A. All school funds must be deposited with the principal's office. <strong>Aldine</strong> ISD pre-numbered receipts<br />

will be issued and books kept on each account. The money will be sent to the Business Office where<br />

books will also be kept and money will be deposited in the school depository bank. Handling<br />

accounts otherwise would be in violation of <strong>School</strong> Board Policy. ANY PROJECT, FUND<br />

RAISING CAMPAIGN, COLLECTING OF MONEYS OR DUES MUST BE APPROVED IN<br />

ADVANCE BY THE PRINCIPAL. IF A GROUP NEEDS TO DRAW ON ITS ACCOUNT, IT IS<br />

NECESSARY THAT A REQUEST BE SIGNED BY THE PRINCIPAL AT LEAST TWO (2)<br />

WEEKS BEFORE THE MONEY IS NEEDED SO THAT A CHECK MAY BE SECURED FROM<br />

THE BUSINESS OFFICE.<br />

B. Fund raising in school, with few exceptions (e.g., for approved school sponsored trips), should be for<br />

the purpose of improving the instructional program. All fundraisers need to be approved by the<br />

principal or his/her designee and turned in daily.<br />

C. Some expenditures require a requisition. It is necessary that the requisition have the vendor's name<br />

and address with an accurate description of materials or equipment, current catalog number and<br />

catalog page number. Refer to the <strong>Aldine</strong> ISD Financial Procedures Manual for specific guidance.<br />

D. NO PURCHASES ARE AUTHORIZED WITHOUT PRIOR APPROVAL VIA A PURCHASE<br />

REQUISITION (RQS). A PERSON WHO MAKES A PURCHASE IN THE NAME OF THE<br />

SCHOOL DISTRICT WITHOUT AN RQS OR PURCHASE ORDER WILL BE PERSONALLY<br />

LIABLE FOR THE PAYMENT.<br />

E. All purchases must be authorized by the school principal or appropriate person in advance. The staff<br />

member must provide the proper documentation (receipts) to the bookkeeper.<br />

F. Reimbursements cannot be made for tips or sales tax.<br />

VI. STANDARD FEES<br />

Fees have been studied and adopted on a district-wide basis. All student fees are to be deposited in the<br />

agency accounts and used for activity/class for which it was collected.<br />

MIDDLE SCHOOLS<br />

A. Library fines for late books.<br />

B. Art classes require student fees to pay for some materials.<br />

C. Band, Orchestra, and Choir may charge fees.<br />

D. Career and Technical Education courses/programs: LOTC, Technology Education, Touch<br />

System Data Entry, Desktop Publishing, and Exploring Careers.<br />

SENIOR HIGH SCHOOLS<br />

A. Library fines for late books.<br />

B. High school courses that require additional fees/purchase of equipment or supplies.<br />

1. Art<br />

2. Band, Orchestra, and Choir<br />

3. Dance<br />

4. Career and Technical Education courses such as Technology Education,<br />

Agricultural Science – Floral Design, Family and Consumer Science, Health<br />

Science Technology, Automotive Technology, Cosmetology, Business Information<br />

Management (BIM) 1 and 2, Digital Interactive Media, and Web Technologies<br />

C. Students will also pay minimum fees for dual credit classes through Lone Star College.<br />

D. First attempts of AP tests will be paid by the district. If a student chooses to take a test a<br />

second time, the student will pay for all costs.<br />
