16 South Africa Business e-Business supplier portal One of the most significant steps in DCSA’s Procurement environment in 2002 will be the launch of a Supplier Portal on the Internet. Henry Freudenberger of IT Systems and Processes in Business Excellence, outlines what will happen. The portal will be a milestone within the Extended Enterprise Strategy, which will strengthen the relationship between supplier partners and DCSA. As DCSA puts great emphasis on e-Business and its supplier relations, the supplier portal is a development born out of that commitment. “From the company’s point of view the most essential goals concerning the Supplier Portal are first to offer a central point of entry to our current and potential suppliers and accordingly have one face to suppliers,” says Freudenberger. Completely aligned with Global Procurement & Supply, the Supplier Portal will provide general and specific key information. Numerous processes and actions based on SAP will take place on the Portal. On the one hand, suppliers will be able to access the required information and on the other hand, actual interactive workflows of the Procurement environment will be available online. Information and Interaction. Some of the Supplier Portal features are as follows:  Procurement documents, e.g. letter of intent, quality and purchasing agreements;  Catalogue Buying (Non Production Purchasing & Services);  External Balance Scorecard results;  DBL and DIN norms;
 Web-enabled industrialization process including engineering changes; Warranty claim issues; Standard timelines for projects and actions; Supplier Application; Supplier self-service (update own data); News and events, e.g. BEE and OEM activities; and Downloadable technical drawings. The benefits. The participation of South Africa’s most effective supplier network and especially the launch of the Supplier Portal will provide great benefits. It will allow easy access to all the required information in real-time and will also provide paperless online procedures and paperless documentation. “Also the communication between DCSA and the suppliers will be faster, more Business transparent and therefore closer. All processes that will take place on the Supplier Portal were re-engineered and put on SAP. This will lead to a more streamlined, faster and in the end a more efficient industrialization workflow,” says Freudenberger. In addition, he points out the synergy between SAP-based processes and their utilisation on the Supplier Portal will be advantageous for the suppliers and DCSA. “The Portal and the Processes behind it will reduce overheads and in the long run provide significant cost savings,” he says. The Project “Supplier Portal”. The most efficient way to run such a complex project was to create a cross-functional project team. This team comprises specialists from Purchasing, Engineering, Logistics and 17 Quality Assurance and is managed by Procurement & Export. Other functional areas within DCSA and our supplier partners will be involved in the Supplier Portal project. At this point the participating crossfunctional teams identify their specific requirements and create detailed process documentations concerning hard- and software and will start programming the Supplier Portal and its applications in the first quarter of 2002. After several quality gates testing, DCSA expects the Supplier Portal to go live in August 2002. More information on the Supplier Portal will be available in the next edition of Global Supplier.
