to deal<br />
effectively with unforeseen problems relating to the premises as they arise.<br />
To manage and be responsible for a range of budgets related to site<br />
maintenance and development<br />
To be aware of and support difference and ensure that students have equality<br />
of access to opportunities to learn and develop
Specific<br />
To contribute to school management decisions on matters relating to the<br />
premises; to help to establish the school ethos based on the aims of the school;<br />
to assist in the continuing development of the school.<br />
To be responsible for the security arrangements of the premises including<br />
ensuring that staff are aware of the procedures on security and the use of<br />
alarm systems, that there is an appropriate system of key holding management,<br />
that periodic reviews of site security are conducted and that appropriate<br />
progress action is followed through. To be the line manager with regard to callouts<br />
in the event of break-ins and to make appropriate emergency arrangements<br />
as required including the necessary reports.<br />
To advise on maintaining the premises in a safe and healthy condition, ensuring<br />
the maintenance of fire and other safety equipment and of first aid and<br />
emergency equipment, the safe storage of any potentially harmful materials and<br />
that there is appropriate and effective signposting and labelling.<br />
To be responsible for the planned and ad hoc maintenance and upkeep of the<br />
premises (the buildings, their non-curricular contents, grounds and grounds<br />
equipment).<br />
To be responsible for ensuring the safe and efficient operation of all premisesrelated<br />
mechanical, electrical, heating services and other plant. To take<br />
appropriate action to ensure and monitor proper safe levels of lighting, heating<br />
and ventilation; to maintain and monitor fuel efficiency records.<br />
To negotiate all service contracts for the school and to liaise with existing<br />
contractors making recommendations in respect of services which are provided<br />
in school.<br />
To be the client link with contracting staff, ensuring that contract specification<br />
is achieved and that any errors or omissions are remedied speedily; to<br />
contribute to the specifications, monitoring and review of all major contracts<br />
and services provided to the school.<br />
To monitor and address the appearance of the building and grounds, noting<br />
anything that may be detrimental to the desired appearance of ‘an attractive<br />
school in which it is pleasant to work’. The <strong>Facilities</strong> <strong>Manager</strong> will manage a<br />
budget for maintenance and improvement in consultation with the <strong>School</strong> Bursar<br />
/ Business <strong>Manager</strong>.<br />
To manage and operate systems of staffing cover for lettings and other<br />
community usage of the premises.<br />
To be responsible for the ordering of stock, checking of invoices, monitoring of<br />
budgets and keeping stock records of all equipment and tools within the<br />
postholder’s sphere of responsibility.<br />
To create and maintain a Risk Assessment Register relating to site maintenance<br />
and health and safety aspects of the school<br />
To regularly visually inspect all areas of the site for defects, potential hazards<br />
and possible improvements.
To ensure that all buildings insurance is adequate and administered effectively.<br />
To maintain good relationships with governors, staff, students, members of the<br />
community, pupils, parents, external organisations and contractors.<br />
To attend school management and appropriate Governors sub-committee<br />
meetings as required by the Headteacher.<br />
To provide periodic written reports to the Headteacher / Leadership Team on<br />
all areas of responsibility<br />
In discharging the duties of the post to have due regard to the provision of the<br />
Health and Safety at Work legislation at all times.<br />
To prepare and submit insurance claims.<br />
The <strong>Facilities</strong> <strong>Manager</strong> is responsible for the oversight of and where<br />
appropriate, involvement in the following duties of the team:<br />
‣ Responsible for school lockers<br />
‣ Operating the security and alarm systems<br />
‣ Completing cleaning checklists, returns and maintaining records as<br />
required ensuring drains, gutters, grease traps and catchpits are free<br />
from vegetation and potential blockage.<br />
‣ Ensuring school surroundings are kept clean, safe and litter free<br />
‣ Monitoring and recording meter readings and develop strategies for<br />
reducing waste, taking delivery of goods and porterage duties.<br />
‣ Moving furniture and equipment and other related tasks.<br />
‣ Removing graffiti.<br />
‣ Providing safe pedestrian access in bad weather.<br />
This list is not exclusive or exhaustive and may be subject to change in negotiation with<br />
the Headteacher.<br />

The post is full-time, with a basic working week of 37 hours.<br />
The postholder may be required to work during evenings and weekends on<br />
specific occasions (e.g. major school event), within the 37 hours a week limit<br />
The annual leave entitlement is 26 days rising to 31 after 5 years, plus Bank<br />
Holidays. Leave is to be taken in consultation with and the agreement of the<br />
Headteacher.<br />
The postholder is the school’s Health and Safety Officer<br />
The postholder is one of the school’s designated keyholders for emergency<br />
access to the site<br />
Dedicated administrative assistance is provided<br />
Office facilities will be provided.<br />
Suitable equipment and tools to undertake the duties will be provided.
