<strong>Rules</strong> Governing Use of Space by Exhibitors<br />
General<br />
1. These <strong>Rules</strong> <strong>and</strong> Regulations form part of the Exhibitor Agreement made between the <strong>International</strong><br />
Association of Fire Chiefs (“IAFC”) <strong>and</strong> the Exhibitor.<br />
2. Neither the Exhibitor Agreement nor any booth or display space request or allocation will be binding on the<br />
IAFC unless <strong>and</strong> until the exhibitor completes, signs <strong>and</strong> returns the Exhibitor Agreement; <strong>and</strong> issues<br />
payment in accordance with said agreement, <strong>and</strong> said agreement is executed by the exhibits manager on<br />
behalf of the IAFC.<br />
3. The IAFC is hereby authorized to assign exhibit space based on availability <strong>and</strong> in accordance with the<br />
Exhibitor’s choice whenever possible. The IAFC reserves the right to alter the location of exhibit spaces, at<br />
its sole discretion, in the best interest of the exhibition.<br />
4. If an exhibitor fails to abide by the regulations of the exhibition as set forth, then the contract between the<br />
IAFC <strong>and</strong> the Exhibitor will be terminated. The exhibition regulations constitute a portion of the contract<br />
between the IAFC <strong>and</strong> the Exhibitor. Therefore, any failure on the part of the exhibitor to comply with the<br />
regulations represents a default on, <strong>and</strong> termination of the contract. Should the contract be terminated in<br />
this manner, the Exhibitor shall forfeit the amount paid for space rental, regardless of whether or not the<br />
IAFC enters into a further lease of the space involved. Interpretation <strong>and</strong> application of the regulations are<br />
within the sole discretion of the IAFC <strong>and</strong> decisions by the IAFC are final.<br />
5. Any Exhibitor which, in the opinion of IAFC Show Management, conducts themselves unethically, will be<br />
subject to ejection from the conference <strong>and</strong>/or forfeit the right to exhibit in subsequent years. No disruption<br />
of the conference or any exhibitor’s right to conduct business will be tolerated.<br />
License Agreement<br />
6. The Exhibitor may order <strong>and</strong> purchase a post show attendee list as a benefit of exhibiting at Fire-Rescue<br />
Med. Use of the mailing list is meant to facilitate your company’s post show-marketing efforts. This<br />
Agreement allows for the ONE TIME use of the mailing list FOR SIX MONTHS FOLLOWING THE<br />
DATE OF PURCHASE. The mailing list may not be reproduced or distributed to any other organization,<br />
individual or institution without the express written consent of the <strong>International</strong> Association of Fire Chiefs,<br />
Inc. This offer is limited to Fire Service Equipment vendors <strong>and</strong> to firms providing Professional Services to<br />
the Fire <strong>and</strong> Emergency Medical Services communities. It is not available to publishers, competing<br />
organizations, associations <strong>and</strong> producers of trade shows, conferences <strong>and</strong> professional meetings. This offer<br />
is made at the sole discretion of the <strong>International</strong> Association of Fire Chiefs, Inc., <strong>and</strong> the IAFC reserves<br />
the right to determine eligibility under this License Agreement. ALL VENDORS REQUESTING THE<br />
ATTENDEE LIST AGREE TO THE FOREGOING TERMS.<br />
Eligible Exhibitors<br />
7. Any firm/company that markets products for, or provides services to the fire <strong>and</strong> rescue industry is eligible<br />
to exhibit. The IAFC reserves the right to determine the eligibility of any company, product, promotion or<br />
part thereof that in its opinion is not in keeping with the character <strong>and</strong> purpose of the trade show.<br />
8. The IAFC reserves the right to remove or prohibit any exhibit in whole, or in part, or any Exhibitor or<br />
representatives, with or without cause. If cause is not given, liability shall not exceed the return to the<br />
Exhibitor of the amount of rental unearned at the time of ejection. If an exhibit or Exhibitor is removed for<br />
violation of these <strong>Rules</strong> <strong>and</strong> Regulations, or for any other stated reason, no return of rental shall be made.<br />
9. No company or industry will be permitted to exhibit or hold any sponsored activity in the conference hotel<br />
without the express permission of the IAFC. Please note that while all exhibitors <strong>and</strong> meeting attendees are<br />
invited to the exhibit floor, any company or attendee who is observed to be soliciting business in the aisles<br />
or other public spaces, in another company’s booth, or in violation of any portion of the IAFC Exhibition<br />
Policy, will be asked to leave immediately. Additional penalties may be applied. The IAFC recognizes that<br />
suitcasing may also take the form of commercial activity conducted from a hotel guest room or hospitality<br />
suite; a restaurant, club or any other public place of assembly. For the purposes of this policy, suitcasing<br />
violations may occur at venues other than the exhibition floor <strong>and</strong> at other events. IAFC policy states that<br />
the IAFC must be informed of any hospitality suites <strong>and</strong> expressed consent must be received by the<br />
Exhibitor prior to the event.
