DAILY CAMP
PROCEDURES
Sign-in/Sign-out Procedures
The camp day runs from 9:00am-4:00pm. Sign children
in and out at the Seneca field. Each unit sign-in area will
be labeled. Sign-in is from 8:45-9:00am. Sign-out is from
4:00-4:15. PHOTO IDENTIFICATION IS REQUIRED EACH
DAY UPON PICK-UP. Children will not be released to
persons without Driver’s License or State Non-Driver’s ID, a
Passport, Military ID, or an Employment Identification Card.
Refer to page 10 of the camp brochure for Oneida sign in
and out times.
AM and PM Care
We offer extended care at no additional charge from
7:00-8:45 am and 4:15-6:00 pm. Those who arrive 8:45-
9:00 am must sign in with their unit at Seneca Field.
Pre-registration is required to ensure adequate staffing.
Please be advised that we are unable to accommodate walkins.
AM and PM Care are programmed separately from the
camp day. Activities are “centers-based“; operating out of
each respective shelter.
In the event that a child is not picked up, YMCA Staff will
attempt to notify authorized individuals for pick-up. If a
parent or other authorized individual cannot be reached
within 2 hours of scheduled pick-up time, the Monroe
County Protective Agency will be notified. There is charge of
$1 per minute for any child remaining after 6:00pm as well.
Early Pick-up and Departure
Due to the nature of day camp programming, we strongly
discourage late arrivals and early departures. We will attempt
to accommodate all written requests for early departure;
but please understand that we are a 55-acre facility and it
is likely that your child’s group will not be in the immediate
area at your requested pick-up time. Due to supervision
guidelines, we are unable to offer temporary care for early
departures.

Be aware that unusual arrivals/departures close to regular
arrival/departure time will result in delays. Those who arrive
after 9:00 am are required to sign-in at the Health Office
located in the Discovery Lodge.

CAMPER RELEASE
PROCEDURES
Authorized Pick-up/Emergency Contact
Anyone picking up a camper from Arrowhead must be on
the camper’s Authorized Pick-Up List with a registration
form and must present proper photo identification. In the
event that an unauthorized individual attempts to gain
access to a child, the parent/guardian or emergency contact
will be notified. Local law enforcement will be contacted if
necessary. Please note that a parent, regardless of custodial
arrangements, has the authority to obtain a child from camp
at any time unless a copy of the Court Order is on file with
the camp office. Camp staff CANNOT release a child to an
unauthorized individual without prior written notice at the
Camp Office.
Walking/Biking
If your child will be walking or biking to and from camp,
a signed consent form must be filed in the Camp Office
prior to the start of the session. Children should sign-out
daily with camp staff. Note: NYS law requires that children
have proper safety equipment (i.e. helmet) to ride a bike.

a wonderful event. Lunch, swimming, archery, ropes, games, and
inflatable activities are all available.

summer staff, some of our campers, and see camp ‘in action’.

Are you new to Arrowhead in the 2012 summer? Join us for an
individual night to help you and your camper adjust! Just the new
campers will join us for tours, songs, meet the staff night, and hear
from the directors about our policies and procedures. All leadership
and counselor staff will be on-hand to answer questions for those
registered and NEW in 2012.
OTHER CAMP
INFORMATION
Illness Policy
Please do not send your child to camp if he/she is ill and/or running
a fever. Children must be symptom free for at least 24 hours
prior to returning. If a child becomes ill during camp, a parent or
emergency contact will be notified to pick up the child.
Swimming
Campers who wish to swim in designated deep water areas must
pass the “deep-end test”. The deep-end test will be administered
on Monday of each camp session to those campers who have
not already passed the swim test at The Southeast YMCA and/or
YMCA Camp Arrowhead. Campers that are unable to successfully
complete the deep-end test and don’t meet height requirements
will be required to wear a life jacket while swimming.
Please refer to our camp brochure to register for swim
lessons during sessions 3-8. Additional fees apply. Lessons
are Monday-Friday each week. Child must be registered for
corresponding session in order to register for swim lessons. We
are unable to offer make-ups or refunds for missed lessons.
Lessons are in session rain or shine. In the event of severe weather
(thunder/lightning), we will offer an indoor safety lesson. See the
camp brochure for details and pricing.
Rainy Day Programming
Camp Arrowhead has two types of “rainy day programming”… If
there is no thunder or lightning, activities will go on as normally
scheduled. Some adjustments might be made in our schedule, but
for the most part, we would encourage campers to dress for the
weather and enjoy some alternate programming, such as puddle
jumping or mud-ball.

