TERMS & CONDITIONS FOR SUBMITTING THE TENDER FOR EXECUTION OF
EXHIBITION WORK AND SUPPLY OF EXHIBITION ITEMS/MATERIAL IN INDIA
1. The Contract/Rates shall be valid for 3 years from the date of its award. The job shall be
completed under the direct supervision and direction of the officer/officers deputed by
the Directorate of Extension.
2. The contract may be terminated by the Directorate of Extension before the expiry of the
period of the same without assigning any reason to the agency.
3. The contract shall be reviewed annually by DOE with respect to the work done and
services provided by the agency. If the work/services of the agency is found not
satisfactory, the contract may be terminated by the Directorate of Extension.
4. The period of contract/rates may be extended for further one more year on the same
rates, if agreed by the agency and subject to the satisfactory work done by the agency.
5. The contractor/bidder will not be allowed to alter or modify their bids after expiry of the
deadline for receipt of bids.
6. The professional designers/fabricators/agencies (A Grade only) who are in the field of
exhibitions/fairs organization/display, execution of exhibition work and providing
exhibition items/materials for the last 5 years and whose annual turnover during the last
3 years is not less than 2.00 crore in each year or average turnover of Rs.7.00 crore for
the last 3 years would be considered eligible for bidding.
7. The bidders should submit the following documents in a separate sealed cover as a
Technical Bid subscribing as “Rates for Exhibition Work.”
i. Copy of work orders from Government/semi‐government Departments/
Organizations, Autonomous bodies including reputed private sector
organizations for last 5 years.
ii. Copy of Annual Financial Statements i.e. Profit and Loss of Account and General
Balance Sheet for the last 3 years duly certified by the Chartered Accountant.
iii. Copy of sample works done in the past.
iv. Copy of registration certificate.
v. Copy of Service tax/VAT registration certificate.
vi. Any other document which agency considers good for its consideration for the
Rate Contract.

The Financial Bid (Tender Form – Annexure ‐A) would be submitted mentioning
the rates of different work and items in a separate sealed cover clearly