Character of Exhibit<br />
10. The IAFC reserves the right to decline an exhibitor permission to conduct, maintain <strong>and</strong> exhibit if, in the<br />
sole judgment of IAFC Show Management, said exhibitor shall in any respect be deemed unsuitable or<br />
offensive to other individuals. This reservation includes, but is not limited to, personnel attire <strong>and</strong> conduct,<br />
articles of merch<strong>and</strong>ise, printed matter, souvenirs, catalogs, <strong>and</strong> any other items, without limitation, which<br />
affect the character of the Exhibition or the IAFC.<br />
Payment/Refund Policy<br />
11. Full payment is due at the time application for exhibit space is made. Booth space will not be assigned or<br />
otherwise held until the IAFC has received payment in full <strong>and</strong> a signed copy of the Exhibitor Agreement.<br />
12. Cancellation of exhibit space is required in writing. If written cancellation is received on or before March 1,<br />
25 percent of the total due is retained by the IAFC. No refunds will be made for any cancellations received<br />
after March 1, 2008.<br />
Subletting of Space<br />
13. Contracted exhibitors who have paid for space assignments shall not assign, sublet, or share any space<br />
allocated to them without prior written permission from the IAFC, <strong>and</strong> may not advertise or display goods<br />
other than those manufactured or sold by them in the regular course of their business. Space assigned to the<br />
Exhibitor is for their exclusive use.<br />
14. No other person, firms, organizations, or companies shall be permitted to display or demonstrate their<br />
products or services, or distribute advertising materials to conference attendees in any conference area.<br />
Non-compliance with this regulation will result in the prompt removal of the offending person <strong>and</strong> property<br />
from the area.<br />
Exhibitor’s Authorized Agent<br />
15. The Exhibitor will be responsible for designating an official authorized agent who will be the primary<br />
contact to work with IAFC Show Management. This person will oversee <strong>and</strong> underst<strong>and</strong> all contract issues,<br />
including those relating to registration, payment, housing, badging, materials h<strong>and</strong>ling, booth set up <strong>and</strong><br />
tear down, operations <strong>and</strong> logistics, as well as ordering of furniture, signage, utilities, etc. The Exhibitor’s<br />
Authorized Agent shall be authorized to enter into service contracts as may be necessary <strong>and</strong> for which the<br />
Exhibitor is responsible. This agent shall receive all official correspondence from the IAFC <strong>and</strong> be<br />
responsible for communicating all information to appropriate individuals.<br />
Exhibit Staff<br />
16. Exhibits shall be staffed by technical, qualified individuals who are bona fide company employees or<br />
legitimate representatives. Exhibitors must open their exhibit on time each morning <strong>and</strong> staff it throughout<br />
each day until show closing. Exhibit personnel shall wear professional attire consistent with the conference<br />
decorum.<br />
17. No person under 18 years of age will be permitted on the floor during move-in or move-out.<br />
18. All personnel who are representatives of the exhibiting company must register as an “Exhibitor” <strong>and</strong> will<br />
receive an exhibitor badge that should be worn at all times onsite. Persons registering as an “Exhibitor”<br />
may be required to provide identification that shows their affiliation with the exhibiting company. Badge<br />
swapping is not permitted <strong>and</strong> violators will lose all privileges to the exhibit hall.<br />
19. Each exhibiting company will be allocated a total of four complimentary full conference registrations for<br />
exhibit personnel. Additional badges for exhibitor personnel may be obtained at a cost of $200 each (limit 2<br />
per 100 sq ft of exhibit space).<br />
St<strong>and</strong>ard Booth Equipment<br />
20. St<strong>and</strong>ard booths installed by the IAFC will be 10 ft. x 10 ft. perimeter in-line booths consisting of drape<br />
assembled on aluminum stanchions <strong>and</strong> crossbars (8-ft. high back drape <strong>and</strong> 3-ft. high side drapes). Each<br />
contracted exhibit space will include one 6’ draped table, two chairs, one wastebasket <strong>and</strong> a 7” x 44” booth<br />
identification sign.<br />
21. All other equipment, furnishings or services other than those provided as indicated must be arranged for<br />
with the appropriate contractor at the Exhibitor’s expense.
