b. E-mail messages shall be systematically filed for retrieval following standardized filing rules<br />

within <strong>the</strong> local government. E-mail messages shall be indexed in an organized and consistent<br />

pattern, and reflect <strong>the</strong> way <strong>the</strong> files will be used and <strong>reference</strong>d.<br />

c. Local governments that do not have <strong>the</strong> technical capability to manage e-mail messages for<br />

<strong>the</strong> full retention period in an electronic format shall create an analog copy (paper or microfilm).<br />

Local governments with computer systems capable of maintaining e-mail messages in an<br />

electronic format for <strong>the</strong> required retention period may also decide that current requirements are<br />

best served by printing electronic messages to paper or microfilm. In addition to <strong>the</strong> content, <strong>the</strong><br />

following information shall be retained about each message: name of sender, name of recipient,<br />

date and time of transmission and/or receipt. Records printed from e-mail systems shall be filed<br />

in accordance with standard office procedures.<br />

d. All records, whe<strong>the</strong>r stored in paper or similar format or in an electronic records system,<br />

must be retrievable and available for <strong>the</strong> retention period listed on a record’s retention and<br />

disposition schedule approved by <strong>the</strong> Local Government Records Committee.<br />

e. E-mail messages eligible for destruction shall be disposed of in a manner that ensures<br />

protection of any sensitive, proprietary or confidential information.<br />