Campers from 2012 and their families can join us for a fun evening
of family time. Enjoy our facilities as a family, meet your child’s
counselor, or take a tour if you’re thinking about Arrowhead for the
remaining sessions. Swimming Pool, Climbing Tower, and Archery
Range will all be open.
Immunization History
New York State Department of Health requires each camp to
keep a current copy of every camper’s immunization history on
file in order for them to attend. A complete copy of your child’s
immunization history should be submitted to the YMCA a minimum
of 30 days prior to your child’s session beginning. Immunization
History can simply be dropped off at the Camp Arrowhead office
or the Southeast YMCA Member Service Center, Faxed to 585-
383-4598 or e-mail to ardesk@rochesterymca.org. CAMPERS
WITHOUT AN IMMUNIZATION HISTORY ON FILE WILL NOT BE
PERMITTED TO ATTEND.

If it is thundering or lightning, safety dictates that we keep all
campers and staff indoors. During this time, our rainy day activities
are enacted. We have a variety of crafts and indoor games that we
will bring out specifically for these types of days.While we hope
these days are few and far between, we are fully prepared with
gak-making supplies, and “Zingers” games to keep campers happy
and occupied while the weather passes.
Overnight Procedures
Camp Arrowhead will hold 3 overnights during the summer for
campers in grades 2 and up. Overnights take place on Fridays
during Session 3 (7/13), Session 5 (7/27), and Session 7 (8/10).
Registration and additional fees apply. Register in advance on the
camp registration form or you can obtain an overnight registration
form and additional information on our website.
Please note, we do not allow electronic games, toys, cellular
phones, and other personal items at any time during camp and/
or overnights. Due to food allergies, we cannot permit campers
to bring and/or share candy and other food items during camp
and camp overnights. YMCA Staff reserve the right to ensure that
campers do not bring prohibited items to overnight locations.

GENERAL CAMP INFORMATION
PAYMENT OPTIONS & PROCEDURES
Payment and Registration
Please review the registration form at the end of the camp
handbook. Fill out ALL PAGES which include immunization
and medical information and your camp program selections.
Ensure that all choices are filled out; including bus services,
and AM and PM Care. Parents are responsible for informing
the camp office of any change in address or phone number
including work and cell phone numbers.
State law requires that we have current health information
on file for each child attending camp. Please attach the
completed Health Form to your registration form. If your
child is not immunized for religious reasons or if he/she was
immunized in a country other than the United States please
send a letter along with your registration.
Fees and deposits
There is a $25 registration fee per child ($40 family
registration fee) and a separate $20 deposit per session
($35 for sessions 9 & 10). Each should be submitted along
with your child’s registration in order to secure a spot for
each desired session. Payment is due in full two weeks prior
to each session. Those who have not paid in full may not
be permitted to attend the camp program. Check out our
convenient Easy Pay Credit Card option.
Late Registration Fees
Please be aware that any new registrations made after
Thursday evening at 5:00 pm prior to each session are
subject to a $20 per child late fee.
Refunds/Credits
Please note we are unable to pro-rate weekly camp fees for
any reason other than a legal holiday. We require written
notice of session cancellation no later than the Monday
prior to the week your son/daughter is registered for. You
will be refunded the entire session cost less the session
deposit.
Cancellations received after this time will result in a credit
that may be used towards another 2012 Camp Arrowhead
Session (pending availability) less the session deposit.
Once a session begins, no refunds or credits will be given
without a note from your child’s physician.
Lost & Found
The loss of items is a common problem among elementary
school-aged children. Your help is needed in a number of
ways:
• Label ALL belongings with first and last names.
• Remember that children attend swimming and change in
the locker rooms throughout the day. Provide a back
pack to carry items throughout camp.
• Remind each child to check his/her belongings at the end
of each day.
• If something is lost, check the lost and found AS SOON
AS POSSIBLE.
• Notify camp staff upon sign-in/sign-out regarding lost
items.
*Lost and found items which are not claimed within
2 weeks will be discarded. Camp Arrowhead is not
responsible for lost or stolen items.
Financial Assistance
Assistance is based on income and is available
through funds raised by our annual YMCA
Invest in Youth Campaign. Financial Assistance
applications are available at your local YMCA.
All requests are confidential and based on
available resources. Applications are processed
in the order they are received and must be
turned in at least one month prior to sessions desired.
Campers may also earn funds to be used toward camp by
participating in our “Earn Your Way to Camp” fundraisers.
The sale runs February through August. Please call our main
office for more information on fundraising opportunities.