Booth Construction<br />
22. The Exhibitor shall have the rights, subject to the provisions herein contained, to arrange their exhibits<br />
within the space allotted to them in the manner best suited for displaying <strong>and</strong> demonstrating the goods<br />
manufactured by them. No part of an exhibit shall extend outside of the exhibit space boundary. All<br />
materials, items, etc. must be contained within the space assigned to the exhibitors as per the completed<br />
agreement <strong>and</strong> in accordance with the <strong>International</strong> Association for Exhibition Management (IAEM)<br />
Guidelines for Display (included in the Exhibitor Service Manual <strong>and</strong> available upon request).<br />
23. The Exhibitor shall care for their own exhibits <strong>and</strong> take such steps <strong>and</strong> precautions as may be necessary to<br />
prevent injury or damage to themselves or their exhibits. The Exhibitor shall not place in the exhibit area<br />
any material, equipment, apparatus or goods that will in any manner be dangerous or calculated to cause<br />
injury to any persons coming in contact with them or result in fire or damage to the building or exhibits.<br />
Any such item which may be a hazard to persons or property shall be removed forthwith.<br />
24. Nothing shall be posted, tacked, nailed, screwed or otherwise attached to columns, walls, floors or other<br />
parts of the building or furniture. The Exhibitor shall not place in the exhibit area any material or<br />
equipment whose presence, appearance or operation produces noise, vibration, odor or other irritant that is<br />
objectionable to the IAFC, The Orleans Hotel & Casino, other exhibitors or visitors. Exhibits that defame<br />
or unfairly attack the products or integrity of another Exhibitor, or exhibits that disturb or disrupt the<br />
exhibits of another exhibitor, through audio or video displays or otherwise, are also prohibited.<br />
25. Sound & Video Devices: The use of devices for mechanical reproduction of sound or music is permitted,<br />
but must be controlled. Sound or video of any kind must not be projected outside of the exhibit booth.<br />
Installation & Dismantling of Exhibits<br />
26. All goods shall be consigned in accordance with instructions in the Exhibitor Service Manual.<br />
27. Exhibits are to be set-up during assigned times. Exhibits not set up by 5:00 p.m. on Sunday, April 20, 2008<br />
may be resold or reassigned by the IAFC without obligation on the part of IAFC for any refund whatsoever.<br />
In addition, labor will be assigned to install or remove the exhibit from the hall. Labor expense for booths<br />
not installed by the designated time will be borne by the Exhibitor. The IAFC is not responsible for any<br />
damage to the Exhibitor’s product due to setup or removal of the Exhibitor’s booth.<br />
28. The Exhibitor will not dismantle their display prior to 3:30 p.m. on Tuesday, April 22. No exhibit or any<br />
part thereof may be removed during the period of such exhibition, without the written consent of the IAFC.<br />
Any Exhibitor who dismantles their exhibit prior to the stated closing hour will be subject to review for<br />
future participation in IAFC sponsored exhibitions <strong>and</strong> events.<br />
29. Exhibitors shall remove all exhibits <strong>and</strong> any goods or property brought into the exhibit hall <strong>and</strong> leave said<br />
space both clean <strong>and</strong> free from all rubbish by 6:00 p.m. on Tuesday, April 22.<br />
Security Information<br />
30. The IAFC will provide security in the exhibit hall from 5:00 pm on Sunday, April 20 until 10:00 am on<br />
Monday, April 21 <strong>and</strong> from 6:30 pm on Monday, April 21 until 10:00 am on Tuesday, April 22. This is an<br />
open-booth show <strong>and</strong> the primary responsibility for safeguarding exhibits <strong>and</strong> merch<strong>and</strong>ise falls upon the<br />
Exhibitor. IAFC Show Management will exercise reasonable care in safeguarding all property; however,<br />
neither the IAFC, The Orleans Hotel & Casino, Freeman, the security contractor, nor any of their officers,<br />
agents or employees assume the responsibility for such property. To assure maximum security protection<br />
for open exhibits <strong>and</strong> merch<strong>and</strong>ise, after-hours business <strong>and</strong>/or entertainment will not be permitted in<br />
exhibit booths.<br />
Retail Sales<br />
31. Sales will be permitted on the exhibit floor. The Exhibitor assumes entire responsibility for the collection of<br />
any applicable sales taxes on any sales made on the exhibition premises.<br />
Fire Protection<br />
32. All booth decorations <strong>and</strong> materials must be flame retardant in accordance with The Orleans Hotel &<br />
Casino Regulations. If an inspection indicates that the Exhibitor has not complied with these regulations or<br />
otherwise incurs a fire, the Exhibitor will be given the opportunity to correct the situation. If the situation is<br />
not corrected, the IAFC reserves the right to cancel all or such part of said exhibit, which does not conform<br />
to the regulations. It is the responsibility of the Exhibitor to read <strong>and</strong> follow all applicable codes,<br />
ordinances <strong>and</strong> regulations.
