1 week before:<br />
Connect and follow up with committee<br />
Send half sheet reminders home with students<br />
Give volunteers their host assignments along with instructions<br />
Week of:<br />
Pick up backdrops, if applicable. If you have requested a backdrop by the<br />
posted due date, you will have received your assignment via e mail from either<br />
Susan or Carrie<br />
Tip: Remember to connect with the Parent Coordinator that has the<br />
backdrop before you to arrange pick up<br />
Provide concert night timeline to volunteers , teachers and principal (proposed<br />
timeline can be found as part of the Family Night Set Up and Preparation<br />
document, which precedes this)<br />
Connect with Parent Coordinator of the school that has reserved the backdrops<br />
after your event to arrange for pick up<br />
Arrange drop-off time for refreshments being donated by parents<br />
Purchase anything not being donated for refreshments (paper products,<br />
beverages, etc.)<br />
Receive your program over e mail from Susan and Carrie<br />
o Print and fold programs (200 suggested)<br />
Day of:<br />
Reserve parking spaces for musicians, Regional Manger, Ambassador(s) and<br />
special guests<br />
Supervise Volunteers and ensure that each is clear on his/her duties<br />
Set up Green Room with water/refreshments for musicians and <strong>Class</strong> <strong>Act</strong> staff<br />
Set up refreshments for audience<br />
Have ushers/responsible students to hand out programs.<br />
Tip: If you have not had time to fold the programs yet, children of PCs or<br />
other volunteers who arrive early can help complete this task<br />
Ensure that there is a responsible adult available to man the raffle/cd/donation<br />
table at all times<br />
