Rules Governing Use of Space by Exhibitors
General
1. These Rules and Regulations form part of the Exhibitor Agreement made between the International
Association of Fire Chiefs (“IAFC”) and the Exhibitor.
2. Neither the Exhibitor Agreement nor any booth or display space request or allocation will be binding on the
IAFC unless and until the exhibitor completes, signs and returns the Exhibitor Agreement; and issues
payment in accordance with said agreement, and said agreement is executed by the exhibits manager on
behalf of the IAFC.
3. The IAFC is hereby authorized to assign exhibit space based on availability and in accordance with the
Exhibitor’s choice whenever possible. The IAFC reserves the right to alter the location of exhibit spaces, at
its sole discretion, in the best interest of the exhibition.
4. If an exhibitor fails to abide by the regulations of the exhibition as set forth, then the contract between the
IAFC and the Exhibitor will be terminated. The exhibition regulations constitute a portion of the contract
between the IAFC and the Exhibitor. Therefore, any failure on the part of the exhibitor to comply with the
regulations represents a default on, and termination of the contract. Should the contract be terminated in
this manner, the Exhibitor shall forfeit the amount paid for space rental, regardless of whether or not the
IAFC enters into a further lease of the space involved. Interpretation and application of the regulations are
within the sole discretion of the IAFC and decisions by the IAFC are final.
5. Any Exhibitor which, in the opinion of IAFC Show Management, conducts themselves unethically, will be
subject to ejection from the conference and/or forfeit the right to exhibit in subsequent years. No disruption
of the conference or any exhibitor’s right to conduct business will be tolerated.
License Agreement
6. The Exhibitor may order and purchase a post show attendee list as a benefit of exhibiting at Fire-Rescue
Med. Use of the mailing list is meant to facilitate your company’s post show-marketing efforts. This
Agreement allows for the ONE TIME use of the mailing list FOR SIX MONTHS FOLLOWING THE
DATE OF PURCHASE. The mailing list may not be reproduced or distributed to any other organization,
individual or institution without the express written consent of the International Association of Fire Chiefs,
Inc. This offer is limited to Fire Service Equipment vendors and to firms providing Professional Services to
the Fire and Emergency Medical Services communities. It is not available to publishers, competing
organizations, associations and producers of trade shows, conferences and professional meetings. This offer
is made at the sole discretion of the International Association of Fire Chiefs, Inc., and the IAFC reserves
the right to determine eligibility under this License Agreement. ALL VENDORS REQUESTING THE
ATTENDEE LIST AGREE TO THE FOREGOING TERMS.
Eligible Exhibitors
7. Any firm/company that markets products for, or provides services to the fire and rescue industry is eligible
to exhibit. The IAFC reserves the right to determine the eligibility of any company, product, promotion or
part thereof that in its opinion is not in keeping with the character and purpose of the trade show.
8. The IAFC reserves the right to remove or prohibit any exhibit in whole, or in part, or any Exhibitor or
representatives, with or without cause. If cause is not given, liability shall not exceed the return to the
Exhibitor of the amount of rental unearned at the time of ejection. If an exhibit or Exhibitor is removed for
violation of these Rules and Regulations, or for any other stated reason, no return of rental shall be made.
9. No company or industry will be permitted to exhibit or hold any sponsored activity in the conference hotel
without the express permission of the IAFC. Please note that while all exhibitors and meeting attendees are
invited to the exhibit floor, any company or attendee who is observed to be soliciting business in the aisles
or other public spaces, in another company’s booth, or in violation of any portion of the IAFC Exhibition
Policy, will be asked to leave immediately. Additional penalties may be applied. The IAFC recognizes that
suitcasing may also take the form of commercial activity conducted from a hotel guest room or hospitality
suite; a restaurant, club or any other public place of assembly. For the purposes of this policy, suitcasing
violations may occur at venues other than the exhibition floor and at other events. IAFC policy states that
the IAFC must be informed of any hospitality suites and expressed consent must be received by the
Exhibitor prior to the event.

Character of Exhibit
10. The IAFC reserves the right to decline an exhibitor permission to conduct, maintain and exhibit if, in the
sole judgment of IAFC Show Management, said exhibitor shall in any respect be deemed unsuitable or
offensive to other individuals. This reservation includes, but is not limited to, personnel attire and conduct,
articles of merchandise, printed matter, souvenirs, catalogs, and any other items, without limitation, which
affect the character of the Exhibition or the IAFC.