Product Information & Food <strong>and</strong> Beverage Samples<br />
33. Individual contracted companies interested in distributing product samples, circulars or advertising<br />
materials may only do so within the booth space assigned to the Exhibitor. Such materials shall not be<br />
distributed to the hotel rooms of the conference registrants without the IAFC’s prior approval or in any area<br />
of the conference facilities that is or is not an assigned area of the IAFC.<br />
Cancellation of Exhibition<br />
34. Neither the IAFC nor The Orleans Hotel & Casino, their employees <strong>and</strong> agents shall have any liability or<br />
obligation to the Exhibitor for cancellation or deferral of the Conference. In the event that the premises in<br />
which the exhibition is to be held are destroyed or damaged by fire or the elements or any other cause, so<br />
the exhibition cannot be held, the Exhibitor shall have no cause of action or claim for damages or<br />
compensation against the IAFC except for the return of any amount previously paid, <strong>and</strong> in such an event,<br />
this agreement shall be terminated.<br />
Liability<br />
35. The IAFC shall not in any manner or for any cause be liable or responsible to the Exhibitor or any other<br />
person for any injury or damage to any person, business or property in any way related to or arising in<br />
connection with the exhibition; <strong>and</strong> any <strong>and</strong> all claims for such injuries or damages are hereby waived <strong>and</strong><br />
the Exhibitor agrees to indemnify <strong>and</strong> hold harmless the IAFC <strong>and</strong> its directors, officers, employees <strong>and</strong><br />
agents (the "Indemnified Parties") against any <strong>and</strong> all claims, liabilities, losses <strong>and</strong> expenses, including<br />
reasonable attorney’s fees, imposed on, incurred by or asserted against the indemnified parties caused by<br />
any act or omission of that exhibitor, or occurring within the exhibit space leased by that exhibitor or<br />
arising in connection with the activities conducted by the Exhibitor in connection with the exhibition.<br />
36. The Exhibitor acknowledges that the IAFC <strong>and</strong> The Orleans Hotel & Casino do not maintain insurance<br />
covering the Exhibitor’s property <strong>and</strong> that it is the sole responsibility of the Exhibitor to obtain business<br />
interruption <strong>and</strong> property damage insurance covering such losses by the Exhibitor.<br />
Insurance<br />
37. The exhibitor shall, at his/her expense, provide insurance for protection of his property against fire, theft,<br />
v<strong>and</strong>alism or destruction by any cause. The exhibitor shall also provide workmen’s compensation <strong>and</strong><br />
general liability insurance in an amount not less than $1 million per occurrence.<br />
38. The IAFC requires each exhibiting company to provide proof of liability insurance. This is a safeguard<br />
measure in the event an accident occurs within your booth. The regular liability insurance carried for your<br />
day-to-day operations typically is sufficient. Check with your insurance company for specific information.<br />

39. If the Exhibitor uses a non-official contractor, they too must comply with the above coverage provisions.<br />
Amendment of <strong>Rules</strong><br />
40. The IAFC reserves the right to make changes, amendments <strong>and</strong> additions to the rules at any time, <strong>and</strong> all<br />
changes, amendments <strong>and</strong> additions so made shall be binding on the Exhibitor with the provision that all<br />
exhibitors will be advised of any such changes.<br />
41. All matters <strong>and</strong> questions not specifically covered by these <strong>Rules</strong> <strong>and</strong> Regulations <strong>and</strong> the Exhibitor<br />
Agreement are subject to the decision of IAFC Show Management, whose decisions will be final.
