You must make them available at your principal place of business when they are requested by the <strong>DOT</strong>, a <strong>DOT</strong><br />

Agency, or USCG. For example, if you are a motor carrier <strong>and</strong> an FMCSA investigator requests your records,<br />

you must provide them within two business days.<br />

For most <strong>DOT</strong> Agencies <strong>and</strong> USCG, you must keep original copies of CCFs <strong>and</strong> ATFs<br />

even if you store them electronically.<br />

If your records are maintained by a service agent who goes out of business, you<br />

must request that they send the records to another service agent of your choosing<br />

or to you – <strong>and</strong> they must do so.<br />

<strong>What</strong> are the requirements for sending annual data reports to <strong>DOT</strong>?<br />

You might have to send data reports, but it will depend upon on which regulations you are to follow. The<br />

following chart contains the <strong>DOT</strong> Agency <strong>and</strong> USCG specific instructions on submitting the Management<br />

Information System drug <strong>and</strong> alcohol statistical testing data:<br />

<strong>Employers</strong> must submit upon request from FMCSA.<br />
