Sequence of Events and<br />

Description of Ancillary Services<br />

The following aims at highlighting in sequential order the course of events for the performance of the ancillary services<br />

(scheduled maintenance, repair of vehicles etc); it is based on the respective clauses of the special conditions of the contract,<br />

which prevail in case of ambiguity or divergence.<br />

1. The servicing schedule will be in accordance with the vehicle manufacturer’s recommendations and any changes or alteration<br />

as defined by the Contracting Authority.<br />

2. The Contracting Authority will make available, at a pre-booked time and date (at least 2 days in advance), to the contractor any<br />

vehicle that is due to have scheduled maintenance or repair. The Contracting Authority will endeavor to make the vehicles<br />

available for scheduled maintenance or repair at staggered intervals to avoid overbooking. However, for operational reasons,<br />

some vehicles may not be available for scheduled maintenance and the Contracting Authority is under no obligation to make<br />

the vehicle available.<br />

3. The contractor will be notified by EULEX Transport section when a vehicle is due for scheduled maintenance or repair. For<br />

lots 1 and 2 and 3 and 4, the contractor will be responsible for the collection of the vehicle from the Contracting Authority’s<br />

Transport HQ in Pristina and he/she will transport the vehicle to his own premises and drop it off after completion of the<br />

services.<br />

4. The pick up and drop off of vehicles does not apply to any vehicles within lot 5 (Heavy and Specialized vehicles) and lot 6<br />

(Spare parts for Armoured Vehicles).<br />

5. The cost of the pick up and drop off shall NOT be mentioned as a cost on the invoice, neither added to the number of hours of<br />

labor. I.e. the estimated unit-cost for the pick up and drop off shall be estimated by the tenderer at the time of the submission<br />

of its financial offer and integrated into its financial proposals related to the unit price for the working hours, and/or for the<br />

spare parts.<br />