Guidelines for Display <strong>Rules</strong> <strong>and</strong> Regulations 2005 Update<br />
The following Guidelines for Display <strong>Rules</strong> <strong>and</strong> Regulations have been<br />
established in accordance with guidelines set forth by the <strong>International</strong><br />
Association for Exhibition Management (IAEM). Guidelines for Display <strong>Rules</strong><br />
<strong>and</strong> Regulations were originally created to promote continuity <strong>and</strong> consistency<br />
among North American exhibitions. Since their introduction, they have become<br />
the model for most domestic exhibitions. Many exhibition organizers include a<br />
copy in their Exhibition Prospectus <strong>and</strong>/or Exhibition <strong>Rules</strong>.<br />
This revised 2005 edition of IAEMʼs Guidelines for Display <strong>Rules</strong> <strong>and</strong><br />
Regulations is offered as a resource for exhibition organizers to use in<br />
creating consistent <strong>and</strong> fair exhibiting st<strong>and</strong>ards for their events. The text<br />
<strong>and</strong> illustrations have been clarified <strong>and</strong> updated with the intent of affording<br />
exhibitors a maximum return on their exhibit investments. Compliance with<br />
fire, safety, Americans with Disabilities Act (ADA), <strong>and</strong> other government<br />
requirements have also been addressed. However, always check with local<br />
exhibition service contractors for local regulations.<br />
It is IAEMʼs goal that the display rules <strong>and</strong> regulations, ultimately developed<br />
by each exhibition organizer, shall provide exhibitors with all the information<br />
necessary to properly design <strong>and</strong> build exhibits, as well as plan their boothʼs<br />
layout <strong>and</strong> content. Organizers should present the professional st<strong>and</strong>ards<br />
expected of exhibitors. Finally, they should assure all exhibitors, regardless<br />
of exhibit size or location, an environment conducive to successful interaction<br />
with their audiences.<br />
IAEM is a global association that serves as the foremost authority on exhibition<br />
management <strong>and</strong> operations.<br />

Other Important Considerations<br />
Canopies <strong>and</strong> Ceilings<br />
Canopies, including ceilings, umbrellas <strong>and</strong> canopy frames, can be either decorative or functional (such as to shade computer<br />
monitors from ambient light or for hanging products). Canopies for Linear or Perimeter Booths should comply with line of sight<br />
requirements (see “Use of Space for Linear or Perimeter Booths”).<br />
The base of the Canopy should not be lower than seven feet (7ʼ) from the floor within five feet (5ʼ) of any aisle. Canopy supports<br />
should be no wider than three inches (3”). This applies to any booth configuration that has a sightline restriction, such as a Linear<br />
Booth. Fire <strong>and</strong> safety regulations in many facilities strictly govern the use of canopies, ceilings <strong>and</strong> other similar coverings. Check<br />
with the appropriate local agencies prior to determining specific exhibition rules.<br />

Hanging signs <strong>and</strong> graphics are permitted in all st<strong>and</strong>ard Peninsula <strong>and</strong> Isl<strong>and</strong> Booths, usually to a maximum height of sixteen feet (16ʼ). Whether<br />
suspended from above or supported from below, they should comply with all ordinary use-of-space requirements (for example, the highest point<br />
of any sign should not exceed the maximum allowable height for the booth type).<br />
Hanging Signs & Graphics should be set back ten feet (10ʼ) from adjacent booths.<br />
Approval for the use of Hanging Signs & Graphics should be received from the exhibition organizer at least 60 days prior to installation.<br />
Drawings should be available for inspection.<br />

Towers<br />
FRONT VIEW<br />
A Tower is a freest<strong>and</strong>ing exhibit component separate from the main exhibit fixture. The height restriction is the same as that which applies to<br />
the appropriate exhibit configuration being used.<br />
Towers in excess of eight feet (8ʼ) should have drawings available for inspection. Fire <strong>and</strong> safety regulations in many facilities strictly govern<br />
the use of towers. A building permit may be required.<br />
Multi-story Exhibit<br />
A Multi-story Exhibit is a booth where the display fixtures exceed twelve feet (12ʼ), including Double-decker <strong>and</strong> Triple-decker Booths.<br />
