DAILY <strong>CAMP</strong><br />

PROCEDURES<br />

Sign-in/Sign-out Procedures<br />

The camp day runs from 9:00am-4:00pm. Sign children<br />

in and out at the Seneca field. Each unit sign-in area will<br />

be labeled. Sign-in is from 8:45-9:00am. Sign-out is from<br />

4:00-4:15. PHOTO IDENTIFICATION IS REQUIRED EACH<br />

DAY UPON PICK-UP. Children will not be released to<br />

persons without Driver’s License or State Non-Driver’s ID, a<br />

Passport, Military ID, or an Employment Identification Card.<br />

Refer to page 10 <strong>of</strong> the camp brochure for Oneida sign in<br />

and out times.<br />

AM and PM Care<br />

We <strong>of</strong>fer extended care at no additional charge from<br />

7:00-8:45 am and 4:15-6:00 pm. Those who arrive 8:45-<br />

9:00 am must sign in with their unit at Seneca Field.<br />

Pre-registration is required to ensure adequate staffing.<br />

Please be advised that we are unable to accommodate walkins.<br />

AM and PM Care are programmed separately from the<br />

camp day. Activities are “centers-based“; operating out <strong>of</strong><br />

each respective shelter.<br />

In the event that a child is not picked up, <strong>YMCA</strong> Staff will<br />

attempt to notify authorized individuals for pick-up. If a<br />

parent or other authorized individual cannot be reached<br />

within 2 hours <strong>of</strong> scheduled pick-up time, the Monroe<br />

County Protective Agency will be notified. There is charge <strong>of</strong><br />

$1 per minute for any child remaining after 6:00pm as well.<br />

Early Pick-up and Departure<br />

Due to the nature <strong>of</strong> day camp programming, we strongly<br />

discourage late arrivals and early departures. We will attempt<br />

to accommodate all written requests for early departure;<br />

but please understand that we are a 55-acre facility and it<br />

is likely that your child’s group will not be in the immediate<br />

area at your requested pick-up time. Due to supervision<br />

guidelines, we are unable to <strong>of</strong>fer temporary care for early<br />

departures.<br />

Be aware that unusual arrivals/departures close to regular<br />

arrival/departure time will result in delays. Those who arrive<br />

after 9:00 am are required to sign-in at the Health Office<br />

located in the Discovery Lodge.<br />

<strong>CAMP</strong>ER RELEASE<br />

PROCEDURES<br />

Authorized Pick-up/Emergency Contact<br />

Anyone picking up a camper from Arrowhead must be on<br />

the camper’s Authorized Pick-Up List with a registration<br />

form and must present proper photo identification. In the<br />

event that an unauthorized individual attempts to gain<br />

access to a child, the parent/guardian or emergency contact<br />

will be notified. Local law enforcement will be contacted if<br />

necessary. Please note that a parent, regardless <strong>of</strong> custodial<br />

arrangements, has the authority to obtain a child from camp<br />

at any time unless a copy <strong>of</strong> the Court Order is on file with<br />

the camp <strong>of</strong>fice. Camp staff CANNOT release a child to an<br />

unauthorized individual without prior written notice at the<br />

Camp Office.<br />

Walking/Biking<br />

If your child will be walking or biking to and from camp,<br />

a signed consent form must be filed in the Camp Office<br />

prior to the start <strong>of</strong> the session. Children should sign-out<br />

daily with camp staff. Note: NYS law requires that children<br />

have proper safety equipment (i.e. helmet) to ride a bike.<br />

Are you new to Arrowhead in the <strong>2012</strong> summer? Join us for an<br />

individual night to help you and your camper adjust! Just the new<br />

campers will join us for tours, songs, meet the staff night, and hear<br />

from the directors about our policies and procedures. All leadership<br />

and counselor staff will be on-hand to answer questions for those<br />

registered and NEW in <strong>2012</strong>.<br />

OTHER <strong>CAMP</strong><br />

INFORMATION<br />

Illness Policy<br />

Please do not send your child to camp if he/she is ill and/or running<br />

a fever. Children must be symptom free for at least 24 hours<br />

prior to returning. If a child becomes ill during camp, a parent or<br />

emergency contact will be notified to pick up the child.<br />

Swimming<br />

Campers who wish to swim in designated deep water areas must<br />

pass the “deep-end test”. The deep-end test will be administered<br />

on Monday <strong>of</strong> each camp session to those campers who have<br />

not already passed the swim test at The Southeast <strong>YMCA</strong> and/or<br />

