NEW HIRE ORIENTATION CHECKLIST<br />

This checklist details many of the activities that need to take place during the new<br />
employee’s first six months at the school.<br />
Human Resources will arrange for the following:<br />
• <strong>New</strong> <strong>Hire</strong> Paperwork<br />
• Benefits in Brief / benefits orientation and enrollment<br />
• <strong>Columbia</strong> <strong>University</strong> Identification Card<br />
• <strong>Columbia</strong> UNI creation<br />
• Building request for basic supplies and furniture(desk, chairs, file cabinet),<br />
telephone updated, mailbox, office keys and name plate for office door<br />
• Tech Support request for computer, printer and basic software set-up and addition<br />
to appropriate listserves<br />
• Flowers sent to welcome new employee<br />
Supervisor’s Responsibilities <strong>Checklist</strong><br />
On the Employee’s First Day<br />
[ ] Arrange meeting with Human Resources to complete new hire paperwork, receive<br />
introduction to employee benefits and obtain <strong>Columbia</strong> <strong>University</strong> ID<br />
[ ] Send welcome email to staff announcing the new employee’s arrival, function and<br />
location<br />
[ ] Introduce employee to co-workers; give brief tour of department<br />
[ ] Introduce employee to work area (includes computer and phone orientation)<br />
[ ] Orient employee to building (includes bathrooms, coffee room, photocopy<br />
machines, fax machines, supplies, mail services, vending machines<br />
[ ] Activate UNI to establish email.<br />
[ ] Arrange for access to various systems. Identify what training is needed<br />
beforehand.<br />
[ ] Order Business Cards<br />
Within the First Month
[ ] Review school and unit goals, organizational chart, departmental phone/email<br />
directory<br />
[ ] Review departmental policies and procedures regarding:<br />
[ ] Probationary period (for support staff only)<br />
[ ] Department calendar<br />
[ ] Hours of work (schedule for position, lunch and break periods)<br />
[ ] Timesheets (for hourly/support staff only)<br />
[ ] Vacation and sick leave request procedures and use<br />
[ ] Personal phone and computer usage<br />
[ ] Performance Appraisal Process and schedule of reviews<br />
[ ] Merit/Salary increase timeline<br />
[ ] Introduce employee to the job:<br />
[ ] Review job description and responsibilities<br />
[ ] Review performance goals and expectations<br />
[ ] Identify the “customers’ served by the position, define customer service<br />
[ ] Role of co-workers/team in context of employee’s position<br />
[ ] Review standard meetings the employee needs to attend<br />
[ ] Meet weekly to complete orientation to work-related tasks and to<br />
ask/answer questions<br />
[ ] Other Resources – (finance procedures, mail services, room requests, tech<br />
support, building support)<br />
After Six Months<br />
[ ] Provide feedback to the employee regarding job performance, training and<br />
development plan and opportunities