Payment/Refund Policy
11. Full payment is due at the time application for exhibit space is made. Booth space will not be assigned or
otherwise held until the IAFC has received payment in full and a signed copy of the Exhibitor Agreement.
12. Cancellation of exhibit space is required in writing. If written cancellation is received on or before March 1,
25 percent of the total due is retained by the IAFC. No refunds will be made for any cancellations received
after March 1, 2008.
Subletting of Space
13. Contracted exhibitors who have paid for space assignments shall not assign, sublet, or share any space
allocated to them without prior written permission from the IAFC, and may not advertise or display goods
other than those manufactured or sold by them in the regular course of their business. Space assigned to the
Exhibitor is for their exclusive use.
14. No other person, firms, organizations, or companies shall be permitted to display or demonstrate their
products or services, or distribute advertising materials to conference attendees in any conference area.
Non-compliance with this regulation will result in the prompt removal of the offending person and property
from the area.
Exhibitor’s Authorized Agent
15. The Exhibitor will be responsible for designating an official authorized agent who will be the primary
contact to work with IAFC Show Management. This person will oversee and understand all contract issues,
including those relating to registration, payment, housing, badging, materials handling, booth set up and
tear down, operations and logistics, as well as ordering of furniture, signage, utilities, etc. The Exhibitor’s
Authorized Agent shall be authorized to enter into service contracts as may be necessary and for which the
Exhibitor is responsible. This agent shall receive all official correspondence from the IAFC and be
responsible for communicating all information to appropriate individuals.
Exhibit Staff
legitimate representatives. Exhibitors must open their exhibit on time each morning and staff it throughout
each day until show closing. Exhibit personnel shall wear professional attire consistent with the conference
decorum.
17. No person under 18 years of age will be permitted on the floor during move-in or move-out.
18. All personnel who are representatives of the exhibiting company must register as an “Exhibitor” and will
receive an exhibitor badge that should be worn at all times onsite. Persons registering as an “Exhibitor”
may be required to provide identification that shows their affiliation with the exhibiting company. Badge
swapping is not permitted and violators will lose all privileges to the exhibit hall.
19. Each exhibiting company will be allocated a total of four complimentary full conference registrations for
exhibit personnel. Additional badges for exhibitor personnel may be obtained at a cost of $200 each (limit 2
per 100 sq ft of exhibit space).
Standard Booth Equipment
20. Standard booths installed by the IAFC will be 10 ft. x 10 ft. perimeter in-line booths consisting of drape
contracted exhibit space will include one 6’ draped table, two chairs, one wastebasket and a 7” x 44” booth
identification sign.
21. All other equipment, furnishings or services other than those provided as indicated must be arranged for
with the appropriate contractor at the Exhibitor’s expense.

Booth Construction
22. The Exhibitor shall have the rights, subject to the provisions herein contained, to arrange their exhibits
within the space allotted to them in the manner best suited for displaying and demonstrating the goods
manufactured by them. No part of an exhibit shall extend outside of the exhibit space boundary. All
materials, items, etc. must be contained within the space assigned to the exhibitors as per the completed
agreement and in accordance with the International Association for Exhibition Management (IAEM)
Guidelines for Display (included in the Exhibitor Service Manual and available upon request).
23. The Exhibitor shall care for their own exhibits and take such steps and precautions as may be necessary to
prevent injury or damage to themselves or their exhibits. The Exhibitor shall not place in the exhibit area
any material, equipment, apparatus or goods that will in any manner be dangerous or calculated to cause
injury to any persons coming in contact with them or result in fire or damage to the building or exhibits.
Any such item which may be a hazard to persons or property shall be removed forthwith.
24. Nothing shall be posted, tacked, nailed, screwed or otherwise attached to columns, walls, floors or other
parts of the building or furniture. The Exhibitor shall not place in the exhibit area any material or
equipment whose presence, appearance or operation produces noise, vibration, odor or other irritant that is
objectionable to the IAFC, The Orleans Hotel & Casino, other exhibitors or visitors. Exhibits that defame
or unfairly attack the products or integrity of another Exhibitor, or exhibits that disturb or disrupt the
exhibits of another exhibitor, through audio or video displays or otherwise, are also prohibited.
