DAILY <strong>CAMP</strong><br />

PROCEDURES<br />

Camp Day<br />

The camp day runs from 9:00am – 4pm. AM & PM extended<br />

day Camper Care programs are included as part <strong>of</strong> the<br />

session tuition. Morning camper care begins at 7am and<br />

afternoon extended care is available until 6:30pm. Parents<br />

may drop <strong>of</strong>f as early at 6:30am at the Northwest <strong>YMCA</strong><br />

where campers will ride the shuttle to Camp Northpoint.<br />

Arrival/Departure<br />

Morning Drop <strong>of</strong>f & Afternoon pick-up take place at the<br />

activity barn. You may also register for the bus shuttle or<br />

bus stops. All pickups are at Camp Northpoint.<br />

Morning Drop-Off<br />

AM Camper Care begins at 7am daily and all campers should<br />

arrive by 9:00am for morning flagpole.<br />

• Campers arriving after 9:00am need to be signed in at<br />

the nurse’s <strong>of</strong>fice which is located inside the activity barn.<br />

Early Pick-up & Departure<br />

• Please provide written notice if you need to pick-up your<br />

child early.<br />

• All early pick-ups should occur before 3:30pm.<br />

• Please understand that unscheduled early departures are<br />

difficult to accommodate due to the size <strong>of</strong> the camp<br />

property and it’s likely that your child’s group will not be<br />

in the immediate area.<br />

Absences<br />

Please notify Camp Northpoint at 392-9905 if your child<br />

will be absent.<br />

Campers Walking/Biking to camp<br />

If your child will be walking/biking to and from camp please<br />

send a signed note to the camp <strong>of</strong>fice with specific days and<br />

dates that this is permitted. Please remind your child to<br />

sign-out with their counselors before departing each day.<br />

Afternoon Pick Up<br />

• Pick up begins at 4pm and camper care is available until<br />

6:30pm daily.<br />

• All authorized persons signing-out campers must present<br />

photo identification daily.<br />

Communication is very important to us. We like hearing from<br />

Sick Child Policy<br />

Please do not send your child to camp if he/she is sick and/<br />

or running a fever. If a child becomes ill during camp, a<br />

parent or person authorized to pick-up will be contacted to<br />

pick-up the child. Children must be symptom free for a least<br />

24 hours prior to returning.<br />

Camp Inspection<br />

<strong>YMCA</strong> Camp Northpoint is permitted to operate by the NYS<br />

Department <strong>of</strong> Health. We are inspected twice annually.<br />

Reports are filed with the Monroe County Department <strong>of</strong><br />

Health as well as Camp Northpoint.<br />

<strong>YMCA</strong> Financial Assistance<br />

Camp Northpoint’s financial assistance program is made<br />

possible through generous donations to the <strong>YMCA</strong>’s annual<br />

Invest in Youth Campaign. Applications for assistance are<br />

confidential and available on our website or at the Welcome<br />

Center. The amount <strong>of</strong> assistance granted is based on<br />

individual need and family circumstances. All camper financial<br />

assistance applications are processed on a first come, first<br />

serve basis. Applications are due by May 1, <strong>2012</strong>.<br />

Camper T-Shirt<br />

Each registered camper will receive a Camp Northpoint t-shirt<br />

as part <strong>of</strong> their registration. Camp t-shirt will be distributed<br />

to each camper during their first session in attendance.<br />

Cell Phone/Electronics Policy<br />

Camp Northpoint is a cell-phone and electronic free zone.<br />

If cell phones come to camp, they must remain safely in<br />

a backpack or held for safekeeping at the camp <strong>of</strong>fice.<br />

Remember that Camp Northpoint is not responsible for the<br />

loss or damage <strong>of</strong> any personal item.<br />

Rainy Days<br />

Campers will take part in a full scheduled program <strong>of</strong><br />

activities regardless <strong>of</strong> the weather. We are prepared with a<br />

