In case of cancellation without replacement, the fee less handling charges of EUR 100 will be refunded after the event, provided that the cancellation is received by ESO before 1 October. Replacements will be possible till 1 October. Confirmation of registration Registration will be confirmed preferably by e-mail, or by fax or mail. Badge The badge is the only official evidence of registration and should be worn at all times during the event. Loss of badge causes loss of registration. Media Registration The congress is open to representatives of print and electronic media. Registration is free of charge to journalists who are in possession of a valid, recognised press card. Freelance journalists must present a commissioning letter on headed paper from a recognised news organisation or publication. Representatives of advertising, marketing and public relations companies are not eligible for free media registration. A copy of the Press Card or of the commissioning letter should be sent, together with the media registration form, to lrichetti@eso.net. 16 ABC2 7-9 NOVEMBER 2013, LISBON, PORTUGAL
Group registration The online group registration may be processed for groups of 5 or more individuals and will be available at www.abc-lisbon.org from April 2013. The following policy applies to the registration of groups. • Group registrations can be processed on-line only and when the number of individuals is 5 or more. • The registration fees are the same as those applied to individual registrations. • To process a registration, the participant’s full mailing address and e-mail address has to be provided within the established deadline. • Registration of participants with the same address, e-mail address, or with the address of the group leader will not be accepted. • The fee related to a cancellation will not be refunded. • The group leader will have to indicate if the on-site materials will be collected by the individual participant, or by the group Deadlines leader, or by a representative delegated for such task. The group leader will have to provide the contact details of the person who will collect the material onsite and such details will be communicated to the participants on the confirmation of registration. Please note that on-site materials (badge, delegates bag, etc.) once collected may not be re-issued. • Till 31 October 2013, when the e-mail confirmation of registration will be sent by ESO to the participants, all correspondence will be held with the group leader only. • Registration in the individual registration or in the group registration procedures grant participation in all sessions, a copy of the Programme and of the Abstract Book, coffee breaks, lunches and welcome cocktail as indicated in the programme. • As for individually registered participants, the badge is the only official evidence of registration and should be worn at all times during the event. Loss of badge causes loss of registration. Early registration fees: The group leader’s details, number of requested registrations are entered and the early registration fee is settled. Early registration fees: The full details of the participants registered with the early registration fee have to be entered. Late registration fees: New groups can be created and further registrations to existing groups can be added. By 21 October the late registration fee is to be settled and the participants’ details are to be completed. Unsettled registrations, or registrations without the complete participant’s details, are cancelled without refund. Further registrations to existing groups can be processed at the on-site registration fee and settlement is requested by on-line credit card. Name changes to existing groups can still be processed at no additional fees till 30 October.