25. Sound & Video Devices: The use of devices for mechanical reproduction of sound or music is permitted,
but must be controlled. Sound or video of any kind must not be projected outside of the exhibit booth.
Installation & Dismantling of Exhibits
27. Exhibits are to be set-up during assigned times. Exhibits not set up by 5:00 p.m. on Sunday, April 20, 2008
may be resold or reassigned by the IAFC without obligation on the part of IAFC for any refund whatsoever.
In addition, labor will be assigned to install or remove the exhibit from the hall. Labor expense for booths
not installed by the designated time will be borne by the Exhibitor. The IAFC is not responsible for any
damage to the Exhibitor’s product due to setup or removal of the Exhibitor’s booth.
28. The Exhibitor will not dismantle their display prior to 3:30 p.m. on Tuesday, April 22. No exhibit or any
part thereof may be removed during the period of such exhibition, without the written consent of the IAFC.
Any Exhibitor who dismantles their exhibit prior to the stated closing hour will be subject to review for
future participation in IAFC sponsored exhibitions and events.
29. Exhibitors shall remove all exhibits and any goods or property brought into the exhibit hall and leave said
space both clean and free from all rubbish by 6:00 p.m. on Tuesday, April 22.
Security Information
30. The IAFC will provide security in the exhibit hall from 5:00 pm on Sunday, April 20 until 10:00 am on
Monday, April 21 and from 6:30 pm on Monday, April 21 until 10:00 am on Tuesday, April 22. This is an
open-booth show and the primary responsibility for safeguarding exhibits and merchandise falls upon the
Exhibitor. IAFC Show Management will exercise reasonable care in safeguarding all property; however,
neither the IAFC, The Orleans Hotel & Casino, Freeman, the security contractor, nor any of their officers,
agents or employees assume the responsibility for such property. To assure maximum security protection
for open exhibits and merchandise, after-hours business and/or entertainment will not be permitted in
exhibit booths.
Retail Sales
31. Sales will be permitted on the exhibit floor. The Exhibitor assumes entire responsibility for the collection of
any applicable sales taxes on any sales made on the exhibition premises.
Fire Protection
32. All booth decorations and materials must be flame retardant in accordance with The Orleans Hotel &
Casino Regulations. If an inspection indicates that the Exhibitor has not complied with these regulations or
otherwise incurs a fire, the Exhibitor will be given the opportunity to correct the situation. If the situation is
not corrected, the IAFC reserves the right to cancel all or such part of said exhibit, which does not conform
to the regulations. It is the responsibility of the Exhibitor to read and follow all applicable codes,
ordinances and regulations.

Product Information & Food and Beverage Samples
33. Individual contracted companies interested in distributing product samples, circulars or advertising
materials may only do so within the booth space assigned to the Exhibitor. Such materials shall not be
distributed to the hotel rooms of the conference registrants without the IAFC’s prior approval or in any area
of the conference facilities that is or is not an assigned area of the IAFC.
Cancellation of Exhibition
34. Neither the IAFC nor The Orleans Hotel & Casino, their employees and agents shall have any liability or
obligation to the Exhibitor for cancellation or deferral of the Conference. In the event that the premises in
which the exhibition is to be held are destroyed or damaged by fire or the elements or any other cause, so
the exhibition cannot be held, the Exhibitor shall have no cause of action or claim for damages or
compensation against the IAFC except for the return of any amount previously paid, and in such an event,
this agreement shall be terminated.
Liability
35. The IAFC shall not in any manner or for any cause be liable or responsible to the Exhibitor or any other
person for any injury or damage to any person, business or property in any way related to or arising in
connection with the exhibition; and any and all claims for such injuries or damages are hereby waived and
the Exhibitor agrees to indemnify and hold harmless the IAFC and its directors, officers, employees and
agents (the "Indemnified Parties") against any and all claims, liabilities, losses and expenses, including
reasonable attorney’s fees, imposed on, incurred by or asserted against the indemnified parties caused by
any act or omission of that exhibitor, or occurring within the exhibit space leased by that exhibitor or
arising in connection with the activities conducted by the Exhibitor in connection with the exhibition.