<strong>YMCA</strong> Camp Arrowhead. Campers that are unable to successfully<br />

complete the deep-end test and don’t meet height requirements<br />

will be required to wear a life jacket while swimming.<br />

Please refer to our camp brochure to register for swim<br />

lessons during sessions 3-8. Additional fees apply. Lessons<br />

are Monday-Friday each week. Child must be registered for<br />

corresponding session in order to register for swim lessons. We<br />

are unable to <strong>of</strong>fer make-ups or refunds for missed lessons.<br />

Lessons are in session rain or shine. In the event <strong>of</strong> severe weather<br />

(thunder/lightning), we will <strong>of</strong>fer an indoor safety lesson. See the<br />

camp brochure for details and pricing.<br />

Rainy Day Programming<br />

Camp Arrowhead has two types <strong>of</strong> “rainy day programming”… If<br />

there is no thunder or lightning, activities will go on as normally<br />

scheduled. Some adjustments might be made in our schedule, but<br />

for the most part, we would encourage campers to dress for the<br />

weather and enjoy some alternate programming, such as puddle<br />

jumping or mud-ball.<br />

Camp Arrowhead Family Night<br />

Thursday, July 19: 6:30-8:00 pm<br />

Thursday, August 16: 6:30-8:00 pm<br />

Campers from <strong>2012</strong> and their families can join us for a fun evening<br />

<strong>of</strong> family time. Enjoy our facilities as a family, meet your child’s<br />

counselor, or take a tour if you’re thinking about Arrowhead for the<br />

remaining sessions. Swimming Pool, Climbing Tower, and Archery<br />

Range will all be open.<br />

Immunization History<br />

New York State Department <strong>of</strong> Health requires each camp to<br />

keep a current copy <strong>of</strong> every camper’s immunization history on<br />

file in order for them to attend. A complete copy <strong>of</strong> your child’s<br />

immunization history should be submitted to the <strong>YMCA</strong> a minimum<br />

<strong>of</strong> 30 days prior to your child’s session beginning. Immunization<br />

History can simply be dropped <strong>of</strong>f at the Camp Arrowhead <strong>of</strong>fice<br />

or the Southeast <strong>YMCA</strong> Member Service Center, Faxed to 585-<br />

383-4598 or e-mail to ardesk@rochesterymca.org. <strong>CAMP</strong>ERS<br />

WITHOUT AN IMMUNIZATION HISTORY ON FILE WILL NOT BE<br />

PERMITTED TO ATTEND.<br />

If it is thundering or lightning, safety dictates that we keep all<br />

campers and staff indoors. During this time, our rainy day activities<br />

are enacted. We have a variety <strong>of</strong> crafts and indoor games that we<br />

will bring out specifically for these types <strong>of</strong> days.While we hope<br />

these days are few and far between, we are fully prepared with<br />

gak-making supplies, and “Zingers” games to keep campers happy<br />

and occupied while the weather passes.<br />

Overnight Procedures<br />

Camp Arrowhead will hold 3 overnights during the summer for<br />

campers in grades 2 and up. Overnights take place on Fridays<br />

during Session 3 (7/13), Session 5 (7/27), and Session 7 (8/10).<br />

Registration and additional fees apply. Register in advance on the<br />

camp registration form or you can obtain an overnight registration<br />

form and additional information on our website.<br />

Please note, we do not allow electronic games, toys, cellular<br />

phones, and other personal items at any time during camp and/<br />

or overnights. Due to food allergies, we cannot permit campers<br />

to bring and/or share candy and other food items during camp<br />

and camp overnights. <strong>YMCA</strong> Staff reserve the right to ensure that<br />

campers do not bring prohibited items to overnight locations.


