Mission Statement<br />
It is the mission of the <strong>Conley</strong> <strong>Extended</strong> <strong>Day</strong> Enrichment Program<br />
to provide a combination of services for students and parents<br />
incorporating an academically, socially, and culturally rich<br />
environment to help children grow and extend their learning<br />
experience, while providing safety and guidance.<br />
Policy Statement<br />
Eligibility and Enrollment<br />
<strong>Extended</strong> <strong>Day</strong> Enrichment Program participants must be school age and<br />
must be able to display age appropriate skills in the areas of self care,<br />
communication, mobility, and social-emotional development. All<br />
participants must complete the <strong>Extended</strong> <strong>Day</strong> Enrichment Program<br />
registration form prior to participation.<br />
Arrival and Departure<br />
For the safety and well being of participants, each child must be signed in<br />
and out by a parent or guardian. No child will be released to a person not<br />
authorized in writing by the custodial parent. Participants may not be signed<br />
out by anyone under the age of 18, unless authorized by a parent. If someone<br />
other than the regular pick-up person comes to pick up the child, we will ask<br />
for a picture I.D. to verify the identity of the person. Only the people listed<br />
on the registration form may sign the child out. Please allow for 5-10<br />
minutes for your child to come as we will be using all areas of the school.<br />
Absence<br />
Attendance is taken daily for each grade level. Parents are to call and leave<br />
a message by 1:00 p.m. if their child will not be attending on his/her<br />
regularly scheduled days. Parents may also send an email regarding an<br />
absence. It is our policy that if a child does not arrive at the program as<br />
intended, the coordinator will try to contact the parents. If parents are not<br />
reached after three contact attempts, the student will be considered absent,<br />
and the program will not be held liable for the child’s where-abouts.<br />
Absentees without prior notification may be mistaken for a missing child<br />
and unnecessary concern and time spent in searching for the child may<br />
occur.<br />
Refunds<br />
No refunds are permitted after the first day of each session, except for cases<br />
of prolonged illness (two weeks or longer) or family relocation. (Proof may<br />
be requested.) Parents must request the refund.
Payment of Fees<br />
Fees are to be paid in full by 6:00 p.m. on the appropriate due date. The<br />
<strong>School</strong> Board has approved no other method of fee payment. Children may<br />
not attend the program until fees are paid. Please make your checks or<br />
money orders payable to Leon County <strong>School</strong>s. <strong>Conley</strong> EDEP does not<br />
accept cash as a form of payment. Payments should be given to an <strong>Extended</strong><br />
<strong>Day</strong> staff member or put into the EDEP drop box located outside the EDEP<br />
office. <strong>Extended</strong> <strong>Day</strong> is not responsible for payments delivered in any other<br />
way. Prorated amounts will only be given if the student is starting the<br />
program in the middle of a cycle. A $20.00 fee will be charged for payments<br />
received after the due date. Refer to your monthly EDEP schedule for actual<br />
fee payment due dates. Each family will be allowed one late cycle pass to be<br />
exempt from paying this fee which will be documented on the child’s<br />
registration form. Any checks that are not valid will be passed on to our<br />
collection agency and will need to be cleared through Payliance. Please note<br />
that if two checks given as payment are not valid and found insufficient,<br />
EDEP will no longer accept checks as a payment for your student. All<br />
payments must then be made in the form of a money order. All payments<br />
must also be up to date for the child to continue attending the program.<br />
Scholarships<br />
<strong>Conley</strong> EDEP offers a scholarship program called Project Care for parents<br />
needing assistance. To be eligible for this scholarship, the student must be<br />
on free or reduced lunch. Space is extremely limited and is done on a first<br />
come, first served basis. For more details, please contact the coordinator.<br />
Late Pick-Up Fees<br />
The <strong>Extended</strong> <strong>Day</strong> Enrichment Program ends promptly at 6:00 p.m. After<br />
6:00 p.m. parents must come inside to the EDEP office to sign out their<br />
children. Parents who are late in picking up their children will be assessed a<br />
late fee. Payment is due at the time the child is picked up, via money order<br />
or check. The late fee is $10.00 beginning at 6:01 to 6:05. Starting at 6:06<br />
p.m. the fee increases by one dollar per minute. (For example 6:06 is<br />
$11.00, 6:07 is $12.00, etc.) After 7:00 p.m., legal advisors will be<br />
contacted for non-pickup if the EDEP employees and/ or the principal has<br />
not been contacted by the parent(s) or legal guardian(s). Legal advisors<br />
may also be contacted in the event that EDEP staff are not able to stay on<br />
campus with the student past 6:15 p.m. even if contact has been made with<br />
the parent. Each family will be allowed one late day pass to be exempt from<br />
paying this fee which will be documented on a separate sign out form. If<br />
parents are routinely late picking up their children, <strong>Extended</strong> <strong>Day</strong> reserves<br />
the right to discontinue services.