36. The Exhibitor acknowledges that the IAFC and The Orleans Hotel & Casino do not maintain insurance
covering the Exhibitor’s property and that it is the sole responsibility of the Exhibitor to obtain business
interruption and property damage insurance covering such losses by the Exhibitor.
Insurance
37. The exhibitor shall, at his/her expense, provide insurance for protection of his property against fire, theft,
vandalism or destruction by any cause. The exhibitor shall also provide workmen’s compensation and
general liability insurance in an amount not less than $1 million per occurrence.
38. The IAFC requires each exhibiting company to provide proof of liability insurance. This is a safeguard
measure in the event an accident occurs within your booth. The regular liability insurance carried for your
day-to-day operations typically is sufficient. Check with your insurance company for specific information.
39. If the Exhibitor uses a non-official contractor, they too must comply with the above coverage provisions.
Amendment of Rules
40. The IAFC reserves the right to make changes, amendments and additions to the rules at any time, and all
changes, amendments and additions so made shall be binding on the Exhibitor with the provision that all
exhibitors will be advised of any such changes.
Guidelines for Display Rules and Regulations 2005 Update
The following Guidelines for Display Rules and Regulations have been
established in accordance with guidelines set forth by the International
Association for Exhibition Management (IAEM). Guidelines for Display Rules
and Regulations were originally created to promote continuity and consistency
among North American exhibitions. Since their introduction, they have become
the model for most domestic exhibitions. Many exhibition organizers include a
copy in their Exhibition Prospectus and/or Exhibition Rules.
This revised 2005 edition of IAEMʼs Guidelines for Display Rules and
Regulations is offered as a resource for exhibition organizers to use in
creating consistent and fair exhibiting standards for their events. The text
and illustrations have been clarified and updated with the intent of affording
exhibitors a maximum return on their exhibit investments. Compliance with
fire, safety, Americans with Disabilities Act (ADA), and other government
requirements have also been addressed. However, always check with local
exhibition service contractors for local regulations.
It is IAEMʼs goal that the display rules and regulations, ultimately developed
by each exhibition organizer, shall provide exhibitors with all the information
necessary to properly design and build exhibits, as well as plan their boothʼs
layout and content. Organizers should present the professional standards
expected of exhibitors. Finally, they should assure all exhibitors, regardless
of exhibit size or location, an environment conducive to successful interaction
with their audiences.
IAEM is a global association that serves as the foremost authority on exhibition
management and operations.
This edition of IAEM’s Guidelines for Display Rules and Regulations is made possible by a generous grant from Champion Exposition Services
Linear Booth
10'
(1.52
5
Linear Booths have only one side exposed to an aisle
and are generally arranged in a series along a straight
line. They are also called “in-line” booths.
Dimensions
For purposes of consistency and ease of layout and/
or reconfiguration, floor plan design in increments
of 10ft (3.05m) has become the de facto standard
in the United States. Therefore, unless constricted
by space or other limitations, Linear Booths
are most commonly 10ft (3.05m) wide and 10ft
(3.048M)
(3.05m) deep, i.e. 10ft by 10ft (3.05m 10' by 3.05m).
A maximum back wall height limitation of 8ft
(2.44m) is generally specified.
(3.048M)
10'
(1.524M)
5'
Use of Space
Regardless of the number of Linear Booths utilized,
e.g. 10ft by 20ft (3.05m by 6.10m), 10ft by 30ft
(3.05m by 9.14m), 10ft by 40ft (3.05m by 12.19m),
etc. display materials should be arranged in such a
manner so as not to obstruct sight lines of neighboring
exhibitors. The maximum height of 8ft (2.44m) is
allowed only in the rear half of the booth space, with a
Peninsula Booth
Dimensions
A Peninsula Booth is usually 20' x 20ʼ or
larger. When a Peninsula Booth backs up to
two Linear Booths, the backwall is restricted to
5' 10' 5'
four feet (4ʼ) high (1.524M) within (3.048M)(1.524M) five feet (5ʼ) of each
aisle, permitting adequate line of sight for the
adjoining Linear Booths. Sixteen feet (16ʼ) is a
typical maximum height allowance, including
20'
Other Important Considerations
Canopies and Ceilings
Canopies, including ceilings, umbrellas and canopy frames, can be either decorative or functional (such as to shade computer
monitors from ambient light or for hanging products). Canopies for Linear or Perimeter Booths should comply with line of sight
requirements (see “Use of Space for Linear or Perimeter Booths”).