GENERAL <strong>CAMP</strong> INFORMATION<br />

PAYMENT OPTIONS & PROCEDURES<br />

Payment and Registration<br />

Please review the registration form at the end <strong>of</strong> the camp<br />

handbook. Fill out ALL PAGES which include immunization<br />

and medical information and your camp program selections.<br />

Ensure that all choices are filled out; including bus services,<br />

and AM and PM Care. Parents are responsible for informing<br />

the camp <strong>of</strong>fice <strong>of</strong> any change in address or phone number<br />

including work and cell phone numbers.<br />

State law requires that we have current health information<br />

on file for each child attending camp. Please attach the<br />

completed Health Form to your registration form. If your<br />

child is not immunized for religious reasons or if he/she was<br />

immunized in a country other than the United States please<br />

send a letter along with your registration.<br />

Fees and deposits<br />

There is a $25 registration fee per child ($40 family<br />

registration fee) and a separate $20 deposit per session<br />

($35 for sessions 9 & 10). Each should be submitted along<br />

with your child’s registration in order to secure a spot for<br />

each desired session. Payment is due in full two weeks prior<br />

to each session. Those who have not paid in full may not<br />

be permitted to attend the camp program. Check out our<br />

convenient Easy Pay Credit Card option.<br />

Late Registration Fees<br />

Please be aware that any new registrations made after<br />

Thursday evening at 5:00 pm prior to each session are<br />

subject to a $20 per child late fee.<br />

Refunds/Credits<br />

Please note we are unable to pro-rate weekly camp fees for<br />

any reason other than a legal holiday. We require written<br />

notice <strong>of</strong> session cancellation no later than the Monday<br />

prior to the week your son/daughter is registered for. You<br />

will be refunded the entire session cost less the session<br />

deposit.<br />

Cancellations received after this time will result in a credit<br />

that may be used towards another <strong>2012</strong> Camp Arrowhead<br />

Session (pending availability) less the session deposit.<br />

Once a session begins, no refunds or credits will be given<br />

without a note from your child’s physician.<br />

Lost & Found<br />

The loss <strong>of</strong> items is a common problem among elementary<br />

school-aged children. Your help is needed in a number <strong>of</strong><br />

ways:<br />

• Label ALL belongings with first and last names.<br />

• Remember that children attend swimming and change in<br />

the locker rooms throughout the day. Provide a back<br />

pack to carry items throughout camp.<br />

• Remind each child to check his/her belongings at the end<br />

<strong>of</strong> each day.<br />

• If something is lost, check the lost and found AS SOON<br />

AS POSSIBLE.<br />

• Notify camp staff upon sign-in/sign-out regarding lost<br />

items.<br />

*Lost and found items which are not claimed within<br />

2 weeks will be discarded. Camp Arrowhead is not<br />

responsible for lost or stolen items.<br />

Financial Assistance<br />

Assistance is based on income and is available<br />

through funds raised by our annual <strong>YMCA</strong><br />

Invest in Youth Campaign. Financial Assistance<br />

applications are available at your local <strong>YMCA</strong>.<br />

All requests are confidential and based on<br />

available resources. Applications are processed<br />

in the order they are received and must be<br />

turned in at least one month prior to sessions desired.<br />

Campers may also earn funds to be used toward camp by<br />

participating in our “Earn Your Way to Camp” fundraisers.<br />

The sale runs February through August. Please call our main<br />

<strong>of</strong>fice for more information on fundraising opportunities.<br />

<strong>CAMP</strong> PREPARATION &<br />

INFORMATION<br />

Sunscreen and Bug Spray: In an effort to comply with<br />

child abuse prevention guidelines, the application <strong>of</strong> topical<br />

products will take place in an open setting. Staff will assist<br />

Oneida and Cayuga campers in applying these products.<br />

Staff will not assist Seneca, Onondaga, Teen Trekker, ALT,<br />

and Specialty Campers, but will encourage the proper<br />

application <strong>of</strong> topical products throughout the day. Campers<br />

should bring their own products labeled with first and last<br />

name.<br />

Emergencies<br />

In the event <strong>of</strong> an emergency, we will make every attempt to<br />