In many cities, a Multi-storied Exhibit requires prior approval by the exhibit facility <strong>and</strong>/or relevant local government agency because it<br />
is deemed to be a “structure” for building purposes. The city building department generally needs to issue a building permit based on an<br />
application <strong>and</strong> drawings prepared <strong>and</strong> submitted by a licensed architect or engineer. Exhibitors should obtain local building regulations early<br />
on to ensure that all time constraints are met. Exhibition organizers should be prepared to assist exhibitors in this application process.<br />

Issues Common To All Booth Types<br />
Americans with Disabilities Act (ADA)<br />
All exhibiting companies are required to be in compliance with the Americans with Disabilities Act (ADA) <strong>and</strong> are<br />
encouraged to be sensitive, <strong>and</strong> as reasonably accommodating as possible, to attendees with disabilities. Information<br />
regarding ADA compliance is available from the U.S. Department of Justice ADA Information Line (800-514-0301)<br />
<strong>and</strong> from web site www.usdoj.gov/crt/ada/infoline.htm.<br />
Structural Integrity<br />
All exhibit displays should be designed <strong>and</strong> erected in a manner that will withst<strong>and</strong> normal contact or vibration caused by<br />
neighboring exhibitors, hall laborers or installation/dismantling equipment such as fork lifts. Displays should also be able<br />
to withst<strong>and</strong> moderate wind effects that may occur in the exhibit hall when freight doors are open. Refer to local building<br />
codes that regulate temporary structures.<br />
Exhibitors should ensure that any display fixtures such as tables, racks or shelves are designed <strong>and</strong> installed properly to<br />
support the product or marketing materials to be displayed upon them.<br />
Flammable <strong>and</strong> Toxic Materials<br />
All materials used in display construction or decorating should be made of fire retardant materials <strong>and</strong> be certified as<br />
flame retardant. Samples should also be available for testing. Materials that cannot be treated to meet the requirements<br />
should not be used. A flameproofing certificate should be available for inspection.<br />
Exhibitors should dispose of any waste products they generate during the exhibition in accordance with guidelines<br />
established by the Environmental Protection Agency <strong>and</strong> the facility.<br />
Electrical<br />
Every exhibit facility has different electrical requirements; however, minimum guidelines are suggested:<br />
• All 110-volt wiring should be grounded three-wire.<br />
• Wiring that touches the floor should be “SO” cord (minimum 14-gauge/three-wire) flat cord, which is insulated to<br />
qualify for “extra hard usage”.<br />
• Cord wiring above floor level can be “SJ” which is rated for “hard usage”.<br />
• Using zip cords, two-wire cords, latex cords, plastic cord, lamp cord, open clip sockets, <strong>and</strong> two-wire clamp-on fixtures<br />
is not recommended <strong>and</strong> is often prohibited. Cube taps are not recommended <strong>and</strong> are often prohibited.<br />
• Power strips (multi-plug connectors) should be UL approved, with built-in over-load protectors.<br />
Lighting<br />
Exhibitors should adhere to the following suggested minimum guidelines when determining booth lighting:<br />
• No lighting, fixtures, lighting trusses or overhead lighting are allowed outside the boundaries of the exhibit space. Exhibitors<br />
intending to use hanging light systems should submit drawings to exhibition management for approval.<br />
• Lighting should be directed to the inner confines of the booth space. Lighting should not project onto other exhibits<br />
or show aisles.<br />
• Lighting which is potentially harmful, such as lasers or ultraviolet lighting, should comply with facility rules <strong>and</strong> be<br />
approved in writing by exhibition management.<br />
• Lighting that spins, rotates, pulsates <strong>and</strong> other specialized lighting effects should be in good taste <strong>and</strong> not interfere with<br />
neighboring exhibitors or otherwise detract from the general atmosphere of the event.<br />

Issues Common To All Booth Types (continued)<br />
Storage<br />
Fire regulations in most exhibit facilities prohibit storing product, literature, empty packing containers or packing<br />
materials behind back drapes or under draped tables. In most cases, however, exhibitors may store a limited<br />
