TENDER NOTICE FOR HIRING AGENCIES FOR SECURITY SYSTEMS & FOR ORGANIZING
SKIT SHOW IN IITF 2012
The Directorate of Extension (DOE) intends to hire agencies for organizing
Pantomime/Skit Shows and for providing Security Systems such as CCTV, Cameras, etc
at Agriculture Pavilion, Pragati Maidan, New Delhi for participation in Indian
International Trade Fair (IITF 2012) scheduled to be held from 14‐27 November 2012.
Detailed Pre‐Qualification Conditions and Scope of Work for both the jobs
along with Terms & Conditions and Quotation letter can be obtained from the
Exhibition Section, Directorate of Extension, Room No. 208, Krishi Vistar Sadan, Pusa,
New Delhi – 110 012 (Telephone: 25843736) within 3 weeks of publishing of this
advertisement in the newspapers. The documents can also be downloaded from the
website of DOE and DAC (http://vistar.nic.in and www.agricoop.nic.in).
Interested agencies may submit their bids so as to reach to Director (F.I),
Directorate of Extension, Krishi Vistar Sadan, Pusa, New Delhi – 110 012 latest by 3.00
P.M on 17 th August 2012.

participate in India International Trade Fair (IITF 2012) through Agriculture Pavilion at
Pragati Maidan, New Delhi from 14-27 November 2012 by setting up an exhibition.
For successful participation in the event, this Directorate invites Technical and
Financial bids to hire CCTV Camera, Door Frame, HMT and Fire Guards for Agriculture
Pavilion.
Technical and Financial Bids should reach the undersigned in separate sealed
covers (superscribed with Technical Bid or Financial Bid) before 3.00 P.M on 17 th August,
2012. The envelopes should be marked as “Quotation for CCTV Camera, Door Frame, HMT
and Fire Guards”. The Bids would be opened on the same day at 3.30 P.M by the
designated Committee in this office. Financial Bids of only technically qualified bidders will
be opened. The Terms and Conditions with Scope of Work in this regard are enclosed
herewith.
This Directorate reserves the right to accept or reject quotations without assigning
any reason to the bidder.

IITF 2012 (14-27 November 2012) – Hiring of CCTV Camera, Door Frame, HMT and
Fire Guards for Agriculture Pavilion
A – PRE QUALIFICATION CONDITIONS
1. The bidder should have minimum 2 years experience in handling of Security System
and Fire Guards. It should be registered for Service/Sales tax unless exempted
legally.
2. Previous work orders in support of experience should be provided.
3. Earnest money amounting to Rs.3,000/- by way of demand draft is to be submitted
along with the tender document. The draft should be in the name of Drawing &
Disbursing Officer, Directorate of Extension, New Delhi payable at New Delhi.
Application/tender without earnest money will be rejected.
4. The CCTV Cameras to be installed at Agriculture Pavilion should be of Sony make.
B – OPRATIONAL DETAILS (The Technical Bid should include clear acceptance of the
following conditions.)
i. The bidder would be required to install 8 CCTV Camera with recording facility
(Working 9.00 A.M to 9.00 P.M for 14 days) at different places in the Agriculture
Pavilion, Pragati Maidan, New Delhi. The cameras should be installed 2 days
advance for checking/rehearsal.
ii. The bidder would be required to provide 2 pieces of Door Frame and 2 pieces of
HMT for 14 days (14-27 November 2012) at Agriculture Pavilion, Pragati Maidan,
New Delhi. These items should be installed/provided one day advance for
checking.
iii. The bidder would be required to provide 2 Fire Guards for Day duty (9.00 A.M to
9.00 P.M) and 2 Fire Guards for Night duty (9.00 P.M to 9.00 A.M). The Total No
of 4 Fire Guards should be provided by the bidder. The guards are required to be
on duty on 13 th November 2012 before 9.00 A.M. They should be in the uniform
and well trained.
iv. All the items would be required to be installed/provided at Agriculture Pavilion,
Pragati Maidan, New Delhi.
v. No transport/service charges for arranging themes items will be considered for
payment.

No advance payment would be made to the bidder.
Payment would be made only for those items, which are verified by the Verification
Committee of this Department/Directorate.
viii. The successful bidder would not be allowed to withdraw from the work. If the
bidder withdraws from the work or does anything which is prejudicial to the tender
proceedings, the Earnest Money will be forfeited and the work would be got done
from other bidder at the cost of the bidder selected for the purpose.

C – FINANCIAL BID:
The Financial Bid of only technically qualified bidders will be
opened. It should include all taxes.

IITF 2012 (14-27 November 2012) – Organization of Pantomime/Skit Show at
Agriculture Pavilion, Pragati Maidan, New Delhi
A – PRE QUALIFICATION CONDITIONS

along with the tender document. The DD should be in the name of Drawing &
Disbursing Officer, Directorate of Extension, New Delhi payable at New Delhi.
Application/tender without earnest money will be rejected.
4. DVD recording of pervious similar work must be shown for technical short-listing.
5. Based on the above conditions and quality of previous work technical short-listing will
be done.
B - SCOPE OF WORK (The Technical bid should include clear acceptance of the following
conditions.)
i. The bidder would be required to prepare the Stage with Green room and set
design.
ii. The bidder would provide professional sound and light system with
technicians.
iii. The bidder would provide 8-10 artists in different characters in different
costumes and rimming with the script and synchronized sound with actions.
iv. The bidder would provide professional audio recording of 3 jingles or short
skits with music.
v. The bidder would be required to prepare jingle and get the approval of the
Department for the jingles along with its sound track/music and costumes of
the artists.
vi. Organize 5 Pantomime/Skit Shows of 3 jingles each every two hours in a
day from 11.00 A.M to 8.00 P.M (excluding lunch/Tiffin break) or higher as
per requirement of crowd/practical feasibility for 14 days from 14-27
November 2012. More shows would be organized on
holidays/Saturdays/Sundays as per requirement.
vii. All the items should be installed/provided at Agriculture Pavilion, Pragati
Maidan, New Delhi.
viii. No transport/service charges for arranging these items would be considered
for payment.
ix. No advance payment would be made to the bidder.
x. Payment would be made only for those items, which are verified by the
Verification Committee of this Department/Directorate.
xi. The bidder would not be allowed to withdraw from the work. However, if the
agency withdraws from the work, the Earnest Money will be forfeited and

Recordings of the Pantomime Show/Skit shall be the property of the
Directorate of Extension.
