Record Keeping Plan<br />
Perth Zoo’s Record Keeping Plan details<br />
the record keeping program for the agency<br />
including which records are to be created and<br />
how those records are to be kept. Measures<br />
to ensure compliance with the State Records<br />
Commission Standard 2 Record Keeping plans:<br />
Principle 6 – Compliance include:<br />
• <strong>The</strong> efficiency and effectiveness <strong>of</strong> the<br />
organisation’s record keeping plan is<br />
evaluated not less than once every five<br />
years. Perth Zoo’s record keeping systems<br />
are updated as necessary and evaluated<br />
for their efficiency and effectiveness. In line<br />
with Section 28 <strong>of</strong> the State Records Act<br />
2000, Perth Zoo’s Record keeping Plan<br />
and all associated documentation including<br />
the Records Management Policy and<br />
Procedures was reviewed and approved<br />
by the State Records Commission in 2010.<br />
As part <strong>of</strong> this review, Perth Zoo’s Retention<br />
and Disposal Schedule underwent a<br />
major upgrade.<br />
• <strong>The</strong> organisation conducts a record keeping<br />
training program. Information sessions on<br />
record keeping are developed and delivered<br />
to existing and new employees. Throughout<br />
the year, existing staff are given the<br />
opportunity to attend record keeping training<br />
and information sessions. One-on-one<br />
information sessions are undertaken with<br />
relevant employees and ongoing training<br />
and support in Records Management<br />
is provided.<br />
• <strong>The</strong> 2011‐12 training program included<br />
recordkeeping information sessions at<br />
sectional staff meetings. <strong>The</strong>se training<br />
sessions were delivered to appropriate<br />
sections in line with the Record Keeping<br />
Plan with sessions tailored to each section<br />
to develop a deeper understanding <strong>of</strong><br />
recordkeeping. This training aims to ensure<br />
Perth Zoo’s compliance with the State<br />
Records Act 2000 through the capture<br />
<strong>of</strong> documents into the <strong>of</strong>ficial record<br />
keeping system.<br />
• Perth Zoo’s induction program includes a<br />
section on record keeping and addresses<br />
employee roles and responsibilities in regard<br />
to their compliance with the organisation’s<br />
record keeping plan.<br />
