− Coordinating the peer review visit on site for accreditation <strong>and</strong> designation,<br />

− Coordinating the writing of the peer review report in cooperation with the audit team,<br />

− Processing the peer review report towards the final report,<br />

− Coordinating the follow-up of the cancer institute.<br />

3.1.4.3 <strong>OECI</strong> <strong>Accreditation</strong> Secretary<br />

General tasks<br />

− General secretariat of the <strong>OECI</strong> <strong>Accreditation</strong> Programme, under supervision of <strong>and</strong> following the instructions<br />

of the chair,<br />

− Informing the <strong>OECI</strong> A&D Group about incoming information.<br />

Specific tasks<br />

Organizing meetings <strong>and</strong> teleconferences:<br />

− Booking the rooms, organising lunches <strong>and</strong> coffee if necessary, checking availabilities of participants, sending<br />

the agendas, writing the minutes <strong>and</strong> sending it to the group.<br />

Peer review visits:<br />

− Organizing the logistics of the visit: booking hotels for auditors.<br />

A&D Agreements:<br />

− Arranging to complete the signed A&D Agreement from institutes with signatures of the <strong>OECI</strong> A&D Chair <strong>and</strong><br />

the <strong>OECI</strong> President.<br />

Financial:<br />

− Providing quarterly a detailed overview of income/expenditure to the <strong>OECI</strong> A&D Chair,<br />

− Follow-up of the A&D programme budget,<br />

− Confirming payments of institutes to the institute <strong>and</strong> Executive Manager,<br />

− Submitting to the A&D Chair all invoices <strong>and</strong> reimbursement claims for a signature,<br />

− Making the reimbursements of travel expenses of the auditors <strong>and</strong> A&D Group members through online payment<br />

within 10 working days (unless absent), within receipt of all original receipts <strong>and</strong> reimbursement claims,<br />

− Making the payment of the invoices regarding the A&D Programme through online payment within 10 working<br />

days (unless absent), within receipt of all original invoices,<br />

− Coordinating the A&D finances with the <strong>OECI</strong> Office <strong>and</strong> providing follow-up (status of the account), sending all<br />

the original receipts <strong>and</strong> invoices on a yearly basis to the <strong>OECI</strong> Office for the accountant of the <strong>OECI</strong>.<br />

Other:<br />

− Archiving all the documents of the programme,<br />

− Producing documents <strong>and</strong> presentations concerning the A&D programme.<br />

3.1.5 <strong>OECI</strong> <strong>Accreditation</strong> <strong>and</strong> <strong>Designation</strong> Committee<br />

The <strong>Accreditation</strong> <strong>and</strong> <strong>Designation</strong> Committee (A&D Committee) consists of five persons from different institutes<strong>and</strong><br />

countries, <strong>and</strong> with different backgrounds related to cancer care. The A&C Committee is coordinated by the<br />

Executive Manager.<br />

Profile<br />

− Trained as an auditor <strong>and</strong> experiences as auditor,<br />

− <strong>Accreditation</strong> knowledge <strong>and</strong> affinity,<br />

− Quality improvement attitude,<br />

− The management board of the institute supports the application,<br />

− Working as a professional,<br />

− Helicopter view,<br />

− Capacity to work in a team,<br />

− Good interpersonal properties,<br />

− Capacity to distinguish core issues <strong>and</strong> side issues, objective,<br />

− Fluent English (spoken as well as written),<br />