notify parents. If necessary, emergency transportation will<br />

be handled by 911, and local emergency services.<br />

Medications<br />

It is preferable that medications are administered at home.<br />

All medications dispensed at camp require a Medication<br />

Consent Form to be completed by parent/guardian<br />

AND child’s physician. Upon registration, please obtain<br />

a Written Medication Consent Form from our website<br />

www.rochesterymca.org/camparrowhead or via the camp<br />

<strong>of</strong>fice. This includes prescription and non-prescription<br />

medications.<br />

Those with special health care needs (i.e. severe allergic<br />

reactions, physical limitations, etc.) are required to fill<br />

out a Special Health Care Plan which can be obtained<br />

on our website or via the camp <strong>of</strong>fice. This form must be<br />

completed by the parent/guardian as well as the child’s<br />

physician. Note: there is a separate form for those who<br />

might require treatment for Asthma (Asthma Health<br />

Care Plan). Forms can be submitted with registration.<br />

Please hand medications directly to the Health Director<br />

located in the Discovery Lodge. (Extended Care medication<br />

drop <strong>of</strong>fs can be delivered to the AM Care Coordinator; those<br />

with children riding the bus can hand medications to the bus<br />

monitor). All medication containers must be clearly labeled<br />

with child’s first and last name. We are unable to accept<br />

medications at sign-in tables. We cannot accept any<br />

medications that are not in their original container.<br />

What To Bring*<br />

A backpack is recommended in order to<br />

keep track <strong>of</strong> all items. Children should<br />

bring the following:<br />

• Comfortable play clothes appropriate<br />

for the weather, and old sneakers are<br />

recommended.<br />

• Swimsuit and Towel (Label each with first<br />

and last name).<br />

• Sunscreen and bug spray (Label items with<br />

first and last name).<br />

• A plastic bag for wet/dirty clothes.<br />

• Extra set <strong>of</strong> clothing (as needed; label<br />

each item with first and last name).<br />

• Close-toe shoes are highly recommended<br />

for hikes around camp.<br />

• Pack a lunch. Each unit has refrigeration<br />

for lunches. Please label lunch bag with<br />

child’s first and last name.<br />

*An afternoon snack is provided at the<br />

end <strong>of</strong> the camp day.<br />

EXPECTATIONS<br />

Behavior Policy<br />

Our camp is dedicated to providing every camper with a<br />

positive summer experience. We have a set <strong>of</strong> community<br />

standards and expectations for behavior which all camp<br />

participants must follow, including a strict no bullying policy.<br />

Our leadership team addresses all incidents <strong>of</strong> bullying<br />

seriously and encourages campers, staff, and parents to<br />

alert us to any problems during the camp season. It is our<br />

goal to ensure that all participants in our community gain<br />

self-confidence, make new friends, and go home with a<br />

magical and memorable experience.<br />

Prohibited Items<br />

The following items will be confiscated by <strong>YMCA</strong> Staff and<br />

held in the <strong>of</strong>fice for parents to retrieve at the end <strong>of</strong> the<br />

camp day.<br />

• Tobacco, alcohol, drugs<br />

• Trading/Playing cards<br />

• Sports equipment<br />

• Electronic games or devices (including cell phones)<br />

• Valuables (<strong>YMCA</strong> is not responsible for lost/stolen items)<br />

• Personal toys/games<br />

• Weapons (play or real)<br />

• Candy, gum, cough drops (due to food allergies, campers<br />

should not bring candy or snacks to share)<br />

• Live animals<br />

Behavioral Consequences<br />

Campers not adhering to camp behavior standards will be<br />

handled on an individual basis. Frequent or severe violations<br />

might result in suspension or expulsion from the program at<br />

the discretion <strong>of</strong> the camp director. No refunds will be given<br />

due to expulsion or behavior suspensions.<br />

Cell Phone/Electronics Policy<br />

Camp Arrowhead is a cell-phone and electronic free zone.<br />

If a camper brings a cell phone to camp, it must remain<br />

safely in a backpack or held for safekeeping at the camp<br />

<strong>of</strong>fice. Remember that Camp Arrowhead is not responsible<br />

for the loss or damage <strong>of</strong> any personal item.<br />