The base of the Canopy should not be lower than seven feet (7ʼ) from the floor within five feet (5ʼ) of any aisle. Canopy supports
should be no wider than three inches (3”). This applies to any booth configuration that has a sightline restriction, such as a Linear
Booth. Fire and safety regulations in many facilities strictly govern the use of canopies, ceilings and other similar coverings. Check
with the appropriate local agencies prior to determining specific exhibition rules.
CANOPIES AND CEILINGS
Hanging Signs & Graphics
Hanging signs and graphics are permitted in all standard Peninsula and Island Booths, usually to a maximum height of sixteen feet (16ʼ). Whether
suspended from above or supported from below, they should comply with all ordinary use-of-space requirements (for example, the highest point
of any sign should not exceed the maximum allowable height for the booth type).
Hanging Signs & Graphics should be set back ten feet (10ʼ) from adjacent booths.
Approval for the use of Hanging Signs & Graphics should be received from the exhibition organizer at least 60 days prior to installation.
Drawings should be available for inspection.
4'
PLAN VIEW
Towers
FRONT VIEW
A Tower is a freestanding exhibit component separate from the main exhibit fixture. The height restriction is the same as that which applies to
the appropriate exhibit configuration being used.
Towers in excess of eight feet (8ʼ) should have drawings available for inspection. Fire and safety regulations in many facilities strictly govern
the use of towers. A building permit may be required.
Multi-story Exhibit
A Multi-story Exhibit is a booth where the display fixtures exceed twelve feet (12ʼ), including Double-decker and Triple-decker Booths.
In many cities, a Multi-storied Exhibit requires prior approval by the exhibit facility and/or relevant local government agency because it
is deemed to be a “structure” for building purposes. The city building department generally needs to issue a building permit based on an
application and drawings prepared and submitted by a licensed architect or engineer. Exhibitors should obtain local building regulations early
on to ensure that all time constraints are met. Exhibition organizers should be prepared to assist exhibitors in this application process.
Issues Common To All Booth Types
Americans with Disabilities Act (ADA)
All exhibiting companies are required to be in compliance with the Americans with Disabilities Act (ADA) and are
encouraged to be sensitive, and as reasonably accommodating as possible, to attendees with disabilities. Information
regarding ADA compliance is available from the U.S. Department of Justice ADA Information Line (800-514-0301)
and from web site www.usdoj.gov/crt/ada/infoline.htm.
Structural Integrity
All exhibit displays should be designed and erected in a manner that will withstand normal contact or vibration caused by
neighboring exhibitors, hall laborers or installation/dismantling equipment such as fork lifts. Displays should also be able
to withstand moderate wind effects that may occur in the exhibit hall when freight doors are open. Refer to local building
codes that regulate temporary structures.
Exhibitors should ensure that any display fixtures such as tables, racks or shelves are designed and installed properly to
support the product or marketing materials to be displayed upon them.
Flammable and Toxic Materials
All materials used in display construction or decorating should be made of fire retardant materials and be certified as
flame retardant. Samples should also be available for testing. Materials that cannot be treated to meet the requirements
should not be used. A flameproofing certificate should be available for inspection.
Exhibitors should dispose of any waste products they generate during the exhibition in accordance with guidelines
established by the Environmental Protection Agency and the facility.
Electrical
Every exhibit facility has different electrical requirements; however, minimum guidelines are suggested:
• All 110-volt wiring should be grounded three-wire.
• Wiring that touches the floor should be “SO” cord (minimum 14-gauge/three-wire) flat cord, which is insulated to
qualify for “extra hard usage”.
• Cord wiring above floor level can be “SJ” which is rated for “hard usage”.
• Using zip cords, two-wire cords, latex cords, plastic cord, lamp cord, open clip sockets, and two-wire clamp-on fixtures
is not recommended and is often prohibited. Cube taps are not recommended and are often prohibited.
• Power strips (multi-plug connectors) should be UL approved, with built-in over-load protectors.