rainy day schedule for each group which focuses on crafts<br />

and indoor games. Be sure to dress campers appropriately<br />

for the weather!<br />

ACA Accreditation<br />

<strong>YMCA</strong> Camp Northpoint is proud to be an American Camp<br />

Association (ACA) accredited camp. The ACA nationally<br />

recognizes camps which meet the highest standards focusing<br />

on health, safety, and program quality. Camp Northpoint is<br />

also licensed to operate as a summer camp by the New York<br />

State Department <strong>of</strong> Health.<br />

• Nonperishable healthy lunch<br />

BE SURE TO CLEARLY LABEL EVERYTHING WITH THE<br />

<strong>CAMP</strong>ER’S FIRST AND LAST NAME!<br />

Daily Clothing Needs<br />

There is no formal uniform at Camp Northpoint. Please<br />

dress your child in t-shirt & shorts every day. Sneakers are<br />

required footwear for all camp activities. Open-toed sandals/<br />

flip flops will only be worn to the pool and canoeing.<br />

Lost & Found<br />

Misplaced items are common among elementary school age<br />

children. You can help limit lost & found by:<br />

• Labeling all belongings with camper first and last name<br />

• Remind each child to check his/her belongings at the end<br />

<strong>of</strong> each day<br />

• If something is lost, check the lost & found as soon as<br />

possible<br />

• All lost and found not claimed after two weeks will be<br />

donated to a charitable organization.<br />

• Camp Northpoint is not responsible for lost, stolen, broken<br />

or destroyed items.<br />

Sunscreen<br />

All campers should apply sunscreen in the morning prior<br />

to arriving at camp. Staff will assist campers with applying<br />

their own sunscreen after swim periods. In order to comply<br />

with child abuse prevention guidelines, the application <strong>of</strong><br />

sunscreen will take place in an open setting. We recommend<br />

that each camper keep their own bottle <strong>of</strong> sunscreen lotion<br />

in their backpack labeled with their first and last name.<br />

Because campers spend a large part <strong>of</strong> their day outside,<br />

we recommend:<br />

• Campers wear a hat to protect them from the sun.<br />

• Campers wear approved swim shirts while participating<br />

in swim periods.<br />

• Each camper has their own personal bottle <strong>of</strong> sunscreen.<br />

• Campers bring a reusable water bottle.<br />

Medications<br />

It is preferable that prescription medications be administered<br />

at home when possible. All medication dispensed at camp<br />

requires a Medication Consent Form to be completed by<br />

parent/guardian AND child’s physician. Upon registration,<br />

please obtain a Medication Consent Form from our website<br />

or from the Northpoint <strong>YMCA</strong> Welcome Center.<br />

Camper prescriptions may be dropped <strong>of</strong>f the week prior to<br />

camp starting or given directly to the camp Health Director or<br />

AM sign in table during the camp season. All medication must<br />

be in its original container and clearly labeled with campers<br />

first and last name. WE CANNOT ACCEPT ANY MEDICATIONS<br />

THAT ARE NOT IN THEIR ORIGINAL CONTAINER.<br />

Campers with special care needs, including severe allergic<br />

reactions, asthma or physical limitations should request a<br />

meeting with the Camp Director and Unit Director.<br />

Immunization History<br />

New York State Department <strong>of</strong> Health requires each camp to<br />

keep a current copy <strong>of</strong> every camper’s immunization history<br />

on file in order for them to attend. A complete copy <strong>of</strong><br />

your child’s immunization history should be submitted to the<br />

<strong>YMCA</strong> prior to June 1. Immunization History can simply be<br />

dropped <strong>of</strong>f at the Northwest <strong>YMCA</strong> Welcome Center, faxed<br />

