Supply and installation of Public Address System in Syndicate Room of<br />

<strong>Krishi</strong> <strong>Vistar</strong> <strong>Sadan</strong>- regarding.<br />

Sir,<br />

This Directorate of Extensionintends to get an Public Address System installed in<br />

the Syndicate Room of <strong>Krishi</strong> <strong>Vistar</strong> <strong>Sadan</strong> at CTO Campus, Pusa.<br />

The Syndicate Room wherein the proposed Public Address System is to be installed<br />

is measuring 110.77 sq.m (14770 mm X 7500 mm) and has a seating capacity of 31<br />

persons(including chairman).<br />

Interested firms which are in a position to supply and install the above cited system<br />

on the Terms & Conditions given here-under, may submit their minimum rates in two bids<br />

system after visiting the installation site for assessing the system unit/equipments<br />

requirement on any working day between 01 June, 2012 to 15 th June, 2012 during normal<br />

office hours. (Saturday & Sunday being closed holidays)<br />

Terms & conditions:-<br />

1. The detailed specifications of the Public Address System to be procured are<br />

attached(Annexure-I). The brand/make Public Address System of a reputed<br />

brand (not the local make) to be supplied should conform to the desired<br />

specifications.<br />

2. The firms participating in the tender must possess a valid registration number issued<br />

by the Sales Tax Department. The documentary proof of registration must be<br />

attached.<br />

3. The firm participating in the tender must be financially sound and well equipped<br />

having the required infrastructure and expertise to supply and undertake the job of<br />

installation of Audio Conferencing System. All the core equipment namely<br />

controller, microphones, speakers, recording and programming software etc. should<br />

be of a reputed brand.<br />

4. The bidder shall provide printed specifications of all the equipments.<br />

5. The bidder should have well equipped maintenance base with repair facility in Delhi<br />

to ensure timely repair and maintenance of the quoted system as and when need<br />

arises.<br />

6. The bidder should be an authorized manufacturer/importer/distributor/dealer of the<br />

quoted system and should undertake for quoting, handling, maintaining the system<br />

and ensuring workability of the system offered by them. This is a mandatory<br />

requirement.<br />

7. The bidder should also be able to provide valid proof that these goods have been<br />

imported directly from the manufacturer, if the case is so.<br />

8. The Public Address System supplied must carry a comprehensive warranty for a<br />

period of minimum one year from the date of satisfactory installation of respective<br />

equipment. The bidder should guarantee for providing spares for another five years<br />

after its installation.<br />

9. An earnest money of Rs.25,000/- (Rupees twenty five thousand only) is required to<br />

be deposited in the form of a Demand Draft/Pay Order drawn valid for at least 45<br />

days in favour of Drawing & Disbursing Officer, Directorate of Extension<br />

payable at New Delhi along with the quotation. The quotations received without<br />

earnest money shall be summarily rejected. The earnest money will be refunded to<br />

the respective tenderers within 03 working days from the date of opening the<br />

tenders (except in case of the successful bidder). The earnest money will be<br />

forfeited in case the successful tenderer withdraws from the offer. No interest will be<br />

paid on earnest money.<br />

10. The successful tenderer will be required to deposit Performance Security Deposit of<br />

7% of the total cost [approx Rs.70,000/- (Rupees seventy thousand only)] with the<br />

Cashier, Directorate of Extension, <strong>Krishi</strong> <strong>Vistar</strong> Bhawan, IASRI Campus, Pusa, New<br />

Delhi – 12 through a crossed Demand Draft drawn in favour of Drawing &<br />

Disbursing Officer, Directorate of Extension payable at New Delhi or a Bank<br />

Guarantee or FDR for an equivalent amount which will be refundable after expiry of<br />

the warranty period, without any interest thereon. EMD would be refunded to the<br />

successful bidder only on receipt of Performance Security Deposit.<br />

11. All equipments should be supplied and installed successfully within 10 days of the<br />

issue of the order.<br />

12. The payment shall be made within 15 working days after the delivery and successful<br />

installation of the equipments by the tenderer and submission of pre-receipted bill in<br />

triplicate signed across a revenue stamp duly affixed on it.<br />

13 Unit price should include the cost of cabling, connectors etc. that are required for<br />

complete installation. The rates to be quoted should exclude taxes etc. All taxes


livable/chargeable should be specifically indicated separately clearly showing its<br />

percentage.<br />

14. No separate Installation charges, if any, will be paid<br />

15.Rates quoted shall remain valid for 90 days from the last date of receipt of<br />

quotations.<br />

16. The Rates quoted by the lowest bidder can be negotiated if found higher than the<br />

market prices in exceptional Situations.<br />

17.Original Equipment Manufacture tender specification authorization<br />

letter requirement.<br />

The tender should be submitted in two parts as under:-<br />

a) Envelope-A – should be marked “Technical bid” - consisting of<br />

technical details & specifications, features etc. of the system along with<br />

commercial terms and conditions; company profile, list of clients and other<br />

required information/documents in support of the criteria mentioned in<br />

clauses 3,4,5,6,7,& 8 of “Terms & Conditions” of the tender.<br />

b) Envelope-B – Should be marked “Financial bid” – Containing item-wise<br />

price indicating VAT other tax (if any).<br />

Both the sealed envelopes A and B clearly marked should be put together in a<br />

single sealed envelope marked “Tender for supply and installation of Public Address<br />

System” and submitted at the following address by 03.00 P.M. on or before 18 th<br />

in the tender and are competent/authorized to take “on-the-spot-decision” may also be<br />

present at the time of opening of quotations.<br />

The Director(Admn.), Directorate of Extension reserves the right to reject/cancel any<br />
