Lynne explained that the reason for reviewing APRs prior to the organizations APR due date is so that any issues can be caught in advance. The group discussed that the amount of “Missing Data” on the report for the City of Riverside and that there should be “Don’t Knows” or “Refused”, rather than the missing data. Felicia Folmar stated that this will be dealt with in a monitoring and explained that the City of Riverside has a lot of new staff. It was suggested that HMIS support set up a meeting with US Vets soon since they also have new staff. 5. Continue ‘2012 HEARTH Conference’ Planning a. Continue setup arrangement The group discussed the binder situation and David said he will be able to provide twohundred 2-inch binders. The Interim Rule and Universal Data Elements will be included in the binders. David will also email Felicia materials for her to print out to add to the binders. Linda suggested providing a list of agencies that use HMIS. Felicia will provide lanyards with the name tags and Bob Therieau said that Martha’s Village & Kitchen will provide the paper plates. The group decided that they would like to have a round button pin for attendees to wear that says “Stop, don’t panic” and a ribbon that says “Ask me about HMIS” for those that currently use the HMIS system. b. Official Flyer for October 2 nd The Save the Date flyer was emailed out, but since everyone had not received it, Liz Calanche was going to re-send it out. The group decided to use the EFSP, CoC, and Housing Sub-committee listings as the email distribution lists for the conference flyer. Lynne will create the official flyer, but said she needs to know if Bob DiGruccio will be attending. c. Event agenda The morning session will be for everyone, including the newer agencies that are not currently using HMIS. The afternoon session will be for the agencies currently using HMIS, and will discuss the upcoming changes. A Client Track representative will speak during the afternoon session. Linda Rogers suggested having Alex Apodaca show the information that you can get from the data that is entered into HMIS. Morning Session Main speaker (30 minutes) - The changing face of HEARTH Panel to review APRs (Limit to 1 hour) – Leonard Jarman, Carrie DeLaurie, Luke Robinson, Lynne Brockmeier, (Linda Rogers will speak for the beginning part of discussion). Liz will ask Bill Riemer from the Corona-Norco Rescue Mission to speak, since they enter into HMIS but do not receive any funds. There was a small discussion on who should be the keynote speaker. Liz said she will check with Susan Larkin to find out if she asked Bob DiGruccio from HUD to speak at the conference. The group agreed that a TA representative, possibly Matt White, would also be an option if Bob was not available. Felicia explained that she is also in the process of making arrangements to have Client Track come out for four days. e. Resource Exhibit Fair Tables & Vendors – Registration Form David explained that he would like to set up information tables and have all of the agencies send in their materials ahead of time. His staff can set it all up so that when people are walking through at the conference, there will be information available on all the different programs. For the next Save the Date, Liz will request that if agencies plan to attend, that they bring their information to display. She will also ask that agencies bring their banners, as David said there will be space to put them up. Lynne will create the registration form, which will need to be turned in to ABC Recovery by mail or fax. David will provide Lynne with the information. f. Video/agency photos Lynne asked everyone to email her pictures of their agencies performing activities for her to put into a video format. g. HMIS Event Team for Oct. 2 nd Lynne asked whether the committee wanted an event team to get together to finalize some of the last specific details, or if they wanted to do it as a group. After a brief discussion, Lynne said that she will take care of it. 6. National Conference on Ending Homelessness ‘HUD HEARTH Continuum of Care Program Recap’ David gave a brief recap of the conference in Washington, D.C. He said that it was made clear that HUD is not getting any more money, but they are not getting cut either. Their hope is that the coordinated assessment will help us learn what the needs in our county are, which will help us to develop a plan on how the money can be better spent. They also stressed the importance of the Continuum of Care and the Steering Committee, as they will be critical for the funds that go to a particular county. Lynne explained that this committee has tried to stay ahead of all the coming changes. HUD released the final ruling and Liz offered to send it out to everyone today. HUD is looking at shifting the focus of how the CoC functions. There was a brief discussion regarding HUD wanting each continuum, within four years, to develop a coordinated intake process. Felicia discussed a veteran’s grant that US Vets received and that coordination is needed so that veterans are being assisted by the organizations that have received those funds. She has been working on a matrix for our CoC to help identify where the funds are being distributed. She said that she believes that HUD will give us some time to get the standards in place.