to 585-227-4829 or e-mail to erinb@rochesterymca.org<br />

<strong>CAMP</strong>ERS WITHOUT AN IMMUNIZATION HISTORY ON FILE<br />

WILL NOT BE PERMITTED TO ATTEND.<br />

Emergencies<br />

Our staff is trained in handling a variety <strong>of</strong> emergency<br />

situations. In the event <strong>of</strong> an emergency, we will make<br />

every attempt to notify parents immediately. If necessary,<br />

emergency transportation will be handled by 911 and local<br />

emergency services.<br />

Daily Snack<br />

A healthy afternoon snack will be provided for all campers.<br />

Swimming<br />

Campers participate in daily recreational swim and can<br />

use the aqua-splash pad during the camp day. Certified<br />

lifeguards are on duty at all times. For those families looking<br />

to expose campers to instructional swim lessons, please ask<br />

about our before camp swim lessons or refer to our camp<br />

brochure to register.<br />

Climbing Tower<br />

All units will be allowed to climb at least twice a week<br />

(depending on weather and temperature). Each camper is<br />

harnessed in using a guide rope that will belay you and all<br />

campers will wear a helmet. In order to climb campers must<br />

have sneakers and also shorts or pants on (swimsuits or<br />

dresses/skirts are not acceptable).<br />

Safety<br />

The Tower structure is inspected each year by Alpine<br />

Towers International. Their in-depth report covers wood<br />

preservative treatment, structural analysis, equipment<br />

inspection (harness, helmets & ropes), guy cables, bolt<br />

connections, and emergency procedures. The Alpine Tower<br />

design is incredibly strong and capable <strong>of</strong> withstanding<br />

extremely high wind loads (100 mph), as well as tremendous<br />

weight (twelve 400 lb. people climbing on the Tower).<br />

Family Night – Friday, August 10 from 6:00-7:30pm<br />

Family Night gives the entire family an opportunity to meet<br />

the camp staff and see what campers do each day at Camp<br />

Northpoint. Join us for a night filled with camp games,<br />

sports, climbing tower, crafts and the reveal <strong>of</strong> the <strong>2012</strong><br />

Color Wars Team winner.<br />

PAYMENT OPTIONS<br />

& PROCEDURES<br />

Register Online: Use our new, convenient, Easy to Enroll<br />

system! Visit www.rochesterymca.org/campnorthpoint and<br />

click register online.<br />

Easy Payment Option: The Easy Payment Option (EFT) is<br />

the preferred billing method for Camp Northpoint. Simply<br />

provide a credit or debit payment method and tuition will<br />

be automatically paid approximately two weeks prior to the<br />

session beginning. If you prefer not to participate in the<br />

EFT payment option please contact our billing registration<br />

specialist at 723-5463 to discuss a statement billing plan.<br />

Changes in Registration<br />

Parents are responsible for informing the camp <strong>of</strong>fice in<br />

writing <strong>of</strong> all changes to camper registration and updating<br />

contact details including address and phone numbers.<br />

Refunds/Credits<br />

Please note that we are unable to pro-rate weekly camp<br />

fees for any reason. We require written notice <strong>of</strong> session<br />

cancellation no later than Thursday at 5:00pm prior to each<br />

session in order to receive a full refund less the session<br />

deposit. Cancellations received after this time will result in a<br />

credit which can be used towards another Camp Northpoint<br />

session less the session deposit. Once a session begins, no<br />

refunds or credits are given for any reason.<br />

Late Registration Fees<br />

Please be aware that any camper registrations received<br />

after Thursday evening at 5:00 pm prior to each session are<br />

subject to a $20 per child late fee.<br />

<strong>CAMP</strong>ER RELEASE<br />

PROCEDURES<br />

The following procedures are in place for your child’s safety<br />

and will be employed during the camp season. Anyone<br />

picking up a camper from Camp Northpoint must be on the<br />

campers Authorized Pick-Up list and MUST present photo<br />

identification before a camper will be released. Acceptable<br />

forms <strong>of</strong> ID include:<br />

• A drivers license or State non-driver ID<br />

• A passport or military ID<br />

• An employment photo Identification Card<br />

Authorized Pick-up List<br />

Only those people listed under the “Persons Authorized to<br />

Pick-up Camper” on the camper application will be permitted<br />

to sign-out campers with proper identification. No notes<br />

will be accepted at the time <strong>of</strong> pick-up. In order to add<br />

or change authorized persons, please send a note at least<br />

one day prior to the pick-up date. No phone calls will be<br />

accepted to change authorized pick-ups. A WRITTEN NOTE<br />

must be on file at the camp <strong>of</strong>fice.<br />

In the event that an individual not named in writing by the<br />

parent/guardian attempts to pick-up a camper, the parent/<br />

guardian will be notified immediately. Local law enforcement<br />

<strong>of</strong>ficials may be contacted if necessary.<br />

• A parent, regardless <strong>of</strong> custodial arrangements has the<br />

authority to obtain the child from camp at anytime, unless<br />

a copy <strong>of</strong> the court order is on file at the camp <strong>of</strong>fice.<br />

• In order to help guarantee the safety and wellness <strong>of</strong> your<br />

child, please share these procedures with him/her and<br />

with those individuals authorized for pick-up.<br />

• In the event that you or an authorized person cannot be<br />

reached for pick-up within one hour <strong>of</strong> scheduled pick-up<br />

time, the Monroe County Child Protective Agency will be<br />

notified.<br />

Please aid us with this procedure by reminding all that are<br />

authorized to pick-up to bring ID when signing a camper out<br />

<strong>of</strong> camp. Safety is our first priority. Thank you in advance.


