Location and <strong>of</strong>fice hours<br />

Hawthorn campus<br />

The Student Administration Office is located in Room<br />

AD121, Administration Building (AD), John Street,<br />

opposite the Business and Arts Building (BA) and the<br />

Library. (See map on page 10).<br />

Office hours are as follows:<br />

During teaching weeks pre census date<br />

8.30am - 6.00pm Monday to Thursday<br />

8.30am - 5.00pm Friday<br />

During teaching weeks post census date and non-teaching<br />

weeks<br />

8.30am - 5.00pm Monday to Friday<br />

Note: The <strong>of</strong>fice is closed on public holiduys.<br />

Students are also advised to seek course information from<br />

their School Administrator.<br />

Prahran campus<br />

The Student Administration Enquiries Office is located in<br />

Room F107, Building F, 142 High Street, Prahran (see map<br />

- p. 12).<br />

Enrolment procedures<br />

Definitions<br />

In this section:<br />

Enrolment includes 're-enrolment'<br />

Enrolment form includes 're-enrolment form'.<br />

Subject means any area <strong>of</strong> study which is part <strong>of</strong> a course<br />

leading to an award and which has a title and code<br />

number in the subject register maintained by the Student<br />

Administration section <strong>of</strong> the Academic Registrar's<br />

Department; the singular includes the plural.<br />

Awarding Department means the Department or School<br />

responsible for the particular course.<br />

Amendmat to enrolmat means the addition, deletion or<br />

changing <strong>of</strong> subject enrolments in a student's course <strong>of</strong><br />

study.<br />

Abandonment means the discontinuation <strong>of</strong> enrolment<br />

without formal notification.<br />

Conditions <strong>of</strong> enrolment<br />

Enrolment at <strong>Swinburne</strong> TAFE Division is conditional<br />

upon:<br />

the information supplied by the applicant upon which<br />

an <strong>of</strong>fer <strong>of</strong> a place in a course is based, being accurate;<br />

the approval <strong>of</strong> the Head <strong>of</strong> the awarding Division (or<br />

a nominee) <strong>of</strong> the subjects concerned;<br />

the completion <strong>of</strong> the requisite enrolment and<br />

statistical information forms required by <strong>Swinburne</strong>;<br />

the undertaking <strong>of</strong> the student to abide by the<br />

regulations, procedures and standards <strong>of</strong> conduct <strong>of</strong><br />

<strong>Swinburne</strong>;<br />

the payment <strong>of</strong> any prescribed fee (unless exempt);<br />

the payment <strong>of</strong> the prescribed student association fee;<br />

the establishment <strong>of</strong> viable class numbers.<br />

Note: Enrolment is not completed until the fee is paid.<br />

Students whose fees are to be paid by an employer or<br />

other body must bring written evidence at the time <strong>of</strong><br />

enrolment so that <strong>Swinburne</strong> may send to the body an<br />

invoice for fees.<br />

<strong>Swinburne</strong> reserves the right to withdraw any class<br />

which does not attract viable student numbers.<br />

Confirmation <strong>of</strong> <strong>University</strong> records<br />

The <strong>University</strong> recognises that errors can be made in the<br />

transcription <strong>of</strong> enrolment details from original copies <strong>of</strong><br />

enrolment forms to the computer held files. It also<br />

realises that such errors can cause a great deal <strong>of</strong><br />

inconvenience to students (and staff) if not detected.<br />

Students are therefore asked to check their Confirmation<br />

<strong>of</strong> Enrolment Report at the time <strong>of</strong> Enrolment.<br />

Students who do not check their Confirmation <strong>of</strong><br />

Enrolment Report or who do not by the due date notify<br />

the School Office <strong>of</strong> any errors existing in the records<br />

may be required to pay a substantial fee for each<br />

amendment to be made (see 'Adding subjects').<br />

Identity Cards<br />

When on campus, all enrolled students are required to<br />

carry and to produce on request <strong>of</strong> a member <strong>of</strong> staff, the<br />

photographic identity card issued to them.<br />

The card, which has a maximum life <strong>of</strong> four years, must<br />

be presented for update/validation for the forthcoming<br />

year on re-enrolment.<br />

The card includes the authorisation for borrowing from<br />

the <strong>Swinburne</strong> Library.<br />

A student who loses an identity card should notify the<br />

School Office as soon as the loss is detected. Cardholders<br />

are, under library rules, responsible for any transaction<br />

made on the card up to the time <strong>of</strong> notification <strong>of</strong> the<br />

loss. A replacement card can be issued by the Student<br />

Administration Enquiries Office, for a fee <strong>of</strong> $10.00.<br />

Any student who has had their identity card stolen, will<br />

be issued with a free replacement identity card upon<br />

producing a copy <strong>of</strong> the police report.<br />

If any <strong>of</strong> the subjects, after the initial enrolment, have<br />

been dropped, or any new subjects added, the student<br />

must complete an Amendment to Enrolment form<br />