CAMP PREPARATION &
INFORMATION
Sunscreen and Bug Spray: In an effort to comply with
child abuse prevention guidelines, the application of topical
products will take place in an open setting. Staff will assist
Oneida and Cayuga campers in applying these products.
Staff will not assist Seneca, Onondaga, Teen Trekker, ALT,
and Specialty Campers, but will encourage the proper
application of topical products throughout the day. Campers
should bring their own products labeled with first and last
name.
Emergencies
In the event of an emergency, we will make every attempt to
notify parents. If necessary, emergency transportation will
be handled by 911, and local emergency services.
Medications
It is preferable that medications are administered at home.
All medications dispensed at camp require a Medication
Consent Form to be completed by parent/guardian
AND child’s physician. Upon registration, please obtain
a Written Medication Consent Form from our website
www.rochesterymca.org/camparrowhead or via the camp
office. This includes prescription and non-prescription
medications.
Those with special health care needs (i.e. severe allergic
reactions, physical limitations, etc.) are required to fill
out a Special Health Care Plan which can be obtained
on our website or via the camp office. This form must be
completed by the parent/guardian as well as the child’s
physician. Note: there is a separate form for those who
might require treatment for Asthma (Asthma Health
Care Plan). Forms can be submitted with registration.
Please hand medications directly to the Health Director
located in the Discovery Lodge. (Extended Care medication
drop offs can be delivered to the AM Care Coordinator; those
with children riding the bus can hand medications to the bus
monitor). All medication containers must be clearly labeled
with child’s first and last name. We are unable to accept
medications at sign-in tables. We cannot accept any
medications that are not in their original container.
What To Bring*
A backpack is recommended in order to
keep track of all items. Children should
bring the following:
• Comfortable play clothes appropriate
for the weather, and old sneakers are
recommended.
• Swimsuit and Towel (Label each with first
and last name).
• Sunscreen and bug spray (Label items with
first and last name).
• A plastic bag for wet/dirty clothes.
• Extra set of clothing (as needed; label
each item with first and last name).
• Close-toe shoes are highly recommended
for hikes around camp.
• Pack a lunch. Each unit has refrigeration
for lunches. Please label lunch bag with
child’s first and last name.
*An afternoon snack is provided at the
end of the camp day.

BEHAVIOR
EXPECTATIONS
Behavior Policy
Our camp is dedicated to providing every camper with a
positive summer experience. We have a set of community
standards and expectations for behavior which all camp
participants must follow, including a strict no bullying policy.
Our leadership team addresses all incidents of bullying
seriously and encourages campers, staff, and parents to
alert us to any problems during the camp season. It is our
goal to ensure that all participants in our community gain
self-confidence, make new friends, and go home with a
magical and memorable experience.
Prohibited Items
The following items will be confiscated by YMCA Staff and
held in the office for parents to retrieve at the end of the
camp day.
• Tobacco, alcohol, drugs
• Trading/Playing cards
• Sports equipment
• Electronic games or devices (including cell phones)
• Valuables (YMCA is not responsible for lost/stolen items)
• Personal toys/games
• Weapons (play or real)
• Candy, gum, cough drops (due to food allergies, campers
should not bring candy or snacks to share)
• Live animals
Behavioral Consequences
Campers not adhering to camp behavior standards will be
handled on an individual basis. Frequent or severe violations
might result in suspension or expulsion from the program at
the discretion of the camp director. No refunds will be given
due to expulsion or behavior suspensions.
Cell Phone/Electronics Policy
Camp Arrowhead is a cell-phone and electronic free zone.
If a camper brings a cell phone to camp, it must remain
safely in a backpack or held for safekeeping at the camp
office. Remember that Camp Arrowhead is not responsible
for the loss or damage of any personal item.
At Arrowhead,
we expect campers to:
• Follow camp rules
• Be cooperative and helpful
• Have a positive attitude
• Maintain open communication
• Try new things
• Have fun!