BEHAVIOR<br />

EXPECTATIONS<br />

BEHAVIOR POLICY<br />

Our camp is dedicated to providing every camper with a<br />

positive summer experience. We have a set <strong>of</strong> community<br />

standards and expectations for behavior which all camp<br />

participants must follow, including a strict no bullying policy.<br />

Our leadership team addresses all incidents <strong>of</strong> bullying<br />

seriously and encourages campers, staff, and parents to<br />

alert us to any problems during the camp season. It is our<br />

goal to ensure that all participants in our community gain<br />

self-confidence, make new friends, and go home with a<br />

magical and memorable experience.<br />

At Camp, we expect campers to:<br />

• Follow the rules that counselors set out for each activity,<br />

area, or project.<br />

• Remain on the camp property and with their assigned<br />

group at all times until properly signed out by authorized<br />

persons.<br />

• Use appropriate language and be respectful to staff and<br />

other campers.<br />

• Use all camp facilities and equipment properly.<br />

• Refrain from fighting and any form <strong>of</strong> physical or verbal<br />

aggression.<br />

• Be a positive and active participant in all camp activities.<br />

Prohibited Items<br />

The following items will be confiscated by <strong>YMCA</strong> Staff and<br />

held in the <strong>of</strong>fice for parents to retrieve at the end <strong>of</strong> the<br />

camp day.<br />

• Tobacco, alcohol, drugs<br />

• Trading/Playing cards<br />

• Electronic games or devices (including cell phones)<br />

• Valuables (<strong>YMCA</strong> not responsible for lost/stolen items)<br />

• Personal toys, games or pets<br />

• Weapons (play or real)<br />

• Candy, gum, cough drops (due to food allergies, campers<br />

should not bring candy or snacks to share)<br />

As in any group activity, inappropriate behavior <strong>of</strong> a few<br />

campers can have a dramatic impact on the experience <strong>of</strong><br />

the entire group. Therefore, the following conduct policies<br />

apply directly to each camper and will be used in determining<br />

the camper’s eligibility to continue as a participant in the<br />

camp program.<br />

At Northpoint, campers must refrain from<br />

• Intentionally and/or repeatedly going into unauthorized<br />

areas or leaving the camp without permission.<br />

• Using foul/inappropriate language or being rude and<br />

disrespectful to staff and other campers.<br />

• Fighting, physical or verbal aggression.<br />

• Stealing or defacing Camp Northpoint’s or other people’s<br />

property.<br />

• Refusing to remain with your group.<br />

Behavioral Consequences<br />

Campers not adhering to the behavior standards will be dealt<br />

with on a case-by-case basis. Frequent or severe violations<br />

<strong>of</strong> the policy may result in the suspension or expulsion <strong>of</strong><br />

a camper from the program, at the discretion <strong>of</strong> the Camp<br />

Director or Director’s designee. No refunds will be given due<br />

to expulsion or behavior suspension. Your child will also be<br />

suspended from the <strong>2012</strong>-13 SACC/Teen Program.<br />

The physical safety <strong>of</strong> all campers is the primary priority<br />

<strong>of</strong> camp staff. Any camper who commits an act <strong>of</strong> physical<br />

aggression or gross disobedience will complete a behavior<br />

incident report with camp staff. Reports will be shared with<br />

parents, and may result in any <strong>of</strong> the following actions as<br />

determined by the camp director or director’s designee:<br />

1. Conference with the camp director or director’s designee<br />

2. Conference with the camper’s parent or guardian<br />

3. Loss <strong>of</strong> privileges<br />

4. Community service<br />

5. Suspension from camp<br />

After a camper’s third behavior incident report, a meeting<br />

will occur between the child’s parent or guardian and the<br />

camp director or director’s designee to determine if the<br />

child can remain in the program.<br />