Lighting
Exhibitors should adhere to the following suggested minimum guidelines when determining booth lighting:
• No lighting, fixtures, lighting trusses or overhead lighting are allowed outside the boundaries of the exhibit space. Exhibitors
intending to use hanging light systems should submit drawings to exhibition management for approval.
• Lighting should be directed to the inner confines of the booth space. Lighting should not project onto other exhibits
or show aisles.
• Lighting which is potentially harmful, such as lasers or ultraviolet lighting, should comply with facility rules and be
approved in writing by exhibition management.
• Lighting that spins, rotates, pulsates and other specialized lighting effects should be in good taste and not interfere with
neighboring exhibitors or otherwise detract from the general atmosphere of the event.
Issues Common To All Booth Types (continued)
Storage
Fire regulations in most exhibit facilities prohibit storing product, literature, empty packing containers or packing
materials behind back drapes or under draped tables. In most cases, however, exhibitors may store a limited
supply of literature or product appropriately within the booth area, so long as these items do not impede access
to utility services, create a safety problem or look unsightly.
Demonstrations
As a matter of safety and courtesy to others, exhibitors should conduct sales presentations and product
demonstrations in a manner which assures all exhibitor personnel and attendees are within the contracted exhibit
space and not encroaching on the aisle or neighboring exhibits. It is the responsibility of each exhibitor to
arrange displays, product presentation and demonstration areas to ensure compliance.
Special caution should be taken when demonstrating machinery or equipment that has moving parts, cooking
equipment with an open flame, or any product that is otherwise potentially dangerous. Exhibitors should
establish a minimum setback of three feet (3ʼ) and/or install hazard barriers as necessary to prevent accidental
injury to spectators. Sound demonstrations should not exceed 85 decibels. Additionally, demonstrations should
only be conducted by qualified personnel.
Sound/Music
In general, exhibitors may use sound equipment in their booths so long as the noise level does not disrupt the
activities of neighboring exhibitors. Speakers and other sound devices should be positioned so as to direct sound
into the booth rather than into the aisle. Rule of thumb: Sound and noise should not exceed 85 decibels.
Exhibitors should be aware that music played in their booths, whether live or recorded, may be subject to
laws governing the use of copyrighted compositions. ASCAP, BMI and SESAC are three authorized licensing
organizations that collect copyright fees on behalf of composers and publishers of music.
Advisory Notes To Exhibition Organizers
End-cap Booths: End-cap Booths cause more problems between exhibitors than any other type of booth, because most
exhibitors fail to observe backwall height restrictions. Exhibition managers should be alert to exhibitorsʼ reserving End-
Cap configurations to ensure they do not violate Linear Booth line-of-sight regulations for neighboring exhibits.
Fire Equipment: Fire hoses and extinguishers should be visible and accessible at all times.
Hanging Signs: Although the Guidelines indicate sixteen feet (16ʼ) maximum height, some exhibitions permit eighteen
feet (18ʼ), twenty feet (20ʼ) or no limit. Caution should be exercised so exhibitors will not compete over air space for
hanging signs.
Exhibitors should be advised to install “hanging points” at the time of manufacture of the sign or display.
Hardwall Booths: Expositions that provide Hardwall Booths should specify if these structures can be used for display
and attaching products.
Line of Sight: It is common at certain events, such as gift and craft shows, to eliminate the line-of-sight requirement for
Linear, End-Cap and Peninsula Booths that back up to Linear Booths. This permits exhibitors to utilize the full cubic
content of the booth.
Perimeter Openings: Large peninsulas and islands with long high walls can create a “tunnel-like” effect. Exhibitors may
be required to install a minimum six-foot (6ʼ) opening every thirty feet (30ʼ).
Pipe and Drape: These are commonly used at exhibitions to define exhibits. Exhibition managers often include in their
Rules and Regulations that this equipment is not intended as a display fixture. Therefore product and signs should not be
attached or affixed.
Product Height: Some exhibitors have products that exceed display height restrictions. Exhibition organizers should
establish guidelines for displaying such products. For example, some shows require that these exhibitors reserve only
perimeter space. Products exceeding height restrictions for Islands and Peninsulas are usually permitted.
Vehicles: Rules vary depending on the facility, but generally it is required that vehicles on display have no more
than a 1/4 tank of gas. The filler cap should be sealed and the batteries disconnected. External chargers are usually
recommended for demonstration purposes.