Insurance<br />
The <strong>Extended</strong> <strong>Day</strong> Enrichment Program does not carry accidental insurance<br />
on participants. It is the responsibility of the parents to carry adequate<br />
insurance. Check with the school’s front office for an accidental insurance<br />
application through Leon County <strong>School</strong>s.<br />
Accident Procedures<br />
If an accident with your child should occur, the <strong>Extended</strong> Coordinator or<br />
Assistant Coordinator will assess the severity of the injury. For all injuries<br />
occurring above the neck, injuries that cause or leave a mark, or for injuries<br />
requiring additional assistance or attention (i.e. ice, medication, ambulance,<br />
etc.), our standard procedure is to file an accident report and notify parents.<br />
We maintain a 50% staff minimum certified in CPR and First Aide at all<br />
times.<br />
Health and Safety<br />
Should a child become ill (fever, flu, stomach virus, lice, etc.) while<br />
participating in the EDEP, parents will be contacted to pick up their child<br />
immediately and keep them home for at least 24 hours. No child may be<br />
dismissed from the school’s clinic to attend the <strong>Extended</strong> <strong>Day</strong> Program. If<br />
your child has a known medical condition, please be sure to inform the<br />
director of any special medications needed or procedures for treatment. A<br />
separate medication/treatment permission form is to be completed for EDEP<br />
in order for the director to administer medication/treatment. This form, as<br />
well as a log of all medication distributed, will be kept with your child’s file.<br />
In compliance with school board policy, students are not allowed to carry<br />
their own medication. Prescription bottles must be identified by an affixed<br />
label to the bottle. All information on the label must be current within a<br />
maximum of 30-days.<br />
Allergy Procedures<br />
Please ensure that all known allergies for your child(ren) are written on their<br />
registration form. If your child(ren) has a known allergy, he/she will be<br />
placed on the EDEP allergy list that is distributed to all teachers working in<br />
the <strong>Extended</strong> <strong>Day</strong> Program. We will work with parents to help accommodate<br />
their child’s needs as best as possible.<br />
Snacks<br />
Nutritious snacks are provided in the After <strong>School</strong> Program. Morning and<br />
afternoon snacks are provided in Summer Camp. Parents are welcome to<br />
bring additional snacks or juice for their child, if desired. Lunch is not<br />
provided on full days, such as Summer Camp unless stated otherwise.<br />
Parents/guardians must provide their child with a lunch on these days.
Discipline<br />
To achieve the goal of providing a quality enrichment program for children<br />
in an environment of cooperation and respect, all members of the <strong>Extended</strong><br />
<strong>Day</strong> Enrichment Staff utilize positive discipline practices. These policies<br />
and practices are consistent with, and conform to, our school’s discipline<br />
policy. If discipline practices such as non-punitive interactions, redirection,<br />
and/or time-out do not facilitate the appropriate behavior, parents of the<br />
student requiring special attention will be asked to attend a conference in<br />
order to discuss and assist in implementing measures needed to assure<br />
appropriate behavior and continued participation. If the student chooses not<br />
to, or cannot demonstrate appropriate behavior within the program, their<br />
behavior will be interpreted to mean that the student either does not have the<br />
capability or the desire to participate in the program. At such a time, the<br />
student will be asked to leave the program by request of the <strong>Extended</strong> <strong>Day</strong><br />
Enrichment Coordinator. Should it be deemed the participant is capable, but<br />
chooses not to behave in an appropriate manner, no refund will be given.<br />
Lost and Found<br />
All items left in <strong>Extended</strong> <strong>Day</strong> will be taken to Lost and Found; check with<br />
the front office for the location of the Lost and Found container. Children<br />
may bring personal items to play with during afterschool. However, students<br />
are responsible for the care of their own belongings. The <strong>Extended</strong> <strong>Day</strong><br />
Enrichment Program is not liable or responsible for lost or damaged personal<br />
items including but not limited to toys, electronics, games, clothing, etc. We<br />
also reserve the right to ask students to keep such items in their backpacks if<br />
it is deemed that these items may cause issues with other students. If a child<br />
is repeatedly ask to do this and still refuses to follow directions, the item will<br />
be confiscated by a staff member and the parent will need to pick it up from<br />
the <strong>Extended</strong> <strong>Day</strong> office.<br />
Field Trips<br />
The <strong>Extended</strong> <strong>Day</strong> Summer Enrichment Camp will be participating in<br />
weekly fieldtrips. Permission forms will be distributed weekly for out of<br />
county/state trips. These forms will specify the destination of the trip and<br />
will need to be signed and returned prior to the child’s participation. Please<br />
note the arrival and departure times for all trips as they vary each week. It is<br />
important for children to arrive on time to prevent missing the bus. No<br />
refunds will be given for children missing the bus. We will go on fieldtrips<br />
as planned unless there are severe weather conditions. Students attending<br />
the field trip will be accounted for via a head count and with an attendance<br />
log to ensure all students attending are present. This procedure will take<br />
place every time students load onto a bus before departure.