supply of literature or product appropriately within the booth area, so long as these items do not impede access<br />
to utility services, create a safety problem or look unsightly.<br />
Demonstrations<br />
As a matter of safety <strong>and</strong> courtesy to others, exhibitors should conduct sales presentations <strong>and</strong> product<br />
demonstrations in a manner which assures all exhibitor personnel <strong>and</strong> attendees are within the contracted exhibit<br />
space <strong>and</strong> not encroaching on the aisle or neighboring exhibits. It is the responsibility of each exhibitor to<br />
arrange displays, product presentation <strong>and</strong> demonstration areas to ensure compliance.<br />
Special caution should be taken when demonstrating machinery or equipment that has moving parts, cooking<br />
equipment with an open flame, or any product that is otherwise potentially dangerous. Exhibitors should<br />
establish a minimum setback of three feet (3ʼ) <strong>and</strong>/or install hazard barriers as necessary to prevent accidental<br />
injury to spectators. Sound demonstrations should not exceed 85 decibels. Additionally, demonstrations should<br />
only be conducted by qualified personnel.<br />
Sound/Music<br />
In general, exhibitors may use sound equipment in their booths so long as the noise level does not disrupt the<br />
activities of neighboring exhibitors. Speakers <strong>and</strong> other sound devices should be positioned so as to direct sound<br />
into the booth rather than into the aisle. Rule of thumb: Sound <strong>and</strong> noise should not exceed 85 decibels.<br />
Exhibitors should be aware that music played in their booths, whether live or recorded, may be subject to<br />
laws governing the use of copyrighted compositions. ASCAP, BMI <strong>and</strong> SESAC are three authorized licensing<br />
organizations that collect copyright fees on behalf of composers <strong>and</strong> publishers of music.<br />

Advisory Notes To Exhibition Organizers<br />
End-cap Booths: End-cap Booths cause more problems between exhibitors than any other type of booth, because most<br />
exhibitors fail to observe backwall height restrictions. Exhibition managers should be alert to exhibitorsʼ reserving End-<br />
Cap configurations to ensure they do not violate Linear Booth line-of-sight regulations for neighboring exhibits.<br />
Fire Equipment: Fire hoses <strong>and</strong> extinguishers should be visible <strong>and</strong> accessible at all times.<br />
Hanging Signs: Although the Guidelines indicate sixteen feet (16ʼ) maximum height, some exhibitions permit eighteen<br />
feet (18ʼ), twenty feet (20ʼ) or no limit. Caution should be exercised so exhibitors will not compete over air space for<br />
hanging signs.<br />
Exhibitors should be advised to install “hanging points” at the time of manufacture of the sign or display.<br />
Hardwall Booths: Expositions that provide Hardwall Booths should specify if these structures can be used for display<br />
<strong>and</strong> attaching products.<br />
Line of Sight: It is common at certain events, such as gift <strong>and</strong> craft shows, to eliminate the line-of-sight requirement for<br />
Linear, End-Cap <strong>and</strong> Peninsula Booths that back up to Linear Booths. This permits exhibitors to utilize the full cubic<br />
content of the booth.<br />
Perimeter Openings: Large peninsulas <strong>and</strong> isl<strong>and</strong>s with long high walls can create a “tunnel-like” effect. Exhibitors may<br />
be required to install a minimum six-foot (6ʼ) opening every thirty feet (30ʼ).<br />
Pipe <strong>and</strong> Drape: These are commonly used at exhibitions to define exhibits. Exhibition managers often include in their<br />
<strong>Rules</strong> <strong>and</strong> Regulations that this equipment is not intended as a display fixture. Therefore product <strong>and</strong> signs should not be<br />
attached or affixed.<br />
Product Height: Some exhibitors have products that exceed display height restrictions. Exhibition organizers should<br />
establish guidelines for displaying such products. For example, some shows require that these exhibitors reserve only<br />
perimeter space. Products exceeding height restrictions for Isl<strong>and</strong>s <strong>and</strong> Peninsulas are usually permitted.<br />
Vehicles: <strong>Rules</strong> vary depending on the facility, but generally it is required that vehicles on display have no more<br />
than a 1/4 tank of gas. The filler cap should be sealed <strong>and</strong> the batteries disconnected. External chargers are usually<br />
recommended for demonstration purposes.<br />
