12. For lots 1 and 2 and 3 and 4 the number of hours of labor shall be calculated using the Manufacturer’s Flat Rate Schedule, the<br />

same shall stand for lot 5, whenever the Manufacturer’s Flat Rate Schedule is still available. Wherever Manufacturer’s Flat<br />

Rate Schedule is not available, the Contracting Authority will request a quotation for repair work in writing. The quotation will<br />

be sent to EULEX Transport HQ for approval in advance of any repair taking place..<br />

13. For lots 1 and 2 and 3 and 4, only vehicle’s Genuine Manufacturer’s parts and materials shall be used..<br />

14. For lots 5 and 6, in case vehicle’s Genuine Manufacturer’s parts and materials are not available, (e.g. for old dated vehicles),<br />

the contractor shall inform the project manager that may agree upon equivalent high standard parts as OEM (Original<br />

Equipment Manufacturer) to be installed, following review of the proposal by EULEX Technical Experts.<br />

15. The contractor will not touch or tamper with any part of a vehicle that does not require inspection as part of the provision of<br />

any service under this contract. The contractor will be responsible for the repair or replacement of any parts that are damaged<br />

through such unauthorized tampering.<br />

16. The contractor will be responsible for returning the vehicle to the Contracting Authority’s facilities after completion of repairs<br />

or service. As such, the contractor must ensure that all his staff carrying out these functions are fully insured and hold a valid<br />

driving license for the category of vehicle being driven.<br />

17. All invoicing must be presented to the Project Manager, when the vehicle is returned after works, as proof that this work has<br />

been carried out satisfactorily. These must include original and copy along with the purchase order number, work order<br />

numbers and all relevant back up paperwork, (as specified under article 26.5 of the special conditions).<br />

18. Inspection and testing will take place upon delivery of spare parts or return of serviced/repaired vehicles (and in accordance<br />

with Article 25 of the General Conditions at the delivery address specified on the purchase order).<br />

19. All service and repair work must be approved by a EULEX Quality Control (QC) Inspector. Any unsatisfactory work as<br />

identified by the EULEX QC will be rectified by the Contractor at its own expenses.<br />

20. The Certificate of Provisional Acceptance must be issued and signed by both the contractor and the Contracting Authority’s<br />

representative after delivery of the spare parts to EULEX Transport HQ.<br />
