1.5 Method <strong>of</strong> Award<br />

Each proposal will be evaluated by a committee using a points earned matrix. The<br />

award shall be made to the most responsive and responsible bidder <strong>of</strong>fering the best<br />

value and most economical proposal based on the total matrix scores as determined by<br />

the <strong>University</strong>. The <strong>University</strong> reserves the right for a partial or multiple award for the<br />

Storrs/Regional campuses and UCHC. All bidders, in submitting proposals, concur<br />

with this method <strong>of</strong> award and will not, under any circumstances nor in any way,<br />

dispute any award made using this method. See Section 4 for RFP Evaluation Criteria.<br />

1.6 Estimated Timetable<br />

The following schedule will apply to this RFP.<br />

This timetable is tentative and subject to change. Any questions or concerns about the<br />

timetable should be communicated in writing immediately upon receipt <strong>of</strong> this RFP.<br />

Failure to meet delivery dates as outlined may be basis for disqualification <strong>of</strong> your<br />

proposal.<br />

1.7 Mandatory Pre-Proposal Conference<br />

A mandatory pre-proposal conference will be held in the Bid Room #200 <strong>of</strong> the<br />

<strong>Purchasing</strong> <strong>Department</strong> located at 3 North Hillside Road, on September 20, 2012<br />

@ 10:00 a.m. Attendance at this meeting is mandatory as this will be the only<br />

opportunity for interested parties to familiarize themselves with the scope <strong>of</strong> this project<br />

and these contract requirements. Hold all questions until the mandatory preproposal<br />

conference. Only those firms who attend the mandatory pre-proposal<br />

conference may submit a proposal response. Failure to attend will cause the <strong>University</strong><br />

to reject your proposal as non-compliant. Please refer to Section 11 for travel<br />

directions.<br />

In support <strong>of</strong> this bid opportunity and to assist with any business related accommodation needs,<br />

the <strong>University</strong> recommends that all overnight visitors stay on campus at the Nathan Hale Inn.<br />

Parking is available at the Inn during your stay and includes complementary access to the<br />

campus shuttle. The Nathan Hale Inn can <strong>of</strong>fer preferred rates to long term and project stays.<br />
